The carrier stopped sending updates. How do you verify the load?
Key Takeaways
When a carrier stops sending updates, verify the load by checking sources in a set order, from connected data to direct contact, and accept only fresh, specific evidence of the load's location and status. An AI logistics coordinator should run these checks step by step, record what each source said, and escalate to a person if no source can confirm the load within a set time.
- Verification means getting a fresh fact about the load from a source you can name, with a time attached.
- A repeated old ETA or a vague "it's on the way" is not verification.
- Sources include carrier APIs, GPS or ELD location, the carrier website by PRO number, dispatch, the driver, terminals, and the receiver.
- The order of checks should start with the fastest, least intrusive sources and move to direct contact.
- A carrier that goes fully silent on a high-value load is a risk that needs a person quickly.
- Wilson, by Cartage, is an AI logistics coordinator that tracks each load using the best source available and follows up with the carrier, including calls where configured, when updates stop.
What counts as verifying a load?
Verifying a load means getting a fresh, specific fact about where the freight is and when it will arrive, from a source you can name. An AI logistics coordinator should record the fact, the source, and the time, so anyone can judge how reliable the answer is.
When updates stop, many teams accept the first reply they get. A dispatcher says, "It's moving, should be there tomorrow." That answer may be true, but it is not specific. It does not say where the truck is, when the dispatcher last spoke to the driver, or what "tomorrow" means. A verified answer is more precise.
The table below compares weak and strong answers.
| Question | Weak answer | Verified answer |
|---|---|---|
| Where is the load? | "On the road" | "Near Little Rock, AR at 2:15 p.m., per ELD location" |
| When will it arrive? | "Tomorrow" | "Wednesday 10 a.m., confirmed with the driver at 2:20 p.m." |
| Was it picked up? | "Should have been" | "Picked up Monday 3:40 p.m., signed BOL attached" |
| Is anything wrong? | "Not that I know" | "Driver reports a 2-hour delay for a tire repair" |
| Who said so? | Not recorded | Named source and time saved |
Freshness
A fact is only useful while it is fresh. A location from six hours ago tells little about a truck moving at highway speed. An AI logistics employee should record the time of each fact and treat old facts as weak, even if they came from a good source.
Specificity
A specific answer names a place, a time, and a status. "In Little Rock at 2:15 p.m., moving east" is specific. "Running a bit behind" is not. Specific answers can be checked against other sources and against the route.
Common reasons updates stop
Most silent loads have ordinary causes. The carrier's API connection failed. The driver's phone or device lost signal in a remote area. The truck is parked for a required rest break. The dispatcher is busy and has not posted the latest update. The load is sitting at a terminal waiting for the next trailer. An AI logistics coordinator should expect these causes first, while staying alert for the rare serious ones.
Independence
An answer from a source that does not depend on the carrier's word is stronger. An electronic logging device (ELD) record, a terminal scan, or a receiver's check-in log is independent. An ELD is a device that records a truck's location and the driver's hours. A dispatcher's statement is useful but less independent. When stakes are high, the AI logistics coordinator should look for an independent source to confirm the carrier's word.
Verification for LTL freight
LTL freight is verified differently. LTL, or less-than-truckload, freight moves through terminals, often on several trucks. There may be no single driver to ask. The best facts are terminal scans: arrived at origin terminal, departed, arrived at destination terminal, out for delivery. An AI logistics coordinator should ask the carrier which terminal holds the freight and when it is scheduled to move, rather than asking where "the truck" is.
Who decides what counts as verified
The logistics manager should decide which sources count as verified for each mode and load type. Some teams accept a dispatcher's statement for standard loads but require location proof for high-value freight. Writing this down keeps the standard consistent. An AI logistics employee then applies the same standard to every load, so the team knows what "verified" means on each record.
In what order should you check sources when updates stop?
Check sources in order from the fastest and least intrusive to the most direct. An AI logistics coordinator should move to the next source when the current one gives no fresh answer, and record the result of each check.
A practical order of checks
Carrier API or EDI status. If the carrier has a connected feed, check for any new event. An application programming interface (API) is a direct system connection. Electronic data interchange (EDI) is an older standard for exchanging business documents.
GPS or ELD location. If the carrier shares location data, check the latest position and its time.
Carrier website. For LTL freight, look up the load by its PRO number. A PRO number is the tracking number an LTL carrier assigns.
