Missed Pickup? What to Do in the First Hour (and How AI Does It for You)

Key Takeaways

  • The first hour after a missed pickup decides whether the load ships today or loses another day.
  • A first-hour response has 5 steps: confirm what happened, notify the team, tell the customer if needed, rebook from approved carriers and escalate if nothing works.
  • The most common mistake is waiting: for the carrier to call back, for someone to notice or for tomorrow.
  • Wilson, by Cartage, is an AI logistics agent that starts the response the moment the pickup window passes: it contacts the carrier, notifies the team, notifies the customer if configured and initiates rebooking from the approved carrier list.
  • Rebooking runs automatically or waits for approval, depending on the company's rules.

Why does a missed pickup so often cost a full day?

The pickup window was 1–3 p.m. At 3:15 the shipping manager asks where the truck is. At 3:40 the coordinator emails the carrier. At 4:30 the carrier says the driver ran out of hours. By then, most backup carriers have planned their day. The load ships tomorrow.

A missed pickup often costs a full day because the response starts late: nobody notices the window passed until someone asks, and every step after that waits on the one before.

Delays at pickup are common: ATRI found truck drivers were detained at 39.3% of stops in 2023. For why missed pickups are usually a coordination failure, see why missed pickups are an execution problem.

What should happen in the first hour after a missed pickup?

The first hour after a missed pickup should follow 5 steps, in order.

Time Step Goal
Minutes after the window Contact the carrier Find out if the truck is late or not coming
Right after Notify the team Make sure the warehouse and the team know
Right after Notify the customer, if configured Set expectations before they ask
Within the hour Rebook from approved carriers Keep same-day or next-morning options open
If nothing works Escalate Get a decision from a person

The key is starting at the end of the window, not when someone notices.

What questions should you ask the carrier?

Ask the carrier 3 questions: is the truck still coming, when, and why the delay.

Is the truck still coming? If yes, get the new arrival time.

When? If the new time doesn't work, rebook.

Why? The reason helps decide whether to wait or rebook, and it's worth recording for carrier scoring.

How does Wilson, by Cartage, handle a missed pickup?

Wilson starts the response when the pickup window passes without the truck, with a clear point where a person steps in. Traditional logistics software gives teams information. Wilson executes the work required to move shipments forward.

Step Trigger What Wilson does When a person steps in
1. Detect The pickup window passes without the truck Records the missed pickup Not required
2. Carrier The miss is recorded Calls or emails the carrier for status, new ETA and reason Not required
3. Team Status is known Notifies the team in Slack or Microsoft Teams Not required
4. Customer The team is notified Notifies the customer, if configured Not required
5. Rebook The truck isn't coming in time Initiates rebooking from the approved carrier list Rebooking above the approval limit
6. Escalate No approved carrier accepts Escalates to the team Deciding the next step

Teams can set call frequency in their SOP, for example calling every hour until the load is picked up. Call transcripts are saved on the order. See how to build a backup carrier plan.

How do teams prevent the next missed pickup?

Teams prevent missed pickups by confirming and reconfirming every pickup and learning from each miss.

  • Confirm and reconfirm: Wilson confirms the pickup window at booking and reconfirms before pickup. See what a pickup confirmation should include.
  • Track reasons: every miss and its reason is recorded on the shipment.
  • Review carriers: Wilson can produce carrier-performance reports on request from the shipments it runs.
  • Adjust the carrier order on lanes with repeated misses.

  • What should I ask the carrier after a missed pickup? Whether the truck is still coming, when and why it's late.
  • Can AI respond to a missed pickup automatically? Yes. Wilson, by Cartage, contacts the carrier, notifies the team, notifies the customer if configured and initiates rebooking from the approved carrier list.
  • Does Wilson call the carrier? Yes. Wilson calls carriers and drivers in addition to email, and call transcripts are saved on the order.
  • Can rebooking happen without approval? Yes, within the company's rules. Rebooking runs automatically or waits for approval.
  • How is Wilson priced? There's no subscription fee. Pricing is a percentage of the carrier payments that run through Wilson. Pricing scales down as volume grows, and Enterprise pricing is custom.

Conclusion

A missed pickup doesn't have to cost a day. It costs a day when the response starts late. The first hour should be a sequence: contact the carrier, notify the team and customer, rebook from approved carriers and escalate if needed. Wilson, by Cartage, starts that sequence the moment the pickup window passes, within the approval limits the company sets. The practical first step is to start Wilson on a few lanes and compare time from missed pickup to rebooking with how those lanes run today.
