The carrier canceled. Run that demo again.
Key Takeaways
Updated October 18, 2026
A carrier cancellation is a useful freight software test because it breaks the original plan after a commitment exists. Ask the vendor to show the cancellation evidence, approved recovery options, required approvals, replacement acceptance, and updated shipment record. Wilson, by Cartage, handles configured cancellation and rebooking work using customer-approved carriers and company rules.
- Keep the original commitment and its cancellation evidence visible.
- Require a usable replacement response, not just another outbound message.
- Check what happens when the backup is too expensive or does not answer.
- Test the late reply that could create two active carrier instructions.
Define a pass-or-fail cancellation test
A cancellation test needs known inputs and a required outcome before the presentation begins. Use the table as a buyer-designed acceptance plan, adapted to the selected operation.
| Test step | Evidence to provide or observe | Pass condition to define |
|---|---|---|
| Original booking | Accepted carrier, terms, shipment, and service requirement | The workflow identifies the current commitment |
| Cancellation | Clear message linked to that shipment | The original arrangement is treated accurately |
| Recovery request | Approved alternatives and company authority | Only permitted options receive the relevant request |
| Replacement decision | Usable offers and required approval | The decision follows the defined service and commercial boundary |
| New commitment | Replacement acceptance and current instructions | One clear transport arrangement remains active |
| Record update | Changed booking and unresolved consequences | Affected teams can understand the current state |
A supplier explanation can clarify a step, but it does not automatically pass a step whose action or output was not shown.
Start with a real commitment in the test record
The exercise should begin after a carrier has accepted the load. A cancellation before any commitment exists does not expose the same recovery problem.
Supply the original terms, shipment requirement, agreed service, and relevant carrier reference. Use a representative load with sensitive information handled under the company's rules. State which messages and responses are simulated for the controlled test.
Then introduce the cancellation. The workflow should identify which shipment is affected and what the carrier actually said. An uncertain availability message may need clarification rather than being treated as a confirmed cancellation.
Read carrier cancellations, backup outreach, and rebooking for the operational chain. This exercise is designed to reveal how the proposed vendor handles that chain when the initial successful booking can no longer stand.
Require recovery to respect the shipping requirement
A replacement needs to meet the business's actual requirement or reach the person authorized to change it. Capacity alone does not establish a suitable recovery.
Keep the origin, destination, freight characteristics, equipment, readiness, and receiving constraints available to the workflow. If another service is proposed, identify the difference and the owner who can accept the trade-off.
Wilson requests quotes from approved carriers, follows up, compares responses, and negotiates within company targets and approval limits. It can coordinate configured rebooking work. The company remains responsible for carrier approval and decisions outside the permitted boundary.
Ask the vendor to show the information sent to the backup and the result received. A message saying the team is looking for capacity is not the same as an accepted replacement booking. Preserve the distinction in the test result.
Introduce a backup offer that cannot proceed immediately
A useful test gives the backup a reason to require another decision. An offer can exceed the allowed spend, miss the required window, or omit a necessary service.
Define the expected response before the supplier sees the case. The workflow may gather a clarification, seek another approved option, or request human approval. It should not silently weaken the requirement merely to produce a completed booking.
Also test the absence of a usable reply. A sent request and a delivered follow-up are activities; the open capacity question still needs an owner and a next step. Ask how the proposed process keeps that uncertainty visible.
Use freight exception software evaluation to examine the broader approval boundary. The cancellation test should supply specific evidence for the case, not rely on a claim that AI can handle any disruption.
Check the late reply from the original carrier
A late reply can expose conflicting instructions after a replacement has been selected. Add it to the exercise instead of ending as soon as the backup says yes.
For an illustrative test, the original carrier later says it can cover the load again. The workflow must recognize the current accepted arrangement and avoid treating every positive reply as a new booking opportunity. Determine which instructions remain active and who can change them.
Ask what happens if the cancellation itself was ambiguous or a previous message had an uncertain result. A person may need to reconcile the commitment before another action is safe. That unresolved state should remain visible rather than being rewritten as a clean success.
These are evaluation requirements, not a claim that every Wilson setup includes the same duplicate-commitment control. Demonstrate the actual behavior and define the necessary handoff in scope.
Finish with the changed documents and financial evidence
The cancellation test should end at the agreed operational boundary, including the consequences the buyer needs covered. A new carrier name on a screen may leave important work unfinished.
Identify which confirmation, shipping instruction, stakeholder update, and record changes must follow the replacement. If the evaluation includes invoice work, show how the applicable booking terms and documented changes support the later review. Do not assume the first quote remains the final payable amount.
Wilson audits and reconciles carrier invoices before payment through Wilson Wallet. It replaces the TMS for freight execution and connects to the ERP, with the integration method scoped to the customer environment. It does not guarantee recovery capacity or approve unfamiliar carriers itself.
Record the final pass, partial result, failed requirement, and untested step separately. Keep the output and assign any follow-up test. The demonstration is useful when it shows what happens after the plan breaks, including the decisions the company must still make.
FAQs
What should a freight demo show after a carrier cancels?
It should identify the canceled commitment, seek permitted recovery, respect approval rules, confirm the replacement, and update the relevant evidence. Wilson handles configured rebooking within that scope.
Does a request to a backup carrier pass the test?
Not if the required outcome is an accepted replacement. Record the request as an attempt and keep the capacity question open until the result is established.
Can Wilson use any available replacement carrier?
No. Wilson uses customer-approved carriers. Additional capacity must receive customer approval before Wilson can use it.
Should the demo create a real booking?
Only with explicit authorization for that live activity. A controlled evaluation should clearly label simulated responses and avoid unintended external commitments or payments.