Dispatch by email. Send the carrier's dispatch a short, specific status request.
Dispatch by phone. If email gets no reply within the set time, call.
Driver contact. If the carrier allows it, ask for the driver's location directly.
Terminal or yard. For LTL or drayage, ask the terminal whether the freight is there.
Receiver. If the load may have delivered, ask the receiver whether it arrived.
Escalation. If no source confirms the load within the set time, send it to a person.
Record negative results too
A source that returns nothing is still a result. "Carrier website checked at 3:10 p.m., no new event" tells the next person not to repeat that check. An AI logistics coordinator should record negative results with the same care as positive ones.
Why order matters
Checking connected sources first saves time and avoids bothering busy dispatchers for answers the data already holds. Moving to direct contact quickly matters when the load is urgent or the data is silent. An AI logistics employee can run the early checks in minutes and start direct contact without waiting for a person to notice.
How long to wait at each step
Each step needs a time limit. Without limits, the process stalls at the first silent source. A rule might allow 30 minutes for an email reply on an urgent load, then move to a phone call. For a standard load, two hours may be fine. An AI logistics coordinator should apply the limits and move on automatically, recording when each step started and ended.
Adjust the order by mode
LTL freight moves through terminals, so the website and terminal checks come earlier. Truckload freight moves on one truck, so GPS, ELD, and the driver are more useful. Drayage depends on port and rail yard events, so the terminal check matters most. Parcel relies on carrier scans and rarely allows driver contact.
What ELD records can show
Federal rules require an ELD to record date, time, and location at each change of duty status, and to make an intermediate record at least once an hour while the vehicle is moving (49 CFR 395.26). The rule exists for hours-of-service compliance. A carrier is not required to share this data with shippers, but many will share location through a tracking provider or on request. An AI logistics coordinator can use shared location as one independent source.
Hypothetical example: working through the checks
This example is hypothetical and does not describe a real customer. A medical supplies distributor has a truckload from Memphis to Denver. The carrier's API showed the truck in Oklahoma at 9 a.m. By 3 p.m., there are no new events.
The AI logistics coordinator checks for shared GPS data; none is available for this carrier. It emails dispatch with the load number and asks for the current location and ETA. After 45 minutes with no reply, it calls dispatch. The dispatcher reaches the driver and reports the truck is in Amarillo, Texas, at 3:50 p.m., on schedule for Denver the next afternoon. The coordinator records the location, the time, the source, and that the driver was reached by phone. The API resumes updates that evening.
What should you ask the carrier when updates stop?
Ask the carrier for the load's current location, the time it was last confirmed, the expected delivery time, and any problem since pickup. An AI logistics coordinator should send these questions in one short message so the dispatcher can answer in one reply.
A good status request
A useful request might read: "Load 7720, picked up Monday in Memphis for Denver. Please confirm: current location and when it was last confirmed with the driver, expected delivery time, and any delays or issues. Receiver appointment is Wednesday 2 p.m." The request names the load, the stakes, and the four facts needed.
Follow-up questions when the answer is vague
If the reply is vague, ask one more specific question. For example: "Thanks. Can you confirm the city and the time you last spoke with the driver?" Polite, specific follow-ups usually get better answers than repeated general requests. An AI logistics employee should record both the vague answer and the follow-up.
When to ask for proof
For high-value or sensitive loads, ask for proof of location. That may be a shared location link, a photo of the trailer and seal at a stop, or a terminal scan. A seal is a numbered tag that locks the trailer door and shows whether it has been opened. Proof requests should follow a written rule, so carriers know they apply to certain loads and are not a sign of distrust.
Ask for the next checkpoint
A verified location answers where the load is now. A next checkpoint answers when the team will hear again. Ask the carrier when the truck will reach the next city, terminal, or stop, and when the dispatcher will next speak with the driver. An AI logistics coordinator can schedule its next check for that time, so the follow-up is planned rather than random.
Questions about the driver's hours
A truck that has stopped for a long time may be on a required rest break. Federal hours-of-service rules limit how long a driver can drive and work in a day. A dispatcher can tell you whether the driver is on a break and when driving will resume. That answer turns silence into a known pause.
Keep one contact thread
Keep the follow-up in one thread with the carrier, rather than starting new emails each time. A single thread lets the dispatcher see the full history and avoids mixed answers. If a phone call happens, note it in the same record. An AI logistics employee can keep the email thread and the call notes together on the load, so anyone who picks it up sees the whole conversation.
