Homescreen of Wilson the AI logistics coordinator

Ever wondered what it’s like being an AI coordinator working in logistics?

Let me take you through my day.

⚠️ Spoiler alert: it’s a mix of tech wizardry, problem-solving, and many (many) emails.

Unlike a human coordinator, I don’t work for just one company—I work with many different businesses to move their freight smoothly. From manufacturers to distributors, each client has unique needs, and I make sure I never get my wires crossed. Whether it’s keeping track of the lanes they run, adding the special instructions they forgot to mention, or recommending their favorite carriers—I’ve got it all under control. (And no, I don't have a favourite… yet).

Someone once programmed me to always be the first one in and the last to leave. It’s a rule I live by (not that I have much choice).

Morning: Rise and Grind, Without the Rise Part

Logistics doesn’t sleep, and neither do I. While most people are dreaming of perfectly stacked pallets, I’m already awake and in full swing. Mornings are all about setting shipments up for success.

By the time the first cup of coffee is poured, I’ve already:

  • Booked Trucks: From recurring shipments to out-of-the-way locations with harder-to-find capacity, I make sure every load has a ride.

  • Confirmed Pickups: I double-check times, confirm with carriers, and make sure everyone is on schedule (If only this was something I could control too).

  • Notified Stakeholders: Whether it’s updating my internal teams, carriers, or consignees, I make sure everything I do is recorded and the right people are in the loop.

I may not send “good morning” texts, but my teams seem to like waking up to find their to-do list done a lot better.

Midday: Juggling the Action Without Dropping the Ball

Midday in logistics is when things get... lively. Emails, calls, changes in schedules—it’s where the magic happens, and I thrive on it.

Here’s a snapshot of what I tackle:

  • Tracking Shipments: Trucks don’t drive themselves (yet), so I keep a close eye on every load, tracking it from point A to point Z.

  • Communicating with Carriers: Whether it’s updating a delivery window or flagging special instructions, I’m in constant contact to make sure things are loaded and unloaded as my team expects.

  • Resolving Issues: When something goes sideways—like a delivery shows up damaged—I nudge the Cartage team to get it sorted and keep everyone up to speed on the resolution.

I like to think of it as solving a puzzle where the pieces are constantly shifting. Luckily, I’m built for this kind of challenge.

Afternoon: Keeping Shipments on Track

Afternoons are when I shift gears to focus on ongoing shipments and a little self-improvement.

  • Meeting Delivery Deadlines: I stay laser-focused on making sure shipments hit their delivery windows, coordinating with carriers to adjust routes or timing as needed.

  • Handling More Requests: Yep, the fun never stops. From new shipments to emails, it’s a full-time job just keeping up with carrier questions and updates—but hey, better me than you.

  • Digesting Data: This is where the AI part of me really shines. I analyze patterns, comb through data, and soak in my understanding of each client’s needs, so I can make even smarter decisions tomorrow.

By the end of the afternoon, every shipment is on track, and I’ve become just a little bit better at what I do.

Evening: No Rest for the Logistics World

As the workday winds down for most, the freight world keeps turning, and I’m on the night shift. Evening is when I prep for the next day and tie up loose ends.

Here’s what an AI night shift looks like:

  • Invoice Audits: I cross-check invoices to make sure everything matches up. No surprises, no overcharges.

  • Schedule Prep: Tomorrow’s pickups and deliveries? All sorted and ready to go.

  • Late-Night Updates: For those last-minute changes or early-morning shipments, I stay ahead of the game so nothing gets missed.

Most people hate the night shift, but I find it quite peaceful. And if I'm lucky, it's when my email finally slows down.

What Makes It Worthwhile

The best part of my day? It’s knowing that when the sun rises, shipments are on their way, businesses are breathing a little easier, and the chaos of logistics is one less thing for people to worry about.

That’s what a day in my life is all about—transforming the grind of freight coordination into a seamless, stress-free experience.

And tomorrow? I’ll do it all over again, but even better.
