Shared freight inbox software: keep carrier replies with the right shipment
Key Takeaways
Shared freight inbox software should attach every carrier reply to the right shipment, show who owns the next step, and keep the full conversation with the load record. An AI logistics coordinator can read each reply, match it to the shipment, act on routine requests, and send the rest to the right person, so nothing depends on someone remembering where an email lives.
- A shared freight inbox is one email address that several people use to talk with carriers, such as logistics@company.com.
- Shared inboxes help coverage but often hide ownership: many people see a reply, and nobody acts.
- The reply belongs with the shipment, not only in the inbox. That is where people look when they need the history.
- Each reply should be matched by load, PO, PRO, BOL, or thread, and confirmed when unclear.
- Every reply that needs action needs one owner and a due time.
- Wilson, by Cartage, is an AI logistics coordinator that works carrier email, keeps shipment records with change history, and informs the people who need to know.
Why do carrier replies get lost in a shared inbox?
Carrier replies get lost in a shared inbox because everyone can see them, so everyone assumes someone else will act, and the reply never reaches the shipment record. An AI logistics coordinator should attach each reply to its load and name an owner for the next step.
A shared inbox is meant to make sure no email is missed when one person is out. It works for coverage. It often fails for follow-through. A carrier replies "Can't pick up until Friday." Three coordinators see it. One thinks another will handle it. The email is marked as read and moves down the list. The shipment record still says Thursday. On Thursday, nobody is ready for the problem.
The table below compares a shared inbox alone with one connected to shipment records.
| Need | Shared inbox alone | Inbox connected to shipments |
|---|---|---|
| See the reply | Anyone with access | Anyone, plus on the load record |
| Know which load | Read and search | Matched to the load |
| Know who acts | Unclear | Named owner and due time |
| See the history | Search old emails | Full thread on the load |
| Act on the reply | Depends on who reads | Routine actions done; others routed |
| Prove what was said | Find the email | Saved with the shipment |
Who reads the shared inbox
In many teams, whoever has a free minute reads the shared inbox. That spreads the work but also the confusion. A clear rule helps: the AI logistics coordinator reads and sorts every message first, then each person handles the replies assigned to their loads. People stop reading emails that are not theirs.
"Read" is not "handled"
Most inboxes track whether an email was read. That does not show whether anyone acted. A reply can be read by three people and handled by none. Inbox software should track whether the reply was resolved, not only opened. An AI logistics employee can mark each reply as open, in progress, or done.
Several shared inboxes
Large teams may have several shared inboxes: one per plant, one for quotes, one for tracking, one for invoices. Carriers often write to the wrong one. The software should read all of them and bring replies to the same shipment record, no matter which inbox received them. An AI logistics coordinator can watch each agreed inbox and keep the loads in one place.
The record is where people look
When a customer calls, customer service opens the shipment, not the shared inbox. When finance checks an invoice, it opens the shipment. If the carrier's reply is only in the inbox, these people never see it. Attaching replies to the shipment puts the conversation where people look.
Why teams use shared inboxes
Teams use shared inboxes so carriers have one address that always works, even when a coordinator is out or leaves the company. That is a good goal. Personal inboxes create gaps when people change roles. A shared inbox keeps the conversation with the company. The missing piece is connecting each email to the right load and the right person. An AI logistics coordinator adds that piece.
The cost of lost replies
A lost reply can cost a missed pickup, a late delivery, an unpaid carrier, or a dispute nobody can settle. The cost often shows up days later, far from the email that caused it. Teams then spend time searching inboxes to rebuild what happened. An AI logistics employee that attaches every reply to its load prevents both the problem and the search.
Volume makes it worse
A busy logistics team may receive hundreds of carrier emails a week in a shared inbox. Quotes, confirmations, delays, documents, invoices. Sorting them by hand takes hours. Important replies hide among routine ones. An AI logistics coordinator can sort them by load and type as they arrive.
How should inbox software match a carrier reply to the right shipment?
Inbox software should match a reply by the references it contains, the thread it belongs to, and the details of open loads, and ask the carrier when more than one load fits. An AI logistics coordinator should never attach a reply to a load on a guess.
