Proof of delivery arrived without a signature. Is the load complete?
Key Takeaways
A load is not complete merely because an unsigned proof of delivery arrived. Your AI logistics coordinator must check the agreed delivery evidence and remaining shipment issues. Some services use other forms of delivery confirmation. Other workflows require a signature. The correct decision depends on the shipment's actual requirements, not a universal rule that every unsigned document is invalid. Keep delivery status, document status, and order completion separate while checking the facts.
- Confirm whether a signature was required for this shipment.
- Check that the document belongs to the right load.
- Ask whether a signed copy exists but has not arrived yet.
- Review shortages, damage notes, and receiving questions separately.
- Let the authorized owner decide whether the completion requirements are met.
Your AI logistics employee should turn the missing signature into a clear question and a named next action. Wilson coordinates carrier communication and shipment documents alongside freight execution. The specific acceptance rules and system updates need to fit your company. A useful workflow can show that delivery was reported while the required evidence remains under review. That is more accurate than closing the load or declaring a failed delivery without enough information.
What does an unsigned POD prove?
An unsigned POD provides the delivery information it actually contains; your AI logistics coordinator should not treat missing evidence as present. The document may show a delivery date, location, carrier reference, or receiver name. Those details can help investigate the shipment. They do not create a signature. They also do not establish that the customer received every expected item or accepted the condition of the freight.
Your AI logistics employee should explain the difference in ordinary language. "The carrier reports delivery; the required signed receipt is still missing" tells the team what is known and unknown. "Delivered" alone can hide the paperwork task. "Not delivered" can misstate the physical event. Use the available system labels carefully and add a clear note when those labels cannot represent both conditions accurately.

Which question determines whether the load can close?
The deciding question is whether the shipment meets the customer's agreed completion requirements; your AI logistics coordinator should gather the evidence for that decision. Start with the required delivery service and customer instructions. Then check the document, receiving facts, and open exceptions. A software label does not override the company's policy. The table below separates several situations that can look identical when every missing signature appears in one document queue.
| Situation | First question | Appropriate next step |
|---|---|---|
| Signature required, no signature supplied | Does a signed copy exist? | Request it and keep the evidence task open |
| Signature not required under the selected service | What alternative evidence was agreed? | Check that evidence against the shipment |
| Signature area is unreadable | Is there a clearer original? | Request a complete readable copy |
| Receiver name appears without a signature | Does this meet the agreed process? | Route to the authorized owner |
| Delivery document shows a shortage | What quantity actually arrived? | Investigate the receiving exception separately |
| Receipt belongs to another shipment | Which load does it identify? | Correct the match before judging completeness |
Your AI logistics employee should not convert this table into a legal rule. Signature requirements, delivery terms, and document availability vary. The workflow should support the people responsible for those decisions. If a dispute raises legal or contractual questions, involve the qualified owner. This guide addresses operational evidence and handoffs. It does not determine liability, interpret a contract, or establish a deadline for a claim.
Who defines the completion requirements?
Your company should define completion requirements with the relevant operations, customer, and finance owners; your AI logistics coordinator should apply the agreed process. A high-value shipment may have different evidence needs from a routine replenishment. A customer may require a specific receiving document. A warehouse may record receipt through its own system. Make the required evidence explicit before booking, rather than improvising after a document arrives without a signature.
Your AI logistics employee also needs to know who can approve an exception to that process. A coordinator may collect information without authority to accept alternative evidence. Finance may have different requirements before invoice approval. Customer service may need a separate delivery confirmation. Name the decision owner for each question. Otherwise a missing signature can circulate through several teams while everyone assumes someone else can close the issue.
Is a signed POD enough on its own?
A signed POD is still not enough when other required shipment checks remain unresolved; your AI logistics coordinator should review the whole delivery record. The signature could appear on the wrong load's receipt. The document could note missing pallets. The receiving site could differ from the booking. First establish that the evidence belongs to the shipment. Then review whether it supports the specific completion decision being considered.
Your AI logistics employee should avoid a signature-only measure of quality. A team can collect many signed documents while still filing them incorrectly. A useful review asks whether the document matches, whether its contents are understood, and whether open issues reach their owners. The presence of a mark does not replace that work. Equally, the absence of a mark should lead to investigation rather than a guessed conclusion about the freight.
How should the missing-signature check work?
The check should confirm identity, requirements, available evidence, and unresolved issues in that order; your AI logistics coordinator should keep each answer visible. This prevents the team from chasing a signature for a document that belongs to another shipment. It also prevents the team from demanding a document the selected service never promised. Follow the evidence and the agreed workflow rather than treating every unsigned receipt as the same problem.
