A booked load still needs a rate confirmation
Key Takeaways
A booked load still needs a rate confirmation because booking only shows that a carrier said yes, while the rate confirmation writes down the price and terms both sides agreed to. An AI logistics coordinator should not treat a load as fully set until the confirmation is on file and matches the tender.
- Booking means a carrier accepted the load. It does not prove what price or terms were accepted.
- A rate confirmation is the document that states the agreed rate, the load details, and the terms for one load.
- Many teams mark a load "booked" and stop there. The document gap shows up later, at invoice time.
- A good shipment record shows two separate steps: booked and confirmed.
- The rate confirmation should match the tender on rate, equipment, dates, stops, and accessorials.
- Wilson, by Cartage, is an AI logistics coordinator that books loads with approved carriers, collects documents such as rate confirmations, and audits each carrier invoice against what was booked.
What is the difference between a booked load and a confirmed load?
A booked load is one a carrier has accepted. A confirmed load is one where the agreed price and terms are written in a rate confirmation that both sides accept. An AI logistics coordinator should track these as two separate steps, because a load can be booked for hours or days before the terms are in writing.
Booking happens fast. A shipper sends a tender, which is an offer of a load to a carrier. The carrier accepts by email, phone, portal, or EDI. EDI, or electronic data interchange, is a standard format that lets two companies' systems exchange business documents. Once the carrier says yes, the load is booked. But the acceptance may be one word, such as "Yes" or "Covered." It may not repeat the rate or the terms.
The table below shows how the two steps differ.
| Question | Booked | Confirmed |
|---|---|---|
| Did the carrier say yes? | Yes | Yes |
| Is the rate in writing from both sides? | Not always | Yes |
| Are accessorial terms written down? | Rarely | Yes |
| Are detention rules clear? | Rarely | Yes |
| Can the invoice be checked easily? | Sometimes | Yes |
| Is there a single document to point to? | No | Yes |
Why the gap exists
The gap exists because booking and paperwork often happen in different places. A coordinator books by phone while the rate confirmation goes out by email. A carrier accepts in a portal while its billing team sends a separate load confirmation. Each step is small, but they do not always connect. An AI logistics employee can link the acceptance and the document in one shipment record.
A simple test for any load
Ask one question about any booked load: if the invoice arrived today, could the team check every line against one document? If the answer is no, the load is booked but not confirmed. This test works for any mode, from truckload to less-than-truckload. Less-than-truckload, or LTL, is freight that shares a trailer with other shippers' freight. LTL loads often use a carrier's tariff and a bill of lading instead of a load-level rate confirmation, so the team should know which document holds the price for each mode.
What "booked" often hides
A "booked" status can hide open questions. The carrier may think the rate includes fuel when the shipper thinks it does not. The carrier may expect two free hours of detention while the shipper's terms give one. Detention is a fee a carrier bills when its truck waits too long at a dock. These differences stay hidden until the invoice arrives.
Who should own the confirmation step
One person or system should own the step from booked to confirmed. If the person who booked the load assumes billing will collect the document, and billing assumes the booker did, nobody does it. The owner should be named in the shipment record. An AI logistics coordinator can own the routine work and pass only the exceptions to a person.
Hypothetical example: booked but not confirmed
This example is hypothetical and does not describe a real customer. A coordinator books a load by phone at $1,800. The carrier's dispatcher says "Got it." The load shows "booked." No rate confirmation is sent. Two weeks later, the invoice shows $1,800 plus a $250 fuel surcharge. The coordinator believed $1,800 was all-in. The carrier believed fuel was extra. Without a written confirmation, the team spends three emails and a phone call to settle it.
What should a rate confirmation contain?
A rate confirmation should contain the load identity, the agreed rate, the service details, and the terms that affect cost. An AI logistics coordinator should check each of these against the tender before marking the load confirmed.
The core fields
| Field | What to check |
|---|---|
| Load or shipment number | Matches the shipment record |
| Carrier name and MC or DOT number | Matches the approved carrier |
| Pickup location, date, and window | Matches the tender |
| Delivery location, date, and window | Matches the tender |
| Equipment type | Dry van, reefer, flatbed, or other, as tendered |
| Commodity and weight | Matches the order |
| Linehaul rate | Matches the agreed price |
| Fuel terms | All-in or separate, as agreed |
| Accessorials | Only those agreed, with amounts |
| Detention terms | Free time and hourly rate |
| Signatures or acceptance | Both sides |
An MC number is a carrier's operating authority number from the Federal Motor Carrier Safety Administration, or FMCSA. A DOT number is the carrier's registration number with the U.S. Department of Transportation. Linehaul is the base charge for moving the freight from origin to destination.
