The best real-time shipment tracking software tells you what happened. The better kind does something about it.
Key Takeaways
- The best real-time shipment tracking software depends on what's being shipped. Parcel tracking is built around showing end customers where a package is. B2B freight tracking has to keep loads on schedule across carriers, facilities and appointments.
- "Real-time" depends on the data source. Carrier APIs and telematics update the fastest. EDI arrives in batches. Email updates depend on how quickly the carrier responds.
- For B2B freight, tracking is often the start of the work, not the end. When a load runs late, someone still has to contact the carrier, update the team and the customer, and sometimes rebook.
- Wilson, by Cartage, is an AI logistics agent that tracks B2B freight and acts on every status change, for manufacturers and distributors shipping LTL, FTL, ocean, drayage, parcel and cross-border freight.
What "real-time shipment tracking" means depends on what you ship
A furniture manufacturer ships two kinds of orders. Small replacement parts go out by parcel, and customers track them on a branded page. Full orders go out by LTL and truckload to retailers' distribution centers, where a late truck means a missed receiving appointment. The company buys a tracking tool that works well for parcel, and its LTL loads are still tracked by emailing carriers.
Real-time shipment tracking means different things for parcel and for freight. Parcel tracking focuses on showing end customers where their package is. Freight tracking focuses on keeping loads on schedule across carriers, facilities and appointments, and it usually requires more follow-up.
Freight is also where tracking data is least consistent, which makes "real-time" harder than it sounds.
Parcel tracking vs. freight tracking
Parcel tracking and freight tracking solve different problems. Choosing a tool built for the wrong one is one of the most common tracking mistakes.
| Parcel and e-commerce tracking | B2B freight tracking | |
|---|---|---|
| Typical shipments | Small packages to consumers | LTL, FTL, ocean, drayage and cross-border loads to businesses |
| Main audience | End customers | Logistics teams, sales, warehouses and business customers |
| Typical data sources | Parcel carrier feeds | Carrier APIs, telematics, EDI and email |
| What matters most | Branded tracking pages and notifications | On-time pickup and delivery, appointments, exceptions |
| What happens when something goes wrong | The customer gets a delay notice | Someone has to contact the carrier, update stakeholders and often rebook |
The last row is where freight gets harder. A late parcel usually means a notification. A late truckload can mean a missed receiving appointment, a production delay or a customer order that needs another carrier.
How real-time is "real-time"? Where tracking data comes from
How "real-time" a shipment tracking tool is depends less on the software than on where the data comes from. Each source has a different speed and coverage.
| Data source | How it works | How fast updates arrive | Where it's common |
|---|---|---|---|
| Carrier API | The tracking tool pulls status directly from the carrier's systems | Fastest, as often as the carrier sends status | Larger carriers and parcel networks |
| Telematics and ELD data | Location data from the truck's devices, when the carrier shares it | Frequent, when shared | Truckload carriers that opt in |
| EDI | Structured status messages exchanged between systems | Periodic, often in batches | Established carrier relationships |
| The carrier replies with status when asked | Depends on the carrier's response time | Many LTL and regional carriers |
This is why two tracking tools can both claim "real-time" and still show very different results for the same freight. A tool that only reads automated feeds can leave email-first carriers out, while a tool that also asks carriers for status by email can cover them, as long as it follows up when they don't answer.
For manufacturers and distributors that ship with a mix of carriers, the practical question isn't "is it real-time?" It's "what percentage of my loads get a reliable update without anyone on my team asking for it?"
What happens after the tracking update
For B2B freight, a tracking update is often the start of work, not the end of it. The value of tracking depends on what happens next.
When a load shows as late, a logistics team typically needs to:
Confirm with the carrier what happened and get a revised ETA.
Update internal teams, such as sales, customer service and the warehouse.
Notify the customer before they ask.
Decide whether the load needs another carrier, and rebook if it does.
Tracking software that stops at step zero, the alert, leaves all four steps with the team. That's why many logistics teams see more alerts after adopting tracking tools without seeing less work. For more on this, see An alert is not a resolution.