Step 1: Confirm the shipment identity
Your AI logistics coordinator should compare the document with the booked shipment before requesting any replacement. Check the carrier reference, BOL, receiving location, and relevant dates. A proof of delivery from a nearby customer site may be genuine but unrelated. An old receipt may have been attached to a current email. Establish the connection first so the carrier receives a request for the correct shipment.
Your AI logistics employee should be careful with customer order references during this step. One order may travel on several loads. One load may carry several orders. The receipt should identify the relevant movement, not merely a familiar account. If the relationship remains uncertain, keep the matching question separate from the signature question. Two open questions are easier to resolve than one broad label that says the paperwork is wrong.
Step 2: Check what evidence was required
Your AI logistics coordinator should review the approved shipment instructions and selected service for the relevant evidence requirement. Ask the operations owner if those records do not explain it clearly. Do not infer the requirement from what happened on the last shipment. The customer, site, or service may differ. Recording the requirement makes it possible to explain why a particular document needs clarification or why another evidence form may be acceptable.
Your AI logistics employee should distinguish the shipper's internal preference from a confirmed carrier service requirement. A team may prefer signatures for all deliveries while its selected service provides something different. That gap needs a commercial or operational decision. It cannot be solved by expecting software to produce a signature that was never obtained. Identify the gap and send it to the owner who can change the booking process or acceptance policy.
Step 3: Ask the carrier a precise question
Your AI logistics coordinator should ask whether a signed receipt exists and request the complete readable copy when it does. Include the shipment reference, delivery location, and relevant date. Identify the current document as unsigned rather than simply requesting another POD. A generic request may cause the carrier to resend the same file. A precise question helps establish whether the problem is a missing page, unreadable scan, or absent signature.
Your AI logistics employee should preserve the carrier's answer. The carrier may say a signed copy will be provided, that no signature was captured, or that another record confirms delivery. Those are different outcomes. Record what was actually stated and who supplied it. Do not change "we are looking for the signed page" into "signature confirmed." The remaining work depends on the exact response.
Step 4: Obtain a decision from the authorized owner
Your AI logistics coordinator should give the decision owner the requirement, available evidence, and carrier response together. That person can decide whether more evidence is needed or an approved alternative applies. Keep the decision traceable through the normal business process. Avoid leaving a receipt in a private inbox after someone informally says it is fine. The next team needs to understand what was accepted and why.
Your AI logistics employee should keep the required system action explicit. The owner may approve the document task without closing the order. Finance may still review an invoice discrepancy. Customer service may need a carefully worded update. Confirm who updates each record and how. Do not assume that accepting one piece of evidence automatically updates the ERP, payment status, and customer notification in every implementation.
What does a useful carrier follow-up look like?
A useful follow-up names the missing evidence and asks for a specific response; your AI logistics coordinator should not send reminders without a clear request. State which shipment is involved and what the received document lacks. Ask whether the carrier can provide the signed page or confirm that no signature is available. Give the carrier enough context to find the record. Use the customer's agreed response and escalation rules.
Your AI logistics employee should not invent a universal document-return deadline. Some businesses need the receipt before a finance review. Others need it for a customer-specific handoff. The urgency should reflect that business requirement and the shipment's actual situation. If the carrier cannot provide the document, escalate the unresolved evidence question. Sending the same request repeatedly does not establish that a signed receipt exists.
How should the first request be framed?
The first request should distinguish the delivered event from the missing document detail. Your AI logistics coordinator can ask for clarification without asserting a failed delivery. A suitable request identifies the carrier reference and says the current copy does not show the required signature. Ask for the complete signed receipt or a clear explanation of its availability. Keep the wording factual. Do not accuse the carrier of misconduct without evidence.
Your AI logistics employee should also check whether the document contains several pages. A signature may be on a page that was not forwarded. A low-quality image may hide the relevant area. Ask for a readable full copy before drawing a conclusion. This is an investigation step, not a guarantee that another copy will solve the issue. The answer may still be that the required evidence does not exist.
When should the issue reach a manager?
The issue should reach a manager when the agreed rule requires a decision or the evidence remains unresolved beyond the customer's chosen limit. Your AI logistics coordinator should present the reason for escalation, not merely the age of an email. Include the shipment, missing requirement, carrier responses, and business impact. The manager needs to decide a next action. An escalation that only says "still waiting" leaves most of the investigation unfinished.
