How long did the freight quote really take?

Key Takeaways

Quote turnaround should be measured with defined timestamps. The buyer should separate time to first carrier response, time to usable quote set, time to carrier selection, and time to accepted booking.
Define timestamps from first request through accepted booking so buyers can measure turnaround consistently.
Evaluate the workflow on one real shipment and define the pass/fail condition before the demo starts.
Ask what happens when the first carrier, system, or data source does not respond as expected.
Keep adjacent categories separate so the buyer can tell which product is responsible for which job.

How long did the freight quote really take?

Quote turnaround should be measured with defined timestamps. The buyer should separate time to first carrier response, time to usable quote set, time to carrier selection, and time to accepted booking.

That distinction matters because freight software categories often look similar from a distance. Many products can display the same shipment, rate, alert, or carrier name. The operational difference appears after the first screen: does the tool only show what happened, or does it complete the next action under the shipper’s rules?

A useful buyer test starts with one shipment and one question. Define the decision that must be made, the system or person that currently owns it, and what evidence proves the task is finished. Then ask the software to run that workflow.

This approach is especially useful for manufacturers and distributors with internal logistics teams because those teams rarely struggle with a lack of dashboards alone. The harder problem is the work between systems: requesting a quote, waiting for a carrier, updating a customer, getting a document, resolving an exception, or proving why an invoice changed.

Which timestamps define a freight quote cycle?

Define the clock before measuring it.

Four timestamps cover most quote cycles: the moment the quote request goes to carriers, the first usable carrier response, the moment a carrier is selected, and the moment that carrier accepts the booking. Between them sit different kinds of delay: carrier response time, internal comparison and approval, and carrier acceptance.

A single "quote time" that runs from request to booking hides where the time went. A slow approval step and a slow carrier look identical in that number but need completely different fixes.

How should quote turnaround be compared across loads?

Compare each interval separately, on similar loads.

Group loads by mode and lane, then report the median time for each of the three intervals. Count how many carriers were asked, how many replied, and how many follow-ups were needed before a usable set of quotes existed.

Run the same comparison on loads with a carrier decline. A decline restarts part of the cycle, and the time it adds is often the largest single delay in quoting.

How does Wilson, by Cartage fit this job?

Wilson requests and compares quotes from approved carriers, negotiates against customer targets, tenders the selected carrier, and moves to the next approved option when a carrier declines.

Wilson is an AI logistics agent that replaces the TMS for freight execution and connects to the company’s ERP; it is not a freight broker or a standalone visibility platform. Its role is to execute freight coordination work for manufacturers and distributors using the company’s approved carriers and operating rules.

Wilson starts with assisted execution. The company decides which actions need approval, and permitted actions can expand step by step as the workflow is proven. Approval rules can apply to bookings, rebookings above a cost threshold, carrier selections, customer notifications, or any other action the company chooses.

Every message, confirmation, and change on a shipment is recorded in a change history. That record matters because it gives the buyer evidence of what happened, which rule applied, and where a person stepped in.

What should stay outside the scope?

Do not use a single vague 'quote time' metric if it mixes carrier response with internal approvals and booking acceptance.

This boundary is important because adjacent freight categories can sound interchangeable in a sales conversation. Route optimization, dock scheduling, procurement, customs clearance, visibility, and freight execution may all touch the same shipment, but they solve different problems.

A buyer should not reward a product for solving a different job than the one causing the current pain. If the problem is that no one follows up after a carrier decline, a route-planning feature does not answer it. If the problem is that the ERP cannot return shipment status, a carrier scorecard does not answer it.

What should you test in a demo?

Run one load and capture four timestamps: first quote request, first usable response, carrier selected, and carrier accepted. Then repeat with one carrier decline and compare the full turnaround.

Define the pass/fail condition before the demo starts. Do not let the test become a polished happy-path walkthrough where every carrier replies immediately and every system update succeeds.

Introduce one failure. Leave a carrier request unanswered, use stale tracking data, fail one write-back, require an approval, or present an invoice that does not match the booking. Then watch whether the task remains open, whether the software knows the next allowed action, and whether the final result is recorded.

The strongest demo is reproducible. A buyer should be able to repeat the same test with another shipment and get the same workflow behavior under the same rules.

What should the quote record show for each load?

Each quote cycle should leave a timed record of requests and responses.

The record should show which carriers were asked and when, each reply with its timestamp and rate, follow-ups sent to carriers who did not reply, the comparison and the rule used to select a carrier, any approval, and the tender acceptance. If a carrier declined, the record should show what happened next and how long it took.

With that record, quote turnaround stops being an impression and becomes something the team can measure lane by lane.

Conclusion

Capture four timestamps on one load, then repeat with a forced decline. The difference between the two runs shows where quoting time actually goes.

Wilson, by Cartage requests and compares quotes from approved carriers, follows up with carriers who do not reply, tenders the selected carrier, and moves to the next approved option when a carrier declines.