Match first, then act
Matching is the first step. Without the right load, every later action may be wrong. An AI logistics coordinator should confirm the match before updating any record or replying with a decision.
Matching clues, from strongest to weakest
| Clue | Example |
|---|---|
| Shipper's load number | "Load 4410" |
| Purchase order number | "PO 55102" |
| Carrier's own load or trip number | "Trip 88231" saved at booking |
| PRO number | "PRO 4418823" for LTL |
| BOL number | "BOL 7720" |
| Email thread | Reply to the tender or booking email |
| Details | Pickup city, date, destination, pallets |
A purchase order, or PO, is the document a customer uses to place an order. A PRO number is the tracking number an LTL carrier assigns. A bill of lading, or BOL, is the shipping document that lists the freight and serves as a receipt.
One email, several loads
Dispatchers sometimes answer about several loads in one email: "4410 picked up, 4411 tomorrow, 4415 running late." The software should split the email and attach each line to its own load. Attaching the whole email to one load hides the other two updates. An AI logistics employee can split multi-load replies and act on each part.
Threads matter most for short replies
Many replies say only "Confirmed" or "Running late." They have no number. If the thread was tied to a load when the tender was sent, the reply follows the thread to the load. An AI logistics employee should keep a link between each thread and its load.
Check the sender
Replies should come from the carrier that holds the load. An email from an unknown address claiming to be the carrier, especially one asking to change payment details or pickup addresses, deserves a check with a known contact. An AI logistics coordinator can flag replies from new senders before acting on them.
Ask when unclear
If two loads fit, ask the carrier which one. A wrong match puts a delay on the wrong load and leaves the right one unchanged. A short question such as "Is this about load 7101 or 7104?" prevents that.
Replies with attachments
Many carrier replies carry documents: rate confirmations, bills of lading, proofs of delivery, invoices. A rate confirmation is the document that confirms the agreed price and terms for one load. The attachment should be read and saved with the load, not left in the inbox. The references inside it can also confirm the match. An AI logistics coordinator can read attachments and file them with the right shipment.
Save the carrier's references at booking
Matching is easier when the carrier's own numbers are saved at booking. Then a reply that uses only the carrier's trip number can still be matched. An AI logistics coordinator can save these numbers from the carrier's acceptance.
Reply from the same address
Replies to carriers should come from the shared address, not from personal inboxes. That keeps the whole conversation in one thread the team can see. If a coordinator replies from a personal address, the carrier's next reply may go there and be missed. An AI logistics employee can reply from the shared address and keep the thread intact.
Hypothetical example: a reply with no number
This example is hypothetical and does not describe a real customer. A carrier replies "Truck broke down, ETA tomorrow 10am" to a thread from earlier in the week. The thread started with the tender for load 6612. The AI logistics coordinator attaches the reply to load 6612, records the new ETA, and alerts the logistics owner because delivery will be late. The reply never sits unhandled in the inbox.
Who should own a carrier reply that needs action?
The owner of the load should own any reply that needs action, and the inbox software should show that owner and a due time. An AI logistics coordinator can own routine replies itself and route others to the load's human owner.
Sort by type, not only by load
Replies come in types: confirmations, delays, document deliveries, rate questions, invoice questions. Sorting by type helps route them. Invoice questions may go to finance; delay notices to the load owner; documents to the record. An AI logistics employee can tag each reply by type and route it.
Close each reply clearly
Each reply should end with a clear status: handled, waiting on carrier, or waiting on a person. An AI logistics coordinator can set the status and show it on the load, so nobody wonders whether a reply was dealt with.
Owner by load, not by inbox
Ownership should follow the load. If Maria owns load 4410, any reply about 4410 belongs to her, even if Jamal opened the inbox first. This avoids the "someone else will do it" problem. An AI logistics employee can assign replies by load owner.
Tell the owner, not everyone
Send the reply to its owner, not the whole team. A message to everyone is a message to no one. An AI logistics employee can notify only the owner and the backup.
Due times
Each reply that needs action should have a due time based on urgency. A pickup change for tomorrow needs action today. A document request for next week can wait a day. Due times keep urgent replies at the top.