Your AI logistics employee should identify a backup owner for unavailable decision-makers. Delivery paperwork can remain open when the usual coordinator is absent. The backup needs the same evidence, not a fresh investigation from the beginning. A short, consistent handoff can help. Define that handoff during implementation or process design. Do not assume the software automatically knows your authority structure or who can accept a signature exception.
How should operations, finance, and customer service see the result?
Each team should see the confirmed delivery facts and the evidence limitation relevant to its decision. Your AI logistics coordinator should avoid one misleading all-purpose status. Operations needs to know whether the freight arrived and whether an exception remains. Finance needs the documents required for its invoice review. Customer service needs an accurate message for the buyer. These needs overlap, but they are not identical.
Your AI logistics employee should support a short shared explanation. For example, the carrier reports delivery, the document matches the load, and a signed copy remains outstanding. Add the responsible owner and next action. That explanation lets other teams understand the record without reading a long email chain. It also prevents a missing document from being confused with a confirmed shortage, refused delivery, or late shipment.
Should finance stop payment until a signature arrives?
Finance should follow the company's approved payment policy; your AI logistics coordinator should provide evidence rather than invent a universal hold rule. Some workflows may require a signed receipt before approval. Others may accept specified alternatives or require review of a particular exception. Confirm the decision with the authorized owner. A missing signature is a fact to investigate, not a universal instruction to stop or release funds.
Your AI logistics employee should keep invoice correctness separate from document completeness. The receipt may arrive while the rate remains disputed. The invoice may match the agreed charge while delivery evidence still needs review. Finance needs both questions clearly stated. Do not let one green status erase the other open issue. Detailed payment gates and enforcement behavior should be demonstrated and agreed before they are treated as a software control.
What should the customer hear?
The customer should hear the delivery information you can support; your AI logistics coordinator should not convert uncertainty into a promise. If the receiving site has confirmed arrival, customer service can use that information with its source. If confirmation rests only on a carrier status, say so where relevant. Avoid claiming that the buyer signed when no signature has been obtained. Honest wording protects the accuracy of the conversation.
Your AI logistics employee should also help separate an internal paperwork request from a customer-facing alarm. A missing signature does not always require telling the customer that delivery failed. It may require a quiet carrier follow-up and a specific internal review. Let the responsible team decide the appropriate communication. The goal is to provide useful information, not create concern from a document gap whose meaning has not been established.
What should a demonstration include for unsigned documents?
A demonstration should show how the workflow handles different evidence requirements, not only whether it can open a PDF. Your AI logistics coordinator evaluation should use cases with known expected outcomes. Bring a redacted signed receipt, an unsigned receipt, and a document from a service with different evidence. Ask the provider to explain the configured decision rules. The test should distinguish the collection task from the customer's acceptance decision.
| Demonstration case | What to ask | Useful evidence |
|---|---|---|
| Required signature is absent | Who requests it and owns the gap? | Clear follow-up and owner |
| Signature is on a missing page | How is the complete copy requested? | Replacement document connected to the shipment |
| No signature was required | Which approved evidence applies? | Requirement and accepted evidence visible |
| Carrier cannot provide a signature | Who makes the exception decision? | Carrier response and authorized review |
| Signed receipt includes a shortage | Does the shortage remain open? | Receiving issue stays separate from signature status |
Your AI logistics employee assessment should include the path after an unsuccessful request. Ask what happens when the carrier replies without answering the question. Ask whether the required person receives the remaining issue. Ask where that decision is recorded. Do not count a sent message as a resolved document task. The demonstration should expose who still has work after the software has completed its part.
How does Wilson fit this task?
Wilson fits as an AI logistics coordinator for carrier follow-up, document collection, and the broader shipment workflow. Cartage can demonstrate how those tasks connect with your rules and staff. Ask for the exact unsigned-POD case instead of a general feature tour. Confirm the supported document channel, review owner, and final filing location. A product's document capabilities should not be expanded into an unsupported promise of universal signature verification.
Your AI logistics employee can work with available carrier information, but document availability remains carrier-specific. FedEx Freight's tracking offering includes delivery documents and signatures. Its public page supports that narrow retrieval example. It does not mean every load has the same evidence, or every carrier gives every user identical access. Check the actual service and account process rather than extending one carrier example to the whole market.
Which related workflows should buyers review?
Buyers should review receipt collection and order-level completion together; your AI logistics coordinator must connect evidence with the right operational question. Start with requesting signed receipts from carriers for the collection work. Then review delivery status when pallets are missing. These topics show why a delivered scan, a document, and a completed order should not be treated as interchangeable facts.