All-in versus separate fuel
Fuel is the most common point of confusion. An "all-in" rate includes fuel. A rate "plus fuel" adds a fuel surcharge on top. The confirmation should say which one applies. If it does not, the invoice may add a charge the shipper did not expect.
Accessorials should be listed, not implied
An accessorial charge is a fee for extra service beyond the base rate, such as liftgate, inside delivery, or a second stop. The confirmation should list each agreed accessorial with its amount. If a service is not listed, it should not be billed without a new agreement. This simple rule saves many disputes.
Payment terms
The confirmation can also state payment terms, such as how many days after delivery the carrier will be paid and what documents it must send with the invoice. Most carriers need a signed proof of delivery, or POD, to bill. A POD is the document the receiver signs to show the freight arrived. When payment terms are written on the confirmation, the carrier knows what to send and when to expect payment. That cuts down on calls asking about payment status.
Special instructions
Some loads need special handling: a temperature range for a refrigerated load, an appointment number, or a driver who must call ahead. These instructions belong on the confirmation too. When they are written down, the carrier cannot later say it did not know.
Shipper form or carrier form
Some shippers send their own rate confirmation form. Others accept the carrier's load confirmation. Both can work. The shipper's own form has one advantage: the fields and terms are the same on every load, which makes the comparison easier. The carrier's form may use different names for the same charge. If the team accepts carrier forms, the software should map each carrier's terms to the shipper's fields.
Hypothetical example: two forms, one load
This example is hypothetical and does not describe a real customer. A distributor sends its standard rate confirmation for load 6105 at $1,450 all-in. The carrier signs it and also sends its own load confirmation, which says "$1,450 plus FSC." FSC means fuel surcharge. The AI logistics coordinator notices that the two documents disagree on fuel. It asks the carrier which one applies. The carrier confirms the shipper's form is correct. The record keeps both documents and the carrier's reply.
How should freight software move a load from booked to confirmed?
Freight software should move a load from booked to confirmed in clear steps: record the acceptance, send or request the rate confirmation, compare the document with the tender, and mark the load confirmed only when it matches. An AI logistics coordinator should do these steps for every load, not only when someone remembers.
Step-by-step workflow
| Step | Trigger | What the AI logistics coordinator does | When a person steps in |
|---|---|---|---|
| 1. Record acceptance | Carrier says yes | Saves the acceptance to the shipment record | Never, unless the acceptance is unclear |
| 2. Send or request document | Load is booked | Sends the shipper's rate confirmation or asks for the carrier's | Never for routine loads |
| 3. Set a deadline | Request sent | Sets the time the signed document should arrive | Team sets the rule once |
| 4. Compare | Document arrives | Checks rate, dates, equipment, stops, and terms | When a field does not match |
| 5. Mark confirmed | Document matches | Changes status to confirmed | Never |
| 6. Escalate | Deadline passes | Follows up, then alerts the owner | Owner decides next step |
Send the document right after booking
The best time to send or request the rate confirmation is right after the carrier accepts. The details are fresh for both sides. The dispatcher still has the load open. A request sent the same hour usually comes back the same hour. A request sent the next day competes with that day's new loads. An AI logistics coordinator can send it as soon as the acceptance is recorded.
Record the acceptance in full
The acceptance should be saved word for word. If it came by phone, the coordinator should write a short note with the time, the name, and what was agreed. A one-line email back to the carrier, "Confirming our call: load 4410 at $1,800 all-in," turns a phone call into writing.
Compare, do not just collect
Many teams collect rate confirmations but do not read them. A signed document with the wrong rate is worse than no document, because it looks like proof. The software should compare each field with the tender and flag any difference. An AI logistics employee can do this check in seconds.
Keep both statuses visible
The shipment record should show both "booked" and "confirmed" as separate steps with times. A manager can then filter for loads that are booked but not yet confirmed. That list is the team's open risk.
Hypothetical example: a mismatch caught on comparison
This example is hypothetical and does not describe a real customer. A carrier returns a signed rate confirmation for load 5530. The rate is right, but the equipment says "53-foot reefer" while the tender asked for a dry van. The AI logistics coordinator flags the difference. The carrier replies that it was a typo and sends a corrected copy. The load is marked confirmed with the right equipment on file.