Hypothetical example: a routine morning
This example is hypothetical and does not describe a real customer. A distributor's shared inbox receives 60 carrier emails before 10 a.m. The AI logistics coordinator matches 55 to loads, records 40 routine confirmations and pickups, files 8 PODs, and assigns 7 replies that need action to their load owners with due times. It asks carriers about 5 emails it cannot match. The coordinators start the day with a short list instead of a full inbox.
Routine replies handled automatically
Many replies are routine: "Confirmed," "Picked up," "Delivered, POD attached." These can be recorded without a person. A POD, or proof of delivery, is the signed record that the receiver took the freight. An AI logistics coordinator can record routine replies and close them.
Due times by reply type
Simple rules for due times help: pickup changes and cancellations within an hour; delay notices within two hours; document requests within a business day; invoice questions within two business days. An AI logistics coordinator can set due times by type and show which replies are close to due.
Replies that need a person
Some replies need judgment: a rate increase, a cancellation, a damage report. These should go to the load owner, or to a manager under the approval rules, with the facts. An AI logistics employee can prepare the facts and options.
Clear the inbox daily
Aim for no unmatched carrier replies at the end of each day. An AI logistics coordinator can report any that remain and why.
Show the open list
Each owner should see a short list of replies waiting for them, sorted by due time. Managers should see the whole team's open list. When the list is visible, replies do not sit. An AI logistics employee can keep the list current as replies arrive and close.
Escalate overdue replies
If a reply passes its due time without action, escalate it to the owner's manager or backup. Overdue replies are where problems grow. An AI logistics coordinator can escalate with the reply, the load, and the reason it matters.
Backups
When an owner is away, replies should go to a named backup. The inbox software should know who is away. An AI logistics coordinator can reroute replies when an owner is out.
What should the shipment record show about carrier conversations?
The shipment record should show every carrier message about the load, in order, with what was decided and who acted. An AI logistics coordinator should keep the conversation with the load from the tender to the final invoice.
Customer messages belong too
Messages with the customer about the shipment, such as delay notices and their replies, belong in the same record. Then anyone can see what the carrier said and what the customer was told. An AI logistics employee can keep carrier and customer messages together on the load, clearly labeled.
What to keep
| Item | Why |
|---|---|
| Tender and acceptance | Shows the original agreement |
| Every carrier reply | Shows changes, problems, and answers |
| Shipper replies | Shows what was agreed |
| Decisions and owners | Shows who acted and when |
| Attachments | Rate confirmations, BOLs, PODs, invoices |
| Phone notes | Calls summarized in writing |
Make the record searchable
People should be able to find a conversation by load number, PO, carrier, date, or keyword. A record that cannot be searched is almost as bad as no record. Wilson keeps searchable shipment records with change history, so conversations can be found from any of these starting points.
Keep it in order
The conversation should read like a timeline. Anyone opening the load can see what happened, in order, without searching. Wilson keeps searchable shipment records with change history.
Attachments with the right load
File each attachment with the load it belongs to, not only with the email. An AI logistics employee can store PODs, BOLs, and rate confirmations where finance and customer service will look for them.
Keep internal notes separate
Some notes are for the team only, such as "carrier often late on this lane." These should be stored with the load but marked as internal, so they are not sent to carriers or customers by mistake. An AI logistics employee can keep internal notes separate from messages.
Phone calls belong too
Some conversations happen by phone. A short note after each call, saved with the load, keeps the record complete. An AI logistics employee can record call outcomes where calls are configured.
Records help new team members
When a new coordinator joins, the shipment records show how carriers communicate, what problems happen on each lane, and how they were solved. The record becomes a training tool. An AI logistics coordinator keeps that history complete without extra work.
Keep the record complete
A record with gaps is hard to trust. An AI logistics coordinator should save every carrier message about the load, not only the important ones, so the timeline is complete.
Why it matters later
The record helps with disputes, audits, and customer questions. If a carrier bills detention, the record may show the carrier asked to move the pickup. Detention is a fee a carrier bills when its truck waits too long at a dock. If a customer asks why delivery was late, the record shows the carrier's message and the shipper's response.
How should you evaluate shared freight inbox software?
Evaluate shared freight inbox software by sending real carrier replies through it and checking whether each one reaches the right load, gets an owner, and leads to action. An AI logistics coordinator should handle routine replies and route the rest.
