Sage has the order. Who sends the carrier tender?
Key Takeaways
The freight execution owner sends the carrier tender after the Sage order becomes a complete, approved shipment request. An AI logistics coordinator can perform that coordination within the agreed workflow. Sage holding the sales order does not mean a carrier has received or accepted the load. Someone must check the freight details, select an approved provider, send the shipment offer, and obtain a clear response. The work is complete only at the defined booking outcome.
- Keep Sage as the business's order source.
- Define which orders are ready for freight work.
- Supply the physical shipment details the carrier needs.
- Apply approved-carrier, rate, and approval rules before tendering.
- Record the carrier's acceptance or the next unresolved action.
Your AI logistics employee should help carry the order into actual transport work, not simply move data between screens. Wilson replaces the TMS for freight execution and coordinates carrier work under customer rules. The method for receiving Sage information depends on the customer's environment. Do not assume a ready-made connector for every Sage product or a universal two-way update. Start by agreeing the order input, required shipment facts, and carrier acceptance evidence.
What is a carrier tender?
A carrier tender is an offer of a specific shipment to a carrier; your AI logistics coordinator should distinguish it from a quote request. The tender communicates the load to be accepted, including its relevant locations, dates, freight details, and agreed terms. A quote request asks about price and service. A tender asks the selected provider to take the movement. A sent tender does not by itself establish an accepted booking.
Your AI logistics employee should make the carrier's reply part of the workflow. A provider can accept, decline, ask a question, or remain silent. Those outcomes require different actions. A positive rate response may still be only a quote. A vague reply may need clarification before the load is treated as covered. The customer should define what evidence establishes acceptance for the providers and channels involved in its operation.

Where does the Sage order handoff end and tendering begin?
The Sage handoff supplies order information, while freight execution turns that information into a carrier-ready movement; your AI logistics coordinator should connect the stages clearly. The order may contain the customer, products, and delivery address. It may not contain the final pallet count, pickup readiness, or required transport service. Confirm the missing facts before tendering. A clean import of an incomplete order can still leave the shipment unbookable.
| Stage | Question to answer | Evidence of progress |
|---|---|---|
| Order selection | Is this order ready for freight work? | Agreed release or readiness condition |
| Shipment preparation | What physical freight will move? | Required shipment facts checked |
| Provider evaluation | Which approved option fits the load? | Comparable rate and service information |
| Approval | Is the proposed decision within customer rules? | Required approval or permitted rule outcome |
| Tender | Has the selected provider received the shipment offer? | Shipment-specific request and recipient |
| Acceptance | Has the provider clearly agreed to carry it? | Confirmed carrier response tied to the load |
| Record handoff | Who can find the booking result? | Agreed reference and status destination |
Your AI logistics employee should not blur the stages because they happen quickly. A simple load may move through them in a short sequence. A complex order may need several clarifications. The record should still show whether the team has order data, a quote, a sent tender, or an accepted booking. These distinctions help operations identify the actual remaining work when someone asks whether the freight is covered.
Why is the order not automatically ready for a carrier?
The order describes a commercial request, while the carrier needs a physical shipment plan; your AI logistics coordinator should check that gap. Product lines may not state the final packaging. The delivery address may omit a receiving appointment requirement. A requested date may not establish pickup readiness. Ask the owners of those facts. Do not guess dimensions, handling needs, or readiness merely because an order exists in the ERP.
Your AI logistics employee should identify which team can supply each missing field. The warehouse may know the packed dimensions. Sales or customer service may know the delivery requirement. Operations may know approved providers and spending rules. Sage may supply some of the information. The important point is a clear source and owner. A successful order handoff should reduce reentry without pretending that the ERP already contains every fact needed for freight.
Does this require a native Sage connector?
A native connector is not the only possible handoff method; your AI logistics coordinator setup should use the method agreed for the actual environment. A controlled file or approved message process may supply order information. An API may be appropriate in another setup. Confirm the Sage product, version, access, and scope. Do not infer an available Wilson connection from the fact that a Sage product supports exports or another technical interface.
Your AI logistics employee evaluation should distinguish receiving information from writing information back. A daily order file can start a workflow without updating Sage with every later event. If the business needs carrier references or documents returned to the ERP, define that requirement separately. Name the record, supported method, and responsible owner. A one-way feed and a bidirectional integration are different implementations, even when both are described informally as connected.
Who should own the order-to-tender workflow?
Operations should name an owner for the freight result, while Sage and warehouse owners supply their respective facts. Your AI logistics coordinator should follow that responsibility model. The person who exports an order is not necessarily the person who can approve a carrier. The warehouse may control release readiness. A manager may approve spending outside a limit. Define those roles before automating the sequence. The workflow should know who can answer or authorize each decision.