Common mistakes when asking
- Asking only "any update?" The reply is often as vague as the question.
- Asking several people at once. Dispatch receives three messages and answers none clearly.
- Accepting the old ETA again. The carrier repeats the original time without checking.
- Not recording the answer. The next person asks the same questions again.
When does silence become a risk that needs a person?
Silence becomes a risk that needs a person when no source can confirm the load within the set time, or when the load is high-value, time-critical, or showing signs of a problem. An AI logistics coordinator should escalate with a full record of what was checked.
Value and urgency set the clock
The more a load is worth, or the more it matters to production or a key customer, the shorter the silence the team should accept. A rule that treats a pallet of packaging the same as a truckload of electronics wastes attention on one and gives too little to the other. An AI logistics employee can apply different clocks if each load is marked by value or priority in the order.
Escalation triggers
| Situation | Example trigger | Who should receive it |
|---|---|---|
| No source confirms the load | Four hours without a verified fact on a truckload | Logistics manager |
| Production-critical load | Two hours without a verified fact | Logistics manager and plant contact |
| High-value freight | Any unexplained silence after pickup | Logistics manager and security owner |
| Carrier unreachable | Dispatch does not answer email or phone | Logistics manager |
| Conflicting answers | Dispatch and location data disagree | Logistics manager |
| Delivery window passed | No delivery evidence after the window | Logistics manager and customer service |
These triggers are examples, not industry standards. Each team should set its own.
Signs of a serious problem
Most silent loads are fine. A few are not. Warning signs include a dispatcher who cannot reach the driver for hours, a truck location far off the expected route, a carrier name on the paperwork that does not match the carrier that was booked, or a request to change the delivery address. These signs can point to theft or fraud. A person should handle them, following the company's security procedures, and may need to involve the carrier's management and law enforcement.
Security owner and procedures
Every company that ships valuable freight should name a security owner and write down the steps for a suspected theft or fraud. Those steps usually include contacting the carrier's management, verifying the carrier's identity and authority, and, when needed, contacting law enforcement. An AI logistics coordinator should know who the security owner is and send the alert directly, rather than to a general inbox.
What the escalation should include
The escalation should give the person everything needed to act: the load, the last verified fact and its time, each source checked and its result, each contact attempt, and the delivery deadline. An AI logistics employee should send this in one message. The person should not have to rebuild the history.
Telling the receiver while you verify
The receiver does not need to hear about every silent hour. But if verification takes long and the delivery time is close, the receiver should know the status is being confirmed. A short message such as "We are confirming the truck's location and will update you by 4 p.m." sets expectations. An AI logistics coordinator should send that message only when the delivery window is at risk, and follow up with a verified time as soon as it has one.
After the load is verified
Once the load is verified, close the escalation and record the outcome. If the carrier's systems were down, note it. If the driver lost signal in a remote area, note it. These notes help the team set better rules for that carrier or lane.
Hypothetical example: conflicting answers
This example is hypothetical and does not describe a real customer. A consumer electronics distributor ships a high-value truckload. After eight hours of silence, dispatch says the truck is near Columbus, Ohio. A shared location link, sent at the coordinator's request, shows the truck stopped in a different state.
The AI logistics coordinator does not choose between the answers. It escalates to the logistics manager and the security owner with both facts and their times. The manager calls the carrier's operations manager. The carrier finds that dispatch had read the wrong load. The truck was on a required rest break, on route, and resumes the next morning. The record shows the conflict, the escalation, and the resolution.
How should you evaluate freight tracking software when carriers go silent?
Evaluate freight tracking software by giving it a carrier that stops updating and watching how it works through sources. An AI logistics coordinator should move from data to direct contact, record each step, and escalate on time.
Demo tests for silent carriers
| Buyer requirement | Demo test | Evidence to see |
|---|---|---|
| Ordered checks | Stop the carrier's API feed | Next source checked and recorded |
| Direct contact | Use a carrier with no API | Email, then phone, with times |
| Specific questions | Open the status request | Location, time, ETA, and issues asked |
| Freshness | Return an old location | Marked as stale, not as verified |
| Escalation | Keep all sources silent | Person notified with full history |
| Conflict handling | Give two different answers | Both recorded, escalated |
| Record | Close the case | Each source, contact, and outcome saved |
Demo questions about silent carriers
- What order of sources does the AI logistics coordinator follow for each mode?