Look at the open list
Ask to see the open-reply list after the test. It should be short and clear. An AI logistics coordinator should show who owns each open reply and when it is due.
Demo tests for shared inbox software
| Buyer requirement | Demo test | Evidence to see |
|---|---|---|
| Matches by reference | Reply with a PO number | Attached to the right load |
| Matches by thread | Reply with no number | Attached through the thread |
| Asks when unclear | Reply that fits two loads | Carrier asked which load |
| Names an owner | Reply needing action | Owner and due time shown |
| Handles routine replies | "Picked up" reply | Recorded and closed |
| Routes judgment calls | Rate increase reply | Sent to owner or approver |
| Keeps history | Open the load | Full conversation in order |
| Covers absences | Mark owner away | Backup receives replies |
Include a multi-load reply
Send one email that updates three loads. Watch whether the AI logistics coordinator splits it and updates each load. Many tools attach the whole email to the first load only.
Demo questions about shared inbox software
- How does the AI logistics coordinator match replies without load numbers?
- How are owners assigned, and how are absences handled?
- Which replies can it handle without a person?
- How does it show open replies and due times?
- Where does the conversation appear on the shipment?
- Can it read attachments like PODs and invoices?
Ask about overdue escalation
Ask what happens when a reply passes its due time. If nothing happens, replies will still be lost. The AI logistics coordinator should escalate overdue replies to a backup or manager.
How to measure shared inbox work
Count replies attached to the right load without a person. Track the time from reply to action. Count replies that sat unhandled past their due time. These measures show whether the AI logistics employee turns a shared inbox into handled work.
Use a real day of inbox traffic
Give the vendor a copy of one busy day of your shared inbox. Ask the AI logistics coordinator to sort it: which replies match which loads, which need action, and who owns them. The result shows how much sorting work it would remove.
Scoring the shared inbox demo
Score each test as pass, partial, or fail. A pass means the reply reached the right load, got an owner, and was acted on. A partial means it reached the load but nobody owned the next step. A fail means it stayed in the inbox.
Warning signs in a shared inbox demo
- The tool tracks "read" but not "handled."
- Replies stay in the inbox and never reach the load.
- Ownership is by whoever opens the email.
- Threads without numbers are not matched.
Where does Wilson fit in a shared freight inbox?
Wilson, by Cartage, is an AI logistics coordinator that works carrier email, matches replies to shipments, and informs the people who need to know. It works with carriers through email, API, EDI where the carrier supports it, and phone calls where configured. EDI, or electronic data interchange, is an older standard for exchanging business documents.
Wilson replaces the TMS for freight execution and connects to the company's ERP through a method that fits the customer's environment. It uses an email address on the customer's own domain, so carriers write to it like any member of the logistics team. It keeps searchable shipment records with change history.
Records that survive staff changes
Because Wilson keeps the conversation with each load, the history stays when people change roles. A new coordinator can open any load and see what was said.
What Cartage asks about shared inboxes in discovery
Cartage asks which inboxes carriers write to, how many emails arrive each day, who owns which loads, and which replies take the most time. These answers shape how an AI logistics coordinator works the inbox.
What Wilson does not do in a shared inbox
Wilson does not act on replies it cannot match with confidence; it asks. It does not make decisions outside the customer's approval rules. Specific inbox setup and routing should be confirmed in a demo. Exact ERP connection details depend on the customer's systems.
Reports on inbox work
Over time, records show how many replies arrive, how many are routine, and how fast the rest are handled. Wilson can use shipment data from the loads it runs to produce reports on request. Teams can use those reports to plan staffing and to talk with carriers who send unclear messages.
Where teams start with a shared inbox
Most teams start their AI logistics coordinator on a few lanes and expand from there. Timing depends on scope. Cartage helps identify the first workflow during discovery. Teams often start with the shared inbox that gets the most carrier replies.
Teams keeping replies with loads can read why a carrier email reply belongs in the shipment record. Teams comparing inbox tools can see AI freight inbox software for manufacturers. Both topics shape how an AI logistics coordinator works a shared inbox. Teams worried about missed messages can review what happens when a carrier reply is missed.