What does the Sage administrator own?
The Sage administrator or approved system owner controls the agreed order-access method. Your AI logistics coordinator should receive only the information required for the freight workflow. That owner helps identify the correct product and available export or interface. It also helps define permissions and source fields. Do not ask operations to improvise unsupported access. The business should understand where the data comes from and how changes to that source are managed.
Your AI logistics employee process should avoid unnecessary technical promises. Official Sage documentation describes export methods for particular products. For example, Sage 100 documentation describes delimited-file export options. That narrow platform fact does not prove the exact fields, schedule, or Wilson connection your company needs. Confirm the customer's actual setup and let the administrator identify the supported source method.
What does the warehouse own?
The warehouse owns the physical readiness information it can confirm; your AI logistics coordinator should ask it for missing packing and pickup facts. An order can be approved while its goods are still being prepared. A carrier needs accurate pickup readiness and relevant freight details. Confirm who supplies changes after the first release. The workflow should not tender a stale version of the shipment simply because an earlier order export looked complete.
Your AI logistics employee should distinguish a planned quantity from a packed quantity. A product line may be sold in units while freight moves on pallets. A later packing change can alter weight or dimensions. Ask the appropriate owner to confirm the final shipment facts used for quoting and tendering. Keep the relationship to the order clear without assuming a universal product-to-pallet calculation or automatic warehouse update exists in the proposed setup.
What does the freight decision owner control?
The freight decision owner controls provider rules, commercial limits, and exceptions; your AI logistics coordinator should operate within those boundaries. Define approved carriers and brokers. Define rate targets and when a person must approve a decision. Identify who handles a declined tender or unresolved acceptance. A list of carriers is only part of the instruction. The workflow also needs to know what to do when the preferred option cannot take the load.
Your AI logistics employee should not treat missing instructions as permission to decide freely. A late order may create pressure to use an unapproved provider or accept a higher rate. The appropriate response is to follow the customer's escalation rule. An unresolved approval can remain visible while the owner decides. That is more reliable than presenting a booking as complete when it was made outside the business's intended authority.
How should an order become an accepted carrier booking?
An order should become an accepted booking through checked shipment facts, provider selection, any required approval, and a clear carrier response. Your AI logistics coordinator should carry the work across those stages. Use a stable internal shipment reference and keep the Sage order relationship available. The carrier may use a different number. Record that relationship so later tracking, documents, and invoice review remain connected to the actual movement.
Step 1: Select the correct order or release
Your AI logistics coordinator should receive orders that meet the business's agreed readiness condition. An order existing in Sage may not be ready to ship. The selected input might represent a release, warehouse-ready shipment, or another approved event. Define that condition with operations and the system owner. The workflow should distinguish a new shipment from an updated order and an order that must not yet enter carrier coordination.
Your AI logistics employee should preserve stable identifiers when orders change. A repeated file may contain the same order with a new quantity or date. The business needs a rule for recognizing the update and deciding whether it affects an existing shipment. Duplicate prevention and change handling should be demonstrated as requirements. Do not assume a file-based starting method automatically supplies every needed control without configuration or review.
Step 2: Complete the freight facts
Your AI logistics coordinator should check the pickup and delivery locations, freight description, quantity units, weight, dimensions, and relevant service needs. Requirements depend on the mode and provider. Ask for missing information instead of inventing it. The owner may need to confirm a loading window, handling equipment, or customer receiving condition. Accurate input lets the carrier evaluate the real movement rather than price a shipment that later turns out to be materially different.
Your AI logistics employee should also check the meaning of dates. An order's requested delivery date is not the same as a confirmed receiving appointment. A warehouse-ready date is not a carrier pickup acceptance. Keep those distinctions in the tender. The provider should understand what is requested and what is already confirmed. This avoids making the carrier appear to have accepted a commitment that the source order merely proposed.
Step 3: Compare approved options on equivalent terms
Your AI logistics coordinator should request or compare provider options using the same shipment facts and relevant conditions. A lower rate may cover a different service, pickup date, or handling assumption. Identify the expected charge and limitations before choosing. Wilson negotiates within customer rules and approval limits. Do not present that as a guarantee of the lowest market price or a promise that every requested provider can cover every load.
Your AI logistics employee should preserve the reason for the proposed choice. A provider may fit because it meets the needed service within approved terms, not because its initial figure is lowest. Keep the customer's decision criteria understandable. If a required approval is outside the rule, route it to the owner. A useful workflow explains the decision without inventing a default carrier scorecard or recurring benchmarking feature.
