How AI Automates Freight Documents: Rate Confirmations, BOLs, Packing Slips, and Pallet Labels
Key Takeaways
- Every freight shipment needs 4 core documents at booking: a rate confirmation, a bill of lading (BOL), a packing slip and pallet labels. A fifth document, the proof of delivery (POD), closes the shipment.
- AI can automate freight documents by producing them at booking from the order and carrier details, keeping them with the shipment record and following up on the POD after delivery.
- Wilson, by Cartage, is an AI agent that produces rate confirmations, bills of lading, packing slips and pallet labels, and follows up on proof of delivery, for manufacturers and distributors.
- Documents stay connected to the shipment. Wilson keeps every document in searchable, exportable shipment records with change history.
- Wilson replaces the TMS for freight execution. It connects to the company's ERP and works from an ERP feed, spreadsheet, email, scheduled file drop or API.
Which freight documents does every shipment need?
A distributor books 30 loads in a day. For each one, a coordinator copies details from the ERP into a rate confirmation, fills out a bill of lading, prints packing slips and makes pallet labels for the warehouse. A single typo in a BOL or a missing label can mean a refused delivery or a billing dispute weeks later.

| Document | What it does | When it's created | Who uses it |
|---|---|---|---|
| Rate confirmation | Records the agreed carrier, price and terms | At booking | Shipper and carrier |
| Bill of lading (BOL) | Serves as the shipping contract and receipt for the goods | At booking, before pickup | Shipper, carrier and consignee |
| Packing slip | Lists what's in the shipment | Before pickup | Warehouse and consignee |
| Pallet labels | Identify each pallet in the shipment | Before pickup | Warehouse, carrier and consignee |
| Proof of delivery (POD) | Confirms the consignee received the shipment | After delivery | Shipper, finance and customer |
What is a rate confirmation, and how does AI automate it?
A rate confirmation is the document that records the carrier, price and terms agreed for a specific load. An AI agent automates it by producing the rate confirmation as soon as the carrier is selected and the load is tendered.
| Step | Trigger | What the AI agent does | When a person steps in |
|---|---|---|---|
| 1. Carrier selected | Quotes are compared and approved | Captures the agreed carrier, rate and terms | Approval above the cost threshold |
| 2. Produce | The load is tendered | Produces the rate confirmation from the order and quote details | Not required |
| 3. Send | The document is ready | Shares it with the carrier as part of the tender | Not required |
| 4. Store | The carrier accepts | Keeps it with the shipment record | Not required |
The rate confirmation matters later, too: it's the reference for checking the carrier's invoice. For the full booking workflow, see carrier quotes, tenders and booking confirmations.
What is a bill of lading (BOL), and how does AI automate it?
A bill of lading (BOL) is the shipping document that serves as the contract between the shipper and the carrier and as the receipt for the goods. An AI agent automates it by producing the BOL from the order and booking details before pickup.
A BOL typically includes:
- Shipper and consignee names and addresses.
- Pickup and delivery details.
- A description of the goods, including piece count and weight.
- Freight class for LTL shipments, when provided.
- Special handling or delivery instructions.
| Step | Trigger | What the AI agent does | When a person steps in |
|---|---|---|---|
| 1. Booking confirmed | The carrier accepts the tender | Pulls shipment details from the order and booking | If key details are missing |
| 2. Produce | Details are complete | Produces the BOL | Not required |
| 3. Share | Before pickup | Makes it available to the shipping team and carrier | Not required |
| 4. Store | The BOL is issued | Keeps it with the shipment record | Not required |
Getting the BOL details right at the start matters, because what's on the BOL affects how the shipment is handled and billed.
What are packing slips and pallet labels, and how does AI automate them?
A packing slip lists the contents of a shipment, and pallet labels identify each pallet so it can be tracked and received correctly. An AI agent automates both by producing them from the order details when the load is booked.
| Step | Trigger | What the AI agent does | When a person steps in |
|---|---|---|---|
| 1. Booking confirmed | The load is booked | Pulls items, quantities and ship-to details from the order | If order details are incomplete |
| 2. Produce packing slip | Details are complete | Produces the packing slip | Not required |
| 3. Produce pallet labels | Pallet count is known | Produces a label for each pallet | Not required |
| 4. Share with the warehouse | Before pickup | Makes the documents available to the shipping team | Not required |
Packing slips and pallet labels are what the consignee checks at receiving. Accurate documents reduce refused deliveries and shortage disputes.
How does Wilson, by Cartage, automate freight documents?
Wilson, by Cartage, is an AI agent that produces rate confirmations, bills of lading, packing slips and pallet labels at booking, follows up on proof of delivery after delivery, and keeps every document with the shipment record. Traditional logistics software gives teams information. Wilson executes the work required to move shipments forward, including the paperwork.
Documents are part of the full shipment. Wilson handles each load from quote and booking through scheduling, tracking and delivery, so the documents come from the same data the agent used to book the load. After delivery, Wilson follows up with the carrier until the POD arrives, files it and notifies the team, shipper and consignee. For POD follow-up, see The shipment isn't done until the POD is filed.
Five guardrails keep the team in control:
Approved carriers only, with the company's own carriers tendered first.
Approvals configurable per workflow, for example above a cost threshold.
Escalation when order details are missing or unclear.
Change history on every shipment, in searchable, exportable records.
Gradual autonomy, starting with assisted execution.
After delivery, the invoice: Wilson audits and reconciles each carrier invoice against what was booked, using the rate confirmation, and pays carriers from the Wilson Wallet. Payments above approval limits or outside the rules wait for a person.
How it fits: orders come from an ERP, spreadsheet, email or scheduled file drop. Wilson supports LTL, FTL, ocean, drayage, parcel and cross-border freight. Wilson replaces the TMS for freight execution and connects to the company's ERP; a company without a TMS does not need to implement one first. Timing depends on scope: most teams start on a few lanes and expand from there.

FAQs
- Can AI create freight documents automatically? Yes. Wilson, by Cartage, is an AI agent that produces rate confirmations, bills of lading, packing slips and pallet labels at booking, from the order and carrier details.
- What is a rate confirmation in trucking? A rate confirmation is the document that records the carrier, price and terms agreed for a load. It's issued when the load is tendered and is used later to check the carrier's invoice.
- What is a bill of lading (BOL)? A bill of lading is the shipping document that serves as the contract between shipper and carrier and as the receipt for the goods.
- What's the difference between a BOL and a rate confirmation? The rate confirmation records the commercial agreement between shipper and carrier (carrier, price and terms). The BOL travels with the freight as the shipping contract and receipt for the goods.
- What is a packing slip? A packing slip lists the items and quantities in a shipment, so the consignee can check what was received.
- Why do pallet labels matter? Pallet labels identify each pallet, which helps carriers and consignees track, receive and match freight to the right order.
- Does Wilson collect proof of delivery? Yes. After delivery, Wilson follows up with the carrier until the POD arrives, files it with the shipment record and notifies the team.
- Does Wilson audit freight invoices? Yes. Wilson audits and reconciles each carrier invoice against what was booked and pays carriers from the Wilson Wallet. Payments above approval limits or outside the rules wait for a person.
Conclusion
Every load comes with paperwork: a rate confirmation, a bill of lading, a packing slip, pallet labels and, eventually, a proof of delivery. When a coordinator produces them by hand, the paperwork slows down booking and creates room for errors that show up later as refused deliveries or billing disputes. Wilson, by Cartage, produces the documents at booking from the same data it used to book the load, follows up on the POD and keeps everything with the shipment record. The practical first step is to start Wilson on a few lanes and expand from there. Cartage helps identify and map that workflow during discovery.