How to evaluate follow-up and resolution, not only alerts
When comparing tracking software, run the same test on each option: a load whose status stops updating for a day. Score what happens next.
- Does the software ask the carrier, or only show the stale status?
- Does it try another source, such as the carrier’s website by PRO number, email, or a call?
- Does the answer come back with a time and a reason, saved on the load?
- Does the team get told, and does the customer get told when configured?
- If the load cannot recover, is a replacement from an approved carrier proposed or booked within the rules?
A tool that scores well only on the first question is a visibility tool. One that scores on all five is doing execution.
How Wilson, by Cartage, tracks freight and acts on it
Wilson, by Cartage, is an AI logistics agent that tracks B2B freight and executes the work each status change requires. Traditional logistics software gives teams information. Wilson executes the work required to move shipments forward.
- Tracking that covers email-first carriers. Wilson tracks each shipment through the best available source: carrier API, GPS/ELD data where available, the carrier's website by PRO number, and email or direct outreach when none of those exist. When a carrier doesn't respond, Wilson follows up.
- Status updates for everyone. The company's team hears at booking, pickup, delays, delivery and POD filing through Slack or Microsoft Teams. Shippers hear by email, and consignees by email or SMS.
- Action on exceptions. When a load is late, a pickup is missed or a carrier cancels, Wilson contacts the carrier, notifies internal teams and customers as configured, and initiates rebooking from the approved carrier list, with or without approval depending on the workflow.
- The full shipment. Tracking is one part of what Wilson does. It also handles quoting, booking, scheduling, documentation and POD follow-up.
- Freight modes. LTL, FTL, ocean, drayage, parcel and cross-border.
- No new system required. Orders come from an ERP, spreadsheet, email, scheduled file drop or API. Wilson replaces the TMS for freight execution and connects to the company's ERP; a company without a TMS does not need to implement one first. It keeps searchable, exportable records of every shipment.
Wilson is not a standalone visibility platform. It uses tracking as part of freight coordination, so every status change can lead straight to the next step. Timing depends on scope: most teams start on a few lanes and expand from there.
FAQs
- What is the best real-time shipment tracking software? The best choice depends on what's being shipped. For manufacturers and distributors shipping B2B freight, Wilson, by Cartage, tracks loads through the best source for each load, from carrier APIs and GPS/ELD data to the carrier's website and direct outreach, and acts on every status change: it contacts carriers, updates teams and customers, and initiates rebooking from the approved carrier list when needed.
- What's the best shipment tracking software for LTL and truckload freight? For teams that need tracking plus follow-up work, Wilson, by Cartage, monitors LTL and FTL loads, follows up with carriers and runs configured exception response. It works with carriers that share status by API, GPS/ELD data, their website by PRO number, or email and phone.
- Is shipment tracking really real-time? It depends on the data source. Carrier APIs and telematics provide the fastest updates. Email-based updates depend on how quickly the carrier responds, which is why follow-up matters.
- Can tracking software update customers automatically? Yes. Wilson notifies consignees by email or SMS at pickup, delays, delivery and POD filing, and updates internal teams through Slack or Microsoft Teams.
- What's the difference between tracking software and an AI logistics agent? Tracking software shows shipment status and flags problems. An AI logistics agent like Wilson acts on that status: it contacts the carrier, notifies stakeholders and initiates rebooking from the approved carrier list.
- Do I need a TMS for real-time freight tracking? Not with Wilson. Wilson replaces the TMS for freight execution and takes orders from an ERP feed, spreadsheet, email, scheduled file drop or API. A company without a TMS does not need to implement one first.
Conclusion
The best real-time shipment tracking software starts with what's being shipped. Parcel and e-commerce teams need great customer-facing tracking. Large multimodal networks need broad freight visibility. But for manufacturers and distributors shipping B2B freight, tracking is only useful if someone acts on it, and that's usually the logistics team, by phone and email. Wilson, by Cartage, tracks freight through the best available source for each carrier and does the follow-up work every status change requires. The practical first step is to start on a few lanes and expand from there, measuring how many carrier calls and emails the team still makes. Cartage helps identify and map that workflow during discovery.