Step 4: Send the tender and interpret the reply
Your AI logistics coordinator should send a shipment-specific tender to the approved provider after required decisions are complete. Include the relevant load details and terms. Use the agreed communication channel. Then check the reply for a clear acceptance of that movement. Silence is not confirmation. A rate quote is not necessarily acceptance. A question about readiness or service means the booking may still require work before the team can call the load covered.
Your AI logistics employee should follow the customer's next-action rule for a decline or no response. It may need clarification, escalation, or another approved provider. Avoid creating competing accepted bookings during that process. Safe replacement and withdrawal behavior should be demonstrated for the proposed workflow. Do not infer every double-booking control from general tendering capability. The business should know who owns unresolved acceptance and how the final commitment is recorded.
Step 5: Share the booking result
Your AI logistics coordinator should make the accepted provider, shipment reference, and relevant commitment available to the teams that need them. Confirm the actual destination for that information. It may be a shipment record and an agreed handoff to Sage users. If the ERP must receive a reference or status, define that method separately. A message confirming booking does not establish a tested ERP write-back or a universal bidirectional connection.
Your AI logistics employee should also preserve any remaining task after acceptance. Pickup confirmation, documents, tracking, and later exceptions still matter. Carrier acceptance starts the next stage of coordination. It does not mean freight has already been collected or delivered. Keep the stages clear so the warehouse and customer-facing teams understand the commitment that exists and the work that still needs to happen.
What should happen when the tender stalls?
A stalled tender should remain an owned freight task with a defined next action; your AI logistics coordinator should not disappear after sending the request. The carrier may need more information, reject the load, or fail to answer. The response should follow customer rules. Record the condition accurately and tell the appropriate owner. A clear unresolved booking is better than an order that appears shipped because its data successfully reached a freight tool.
What if the carrier asks for details Sage does not contain?
Your AI logistics coordinator should ask the named source owner for the missing freight fact. The warehouse may supply packed dimensions or pickup readiness. Customer service may supply receiving instructions. The Sage administrator may identify a source field that was omitted from the export. Use the right owner for the question. Do not treat every missing detail as an IT problem or ask a carrier to guess the physical shipment from product codes.
Your AI logistics employee should keep the existing tender context clear while seeking the answer. State that the carrier has not yet accepted if that remains true. Identify whether a previous rate or proposed pickup depends on the missing information. Once the fact is confirmed, provide it through the agreed process and seek the required response. Do not imply that answering one question automatically confirms the booking or preserves an earlier commercial offer.
What if the carrier declines?
Your AI logistics coordinator should record the decline and apply the customer's approved fallback or escalation rule. Another provider may be considered only within the permitted process. Confirm any changed rate or service. If a person must approve an exception, keep that decision visible. The order still needs a booking. A declined tender is useful information, but it does not move the freight or establish that the next carrier has accepted it.
Your AI logistics employee should avoid a universal fallback sequence that ignores the customer's priorities. Some loads may require a specific provider, appointment, or handling condition. A higher rate may need approval. A different pickup may affect production or receiving. Present the practical options and required decisions. The workflow should help the owner resolve the load rather than make unsupported commitments simply to remove an open tender from the queue.
What if the carrier does not answer?
Your AI logistics coordinator should follow up under the customer's response rule and escalate unresolved acceptance. Use the shipment reference and ask a clear question. Do not turn a sent email into a booking status. If an alternative is considered, the process must address the earlier tender safely. Ask the provider to demonstrate that behavior. The buyer needs to understand how unanswered work ends, not only how the first request is generated.
Your AI logistics employee should keep the warehouse informed of the actual booking position. A team may plan labor around a pickup that was only requested. State whether acceptance is confirmed, still pending, or being replaced through the approved process. That information supports practical planning without claiming a universal notification feature. Define who needs the update and which configured channel carries it in the customer's agreed workflow.
What should a Sage-to-tender demonstration prove?
The demonstration should prove that an actual Sage-origin order can become an accepted carrier movement under the customer's rules. Your AI logistics coordinator test should inspect the input, missing-data handling, decision, tender, and final response. Use an authorized sample and avoid live commitments unless explicitly approved. Confirm the Sage product and source method. The provider should show what is supported rather than infer a ready-made connector from the ERP brand name.
| Demonstration case | Buyer question | Useful evidence |
|---|---|---|
| Complete released order | Can the input become a carrier-ready shipment? | Correct mapped freight facts |
| Missing packed dimensions | Who gets the question? | Named data owner and unresolved task |
| Rate outside approval limit | Who authorizes the decision? | Required approval path |
| Carrier sends a quote only | Is booking still pending? | Quote distinguished from acceptance |
| Carrier declines or stays silent | What is the permitted next step? | Fallback or escalation with clear ownership |
| Accepted tender | Where is the booking result recorded? | Carrier reference and actual handoff |
Your AI logistics employee evaluation should include the final record readback. Ask an operations user to find the accepted provider and a Sage user to understand the order relationship. If a write-back is required, inspect that destination. If the proposed scope uses another handoff, identify it honestly. A successful order export is not a complete order-to-booking demonstration. The evidence should show the actual freight commitment and the remaining work.
