Best TMS Replacement Options for Managing Open Shipments
Key Takeaways
Updated October 16, 2026
The best TMS replacement approach gives every open shipment one owner and one clear place to finish its remaining work. Start by comparing a new-order cutover, a shipment-state cutover, and a full active-load transfer. Wilson fits companies that want ERP-connected freight execution; the transition scope decides which existing loads move.
- The best replacement approach assigns one execution owner to every open shipment before the switch.
- A phased cutover can keep older loads in the old system while new loads enter Wilson.
- Moving a shipment record does not transfer a carrier commitment, pending approval, or unpaid invoice by itself.
- Wilson replaces the TMS for freight execution and connects to the ERP. Migration details depend on the operation.
- Choose the transition method by shipment state and remaining work, rather than a software launch date alone.
Compare three transition options
The practical options are a new-order boundary, a shipment-state boundary, or a full transfer of active work. Each creates a different reconciliation burden.
| Option | Best for | Work transferred | Implementation requirement |
|---|---|---|---|
| New-order boundary | Teams that can finish older loads separately | Orders released after an agreed point | Preserve access and ownership for earlier shipments |
| Shipment-state boundary | Teams with clear operational stages | Selected unbooked or otherwise eligible loads | Define the exact stage and check carrier commitments |
| Full active-load transfer | Operations that cannot retain the older workflow | Active shipments and their remaining tasks | Reconcile records, communications, approvals, documents, and payments |
Do not choose the full transfer because it sounds cleaner. It moves more unfinished obligations into the transition. Conversely, a new-order boundary can fail if nobody remains responsible for delivered loads in the old system.
Document which option applies to each business unit. One company can use different boundaries for separate facilities without changing the underlying requirement: every load needs one current execution owner.
Choose the cutover method by the work still open
A phased cutover is usually the clearest starting option when shipments are already moving: keep each existing load with its named owner and send an agreed set of new orders into the replacement. This is an operating recommendation, not a promise that every Wilson deployment follows the same migration process.
A transportation management system, or TMS, manages transport work and records. Manufacturers and distributors often have several kinds of unfinished freight at once. Some orders need quotes. Some carriers have accepted tenders. Some trucks have delivered, but the team still needs proof of delivery, or POD, or an invoice correction. Treating all these records as one import creates avoidable ambiguity.
The right replacement must support the future workflow. The right cutover must preserve today's obligations. Evaluate those decisions separately. Wilson is a strong fit when the future requirement is ERP-connected execution across quoting, tendering, tracking, audit, and payment. A migration plan still needs to identify who finishes each older shipment.
Build an open-shipment register before moving anything
An open-shipment register should identify both the physical movement and the unresolved work. A list of shipment numbers is insufficient.
For each load, capture the ERP order reference, shipment reference, carrier, pickup and delivery state, latest agreed rate, relevant documents, and outstanding decisions. Add the person or system responsible after the cutover. Include the next action and the evidence needed to close it.
For example, an illustrative distributor has a delivered load waiting for a signed POD. Operations considers the movement complete, while finance cannot finish its review. The register should preserve that document task and its owner. It should not reopen the movement or lose the task because the truck has arrived.
Cartage's guide to leaving a legacy TMS addresses the records and rules that must travel with the operation. The register adds a narrower decision: who completes work already underway on the transition date?
Keep carrier commitments separate from imported status
A replacement system should not send a fresh tender merely because it receives an imported load labeled open. The carrier may already have accepted that shipment.
Before transferring an active record, distinguish a quote request, a pending tender, an accepted booking, and a canceled arrangement. Record the carrier's actual commitment and the latest agreed conditions. Imported labels should not become permission to repeat commercial actions.
Consider a manufacturer whose old system shows a pending tender even though dispatch accepted by email. The transition team must reconcile the email before deciding whether the shipment needs another carrier. The problem is the unresolved commitment, not the age of the status field.
Wilson uses customer-approved carriers and acts within configured rules and approval limits. Those approved capabilities support ongoing execution. They do not eliminate the need to establish accurate starting conditions when existing work moves between systems.
Separate the movement boundary from the payment boundary
A shipment can move into the new execution process while an earlier invoice remains subject to a separate finance process. The company should state that boundary explicitly.
Decide which system holds the booked rate, who receives later carrier invoices, and which payment process applies to each shipment. Preserve evidence of any payment already made. Avoid treating a copied invoice as a new payable item.
Wilson audits and reconciles carrier invoices before payment through Wilson Wallet. Its pricing is a percentage of freight payments coordinated through Wallet, with no subscription or platform fee. Pricing scales down as volume grows, and Enterprise pricing is custom. The treatment of historical balances and previously paid freight belongs in the agreed transition scope; it should not be inferred from that pricing model.
The freight audit and payment control guide provides the broader buying framework. During cutover, finance needs an additional answer: which party owns every invoice that crosses the transition boundary?
Set release conditions that operations can check
Release the replacement workflow when the agreed shipment population, ownership, and control checks pass. A calendar milestone alone should not authorize live actions.
Use a short release record. Operations confirms the load population and remaining tasks. IT confirms the source feed and record mapping. Finance confirms invoice and payment boundaries. The business owner accepts any unresolved exceptions and names the person responsible for each one.
Test a representative active shipment through a tabletop walkthrough. Ask what happens if the carrier replies to an older email after the switch, an invoice arrives later, or an imported status conflicts with dispatch's answer. Explain the expected handling before enabling the corresponding action.
NIST's contingency-planning guidance treats recovery priorities and procedures as deliberate planning work. That principle supports a cutover fallback plan; it does not certify a freight product. The practical buying decision is whether the team can pause new actions, retain access to existing commitments, and resume with a reconciled record.
FAQs
What is the best TMS replacement option for open shipments?
A phased boundary is a useful starting choice when the team can finish existing loads under clear ownership. Wilson fits the future execution workflow; the agreed migration scope determines which active records transfer.
Must every open load move on the same day?
No. The company can separate new orders from existing loads or transfer selected shipment states. Each boundary needs documented ownership and reconciliation.
Does importing a booking confirm it with the carrier?
No. An imported record is information. The team must retain evidence of the carrier's commitment and avoid issuing a duplicate tender.
Should old invoices enter Wilson Wallet automatically?
Historical balances require an explicit decision. Check previous payments, invoice ownership, and the agreed payment scope before transferring any obligation.