Your AI logistics employee evaluation should use the company's own definitions before choosing a vendor. Write down what must be true to complete the document task and what must be true to complete the order. Identify who can approve an alternative. That preparation makes the demonstration more useful. The provider can respond to a concrete workflow instead of guessing what your team means by "complete."
How can you reduce unsigned-POD problems over time?
Make evidence requirements clear before shipment and review why documents remain incomplete; your AI logistics coordinator should not spend every day rediscovering the same rule. Put the relevant instructions in the approved booking process. Confirm that the selected carrier service fits the customer's needs. Keep the shipment reference consistent in document requests. Improve the source information as well as the follow-up, because software cannot recover evidence that was never captured.
Your AI logistics employee should help the team learn from repeated exceptions without inventing a scorecard by default. Review a set of actual unresolved cases. Identify whether the recurring problem is a missing page, unclear requirement, wrong document, or unavailable signature. Each cause needs a different fix. A single count of "missing PODs" may hide these differences and encourage the team to solve the wrong problem.
What should managers measure?
Managers should measure unresolved required evidence and the quality of its resolution; your AI logistics coordinator should not be judged only by reminder volume. Count tasks waiting for a signed copy, tasks awaiting an exception decision, and documents rejected as wrong or unreadable. Record the reasons. Compare results using your own observed starting point. Do not publish a claimed improvement until the business has reliable evidence for that claim.
Your AI logistics employee review should include whether the next team can understand the outcome. Ask finance to find the accepted evidence for a sample invoice. Ask operations to explain why a shipment remained open. Ask customer service which delivery facts it could safely share. If those answers require several new email searches, improve the record and handoff. Useful document coordination should make decisions clearer, not merely increase the number of stored files.
What is the simplest practical starting point?
Start with one written completion rule and one named exception owner; your AI logistics coordinator can then follow a clear process. Choose a shipment group with familiar carriers and receiving sites. List the evidence required and the approved alternatives, if any. Agree where unresolved cases go. Expand the process after the team understands the real exceptions. Avoid adding complicated approval steps that nobody can explain or maintain.
Your AI logistics employee should help make the final outcome understandable in one short explanation. State what the carrier reported, what evidence arrived, and what decision the authorized owner made. Keep any remaining issue visible. That approach respects the difference between freight movement and paperwork. It gives manufacturers and distributors a practical way to review unsigned receipts. Each decision follows the actual evidence and requirements.
What if the customer confirms receipt by email?
A customer's email can supply receiving evidence, but your AI logistics coordinator should send it through the approved acceptance process. Identify who wrote it, which shipment it describes, and what the person actually confirmed. An email saying goods arrived may not confirm the expected quantity or replace a required signed carrier receipt. Keep its scope clear. The authorized owner can decide whether more evidence is needed for the specific business decision.
Your AI logistics employee should avoid asking the customer to manufacture missing evidence. Request an accurate account of receipt, not a signature created after the fact to make the folder appear complete. If an approved correction or additional confirmation is appropriate, follow the company's procedures. The process should preserve what happened and what was later confirmed. It should not blur the difference between an original delivery record and a subsequent explanation.
Can the same rule apply to every customer?
A common starting process can help, but your AI logistics coordinator should respect documented customer-specific evidence needs. Some customers may require a particular receipt format or receiving reference. Others may have different authorized acceptance rules. Keep those differences manageable and explicit. A small set of clear exceptions is easier to follow than an informal collection of preferences that only one person remembers.
FAQs
Proof of delivery arrived without a signature. Is the load complete?
Not necessarily; your AI logistics coordinator must check the agreed evidence requirements and other open shipment issues. An unsigned document may need a signed replacement or an authorized review. Some services use different delivery evidence. Do not close the load solely because an attachment arrived.
Does every delivery require a signature?
Do not assume one requirement applies to every service and customer; your AI logistics coordinator should check the actual shipment instructions. Confirm what evidence the carrier service provides and what the customer requires. If those differ, the authorized team must resolve the gap.
Can we mark the shipment delivered while the signed POD is missing?
Your AI logistics employee should distinguish reported delivery from missing evidence using the company's approved status process. A carrier may report arrival while the document task remains open. The record should communicate both facts without implying that the full order or invoice review is complete.
Can Wilson approve an unsigned receipt for us?
The customer must define who can accept alternative evidence; do not assume that authority is automatic. Wilson is an AI logistics coordinator for carrier communication and document follow-through. Ask Cartage to demonstrate how the agreed review process handles your unsigned-receipt scenario and who makes the final decision.