When the load changes after confirmation
A load can change after it is confirmed. The pickup time moves, a stop is added, or the weight changes. Each change can affect the price. The software should ask for an updated confirmation, or at least a written note, for any change that affects cost. The first version should stay on file next to the new one. This way, the audit compares the invoice with the latest agreed terms, not an old price.
Recurring lanes and standing agreements
Some carriers move freight on the same lane every week under a contract rate. Teams sometimes skip the rate confirmation for these loads, because the rate is already agreed. That can work if the contract is clear and current. But each load still has its own dates, stops, and possible accessorials. A short load-level confirmation that refers to the contract rate keeps each load easy to check.
What problems appear when a booked load has no rate confirmation?
When a booked load has no rate confirmation, problems appear at pickup, at delivery, and at invoice time. An AI logistics coordinator can prevent most of them by closing the gap before the truck arrives.
At pickup
The driver may arrive with the wrong equipment or at the wrong time. Without a written confirmation, it is hard to say who made the mistake. The shipper may have to accept the truck, wait for another, or pay a truck ordered not used fee. A truck ordered not used fee, or TONU, is a charge a carrier bills when it sends a truck but the load is canceled or cannot be loaded.
At delivery
If the load takes longer at the receiver, the carrier may bill detention. Without written detention terms, the carrier's own rules apply by default. The shipper may pay more than it expected.
At invoice time
The invoice is where most gaps become visible. The carrier bills a rate, a fuel surcharge, and some accessorials. The audit team has no single document to compare with. It has to rebuild the deal from emails and memory. Some charges get paid because nobody can prove they were not agreed. Others get disputed, which slows payment and hurts the carrier relationship.
In the relationship with the carrier
Disputes cost more than money. A carrier that has to argue over its invoices may slow down its replies or decline future loads. A clear confirmation protects the carrier too. It knows what it will be paid and what it must do to get paid. Good carriers often prefer shippers whose paperwork is clean and whose payments arrive on time.
In reporting
When a team asks for lane-rate or carrier-performance reports, the data is only as good as the records. Loads without confirmed rates give weak numbers. Wilson can produce these reports on request, using the rates confirmed on the loads it executes.
Common problems by stage
| Stage | Problem | What a confirmation prevents |
|---|---|---|
| Before pickup | Wrong equipment | Equipment is written and checked |
| Pickup | Timing dispute | Window is written |
| Delivery | Unclear detention | Free time and rate are written |
| Invoice | Unexpected fuel charge | All-in or separate is written |
| Invoice | Unagreed accessorial | Only listed accessorials apply |
| Payment | Slow dispute | One document settles it |
Hypothetical example: a TONU without written terms
This example is hypothetical and does not describe a real customer. A manufacturer books a flatbed by phone. The order is canceled the night before pickup. The carrier bills a $400 TONU. The manufacturer's standard terms say $250. But no rate confirmation was signed, so the carrier's own terms are all the record shows. The team pays $400. With a signed confirmation listing the $250 TONU, the invoice would have been corrected before payment.
Why the problem grows with volume
The gap is small on one load and large across many. If 10% of loads have no confirmation, and one in four of those leads to an unclear charge, a team moving 500 loads a month has about 12 unclear invoices each month. Each one takes time to settle. That is why closing the gap on every load matters more than fixing a few by hand.
How should you test whether software closes the booked-to-confirmed gap?
Test the software by booking loads that skip or break the confirmation step and watching how it responds. An AI logistics coordinator should notice the gap, chase the document, compare it, and show the team which loads are still open.
Demo tests for booked and confirmed status
| Buyer requirement | Demo test | Evidence to see |
|---|---|---|
| Separate statuses | Book a load | Shows booked, not confirmed |
| Document request | Continue | Request sent with load details |
| Deadline | Do not return the document | Flag at the deadline |
| Comparison | Return a document with wrong fuel terms | Difference flagged |
| Phone booking | Book by phone | Written confirmation requested |
| Open list | Book several loads | List of booked but not confirmed |
| Invoice link | Send an invoice | Audit uses the confirmed rate |
Demo questions about booked loads
- How does the AI logistics coordinator show that a load is booked but not confirmed?
- Does it compare the rate confirmation with the tender field by field?
- What happens when a carrier accepts by phone?
- Can the team see all loads that are booked but not yet confirmed?
- How does the invoice audit use the confirmed rate?
Check the view for managers
Ask to see the screen a logistics manager would use each morning. It should show which loads are booked but not confirmed, how long each has been open, and which carrier owns it. If that list is hard to find, the gap will stay open in daily work.