How does Wilson fit this comparison?
Wilson fits as an AI logistics coordinator for the execution work after the order becomes an actionable shipment. It connects to the customer's ERP through an environment-specific method and coordinates approved providers under customer rules. Ask Cartage to demonstrate your Sage-origin input and carrier acceptance case. Keep route optimization, universal connectors, and automatic order closure outside the claim unless separately supported by approved scope. Wilson's freight execution role should remain clear and concrete.
Your AI logistics employee evaluation can build on shipping documents linked to ERP orders for later evidence and recording carrier decisions for provider choice. Check those related questions against your own workflow. The useful buying decision is whether the proposed process carries the order into accepted transport work and preserves the information your teams need afterward.
What should be decided before implementation?
Decide the source method, readiness condition, required freight fields, approval owners, and booking-result destination before implementation. Your AI logistics coordinator needs those practical rules more than a vague instruction to integrate Sage. Identify the actual Sage product and access conditions. Separate order intake from later system updates. That preparation helps manufacturers and distributors evaluate freight execution. An ERP order does not by itself arrange transport.
What if the Sage order changes after tendering?
A changed order needs a shipment-impact review, not an automatic second tender; your AI logistics coordinator should identify the existing movement first. The date, destination, quantity, or cancellation may affect an already proposed booking. Ask the authorized owner what changed and whether the freight still moves under the same plan. Keep the carrier's current commitment visible. An updated order file does not establish that the carrier has accepted the revised shipment.
Your AI logistics employee should follow the agreed change-approval process before communicating a new commitment. A quantity change may affect pricing or equipment. A date change may affect pickup and receiving availability. A cancellation may require explicit carrier coordination. Do not erase the earlier tender and assume its obligations disappeared. The correct next action depends on the actual accepted status, customer rules, and provider response.
What if the order is ready but approval is not?
The shipment should remain awaiting the required decision; your AI logistics coordinator should show the proposed option and the approval needed. State the carrier, rate, service conditions, and business impact clearly. The owner can then make an informed choice. Do not mark the freight booked merely because a quote exists. The unresolved task is approval followed by carrier acceptance, not another export from Sage.
Your AI logistics employee should keep the handoff concise enough for a manager to act. Identify what is within the approved rule and what is outside it. Avoid burying the decision in a long email chain about the order's history. The useful result is a clear authorized action and an accurate record of what the carrier subsequently accepts. That preserves the distinction between internal approval and an actual transport commitment.
What if carrier acceptance arrives after an escalation?
The late reply should be checked against the current shipment decision; your AI logistics coordinator should not assume it can be accepted without review. Another approved option may already be under consideration or committed. Identify the actual current position and owner before confirming anything further. The workflow should avoid giving two providers conflicting expectations. Ask the proposed setup to demonstrate the relevant case where it matters, rather than infer a universal late-response control from ordinary tendering capability.
FAQs
Sage has the order. Who sends the carrier tender?
The freight execution owner sends it after the order becomes a complete, approved shipment request. An AI logistics coordinator can perform that coordination within the agreed workflow. Someone must still check shipment facts, apply provider rules, and obtain acceptance. The ERP order alone is not a confirmed booking.
Can Wilson start from Sage order information?
Confirm the supported input method with Cartage for your actual Sage environment. Wilson is an AI logistics coordinator that connects with ERP-based workflows and handles freight execution. Do not assume a native connector for every Sage product. A file, message, or API arrangement must be specifically agreed and demonstrated.
Is the carrier's rate reply enough to mark the load booked?
Not necessarily; your AI logistics employee should distinguish a quote from acceptance of the shipment. The provider must clearly agree to the relevant movement under the approved process. A sent tender, unanswered message, or price response can leave booking work outstanding.
Will the accepted booking automatically update Sage?
Do not assume universal write-back; your AI logistics coordinator setup needs an agreed method and destination. Receiving order data and returning booking information are separate requirements. Ask Cartage to show the actual record handoff and identify any customer-owned or manual step.