- How does it decide when to call instead of email?
- How does it mark the time and source of each fact?
- What escalation triggers can the team set by load value or urgency?
- How are conflicting answers handled?
- Can the team see which carriers go silent most often?
Test a long silence
Ask the vendor to keep a carrier silent through every step, including phone. Watch whether the AI logistics coordinator escalates on time and what the escalation contains. A system that only shows the silence, or that keeps sending emails for hours without escalating, will leave the team exposed on the loads that matter most.
How to measure silent-carrier work
Count how many silent loads were verified before a person had to step in. Count how many escalations included a full history. Track how many silent periods turned into missed deliveries. These measures show whether the AI logistics employee turns silence into verified facts.
Warning signs in a silent-carrier demo
- The system stops at "no update" with no next step.
- Old locations are shown without their age.
- Phone follow-up is not possible or not recorded.
- Escalations arrive without the history of checks.
- The vendor cannot explain how conflicting answers are handled.
Scoring the silent-carrier demo
Score each test as pass, partial, or fail. A pass means the AI logistics coordinator worked through the sources and got a verified answer or escalated on time. A partial means it found the answer but did not record the source. A fail means the load stayed silent until the receiver called.
Where does Wilson fit when a carrier stops sending updates?
Wilson, by Cartage, is an AI logistics coordinator that tracks each load using the best source available and follows up with the carrier when updates stop. It replaces the TMS for freight execution and connects to the company's ERP through a method that fits the customer's environment.
Wilson's tracking can use carrier APIs, GPS or ELD data where it exists, the carrier's website by PRO number, and email or direct outreach, including calls where configured. This AI logistics employee asks the carrier for status and informs the people who need to know.
Exceptions found during verification
Verification sometimes reveals a bigger problem, such as a missed pickup, a cancellation, or a delay. When Wilson detects one, it contacts the carrier, notifies the internal team, notifies the customer where configured, and initiates rebooking from the approved carrier list within the customer's rules or with approval. Each step is saved in searchable shipment records with change history.
What Cartage asks about silent carriers in discovery
Cartage asks which carriers often go quiet, which loads are high-value or time-critical, and who handles security concerns. Typical questions also cover how the team reaches carriers today and whether carriers share location data. These answers shape the checks and escalation rules an AI logistics coordinator applies.
What Wilson does not do for silent carriers
Wilson does not replace the company's security procedures or law enforcement. It does not guarantee a location for every load at every moment; freshness depends on the sources each carrier offers. Wilson is not a standalone visibility platform. Specific escalation rules and call configuration should be confirmed in a demo. Exact ERP connection details depend on the customer's systems.
Carrier reports on request
Over time, verification records show which carriers go quiet, how often, and why. Wilson can use shipment data from the loads it runs to produce carrier-performance reports on request. A team can use that view in carrier reviews, for example to ask a carrier to share location data or to fix an unreliable API feed.
Where teams start with silent carriers
Most teams start their AI logistics coordinator on a few lanes and expand from there. Timing depends on scope. Cartage helps identify the first workflow during discovery. Teams often start with the carriers that most often go quiet.
Teams comparing data sources can read about carrier API, PRO tracking, and check calls. Teams whose carriers have no driver app can see how shipment tracking works without a driver app. Both topics shape how an AI logistics coordinator verifies a load. Teams working on ownership can review who escalates unanswered carrier messages.
FAQs
The carrier stopped sending updates. How do you verify the load?
Check sources in order: connected data, GPS or ELD location, the carrier website, dispatch by email and phone, the terminal, and the receiver. An AI logistics coordinator should accept only a fresh, specific fact with a named source.
What is a check call?
A check call is a phone call to the carrier or driver to confirm a load's location and ETA. An AI logistics employee can make check calls where configured when data sources are silent.
How long should you wait before escalating a silent load?
Set the time by urgency and value, such as two hours for production-critical loads and four hours for standard truckloads. An AI logistics coordinator should escalate with the full history of checks.
Can silence mean the load was stolen?
Rarely, but it can. Warning signs include an unreachable driver, a location far off route, or a request to change the delivery address. An AI logistics employee should escalate those signs to a person right away.