How to measure the gap
Track the share of booked loads that reach confirmed before pickup. Track the average time from booked to confirmed. Count invoice disputes that trace back to unclear terms. These three numbers show whether an AI logistics employee closes the gap.
Bring your own messy cases
Bring past loads to the demo: one booked by phone, one with a carrier form that disagreed, one with no document at all. Ask the vendor to run each through the system. Real cases show how the software handles the documents your team actually gets.
Scoring the booked-to-confirmed demo
Score each test as pass, partial, or fail. A pass means the gap was found, chased, and closed with a matching document. A partial means the gap was found but the document was not compared. A fail means the load stayed "booked" with no follow-up.
Ask about exceptions, not only the happy path
A demo of a perfect load proves little. Ask the vendor to show a carrier that never replies, a document with the wrong rate, and a load that changes after confirmation. The way the software handles these cases is the real test.
Warning signs in a booking demo
- One status for both booked and confirmed.
- Documents are attached but never read.
- Phone bookings leave no written record.
- The invoice audit does not use the confirmation.
Where does Wilson fit for booked loads that need a rate confirmation?
Wilson, by Cartage, is an AI logistics coordinator that books loads with the customer's approved carriers and collects the documents each load needs, such as rate confirmations and bills of lading. A bill of lading, or BOL, is the shipping document that lists the freight and serves as a receipt. Wilson works with carriers through email, API, EDI where the carrier supports it, and phone calls where configured.
Wilson replaces the TMS for freight execution and connects to the company's ERP through a method that fits the customer's environment. A TMS, or transportation management system, is software used to plan, book, and track freight. An ERP, or enterprise resource planning system, is the company's main business system for orders, inventory, and accounting.
How Wilson books and confirms
Wilson tenders loads to approved carriers first. Cartage can introduce additional carrier capacity, but the customer approves each carrier before Wilson uses it. Wilson negotiates rates against the customer's rate targets, within configured rules and approval limits. Rates outside those limits go to the logistics team. Once a carrier accepts, Wilson collects the rate confirmation and keeps it with the shipment.
How Wilson uses the confirmation later
When the carrier invoice arrives, Wilson audits and reconciles it against what was booked. If a charge does not match, Wilson flags it before payment. Customers use the Wilson Wallet to pay their carriers. Payments above approval limits or outside the rules wait for a person. Wilson has no subscription or platform fee; its pricing is a percentage of the freight payments coordinated through the Wallet. Pricing scales down as volume grows, and Enterprise pricing is custom.
What changes for coordinators
With Wilson collecting confirmations, the team no longer chases routine documents. Coordinators spend their time on the exceptions: a carrier that disputes the rate, a form that does not match, or a load that has to move before the document arrives. The shipment record shows who did what and when, with change history.
What Cartage asks about booking in discovery
Cartage asks how loads are booked today, which carriers send their own confirmations, how often terms are unclear at invoice time, and who decides when a document is missing. These answers shape how an AI logistics coordinator sets the booked-to-confirmed steps.
What Wilson does not do for booked loads
Wilson is not a freight broker. It does not take on the carrier contract itself. It does not change the customer's terms or approve new carriers without the customer. Specific document workflows should be confirmed in a demo.
Where teams start with booked loads
Wilson starts with assisted execution. Approval limits are set by the customer, and routine actions can run automatically within those rules as reliability is proven. Timing depends on scope: most teams start on a few lanes and expand from there. Cartage helps identify the first workflow during discovery.
Teams separating price from commitment can read why a freight quote is not a booking. Teams checking final costs can see why the booked rate is not always the final cost. Teams comparing tools can review what freight booking software should do with quote confirmation.

FAQs
Does a booked load still need a rate confirmation?
Yes. Booking shows the carrier said yes, but the rate confirmation writes down the price and terms both sides agreed to. An AI logistics coordinator should mark a load confirmed only when the document is on file and matches the tender.
What is the difference between booked and confirmed?
Booked means the carrier accepted the load. Confirmed means the agreed rate and terms are in a signed or accepted document. An AI logistics employee tracks both steps separately.
What should be on a rate confirmation?
The load number, carrier details, pickup and delivery details, equipment, linehaul rate, fuel terms, accessorials, detention terms, and acceptance. An AI logistics coordinator checks each field against the tender.
What happens if a load is booked without a rate confirmation?
Disputes about fuel, accessorials, and detention become more likely at invoice time. An AI logistics employee can request the document right after booking and flag the load until it arrives.
