Rate confirmations

The booked rate is not the final cost of the load.

Key Takeaways

  • The booked rate is a starting point. Accessorials, LTL reclassifications, fuel adjustments, detention and redelivery are added after booking, and they show up only on the invoice.
  • Most of the gap can be traced to what was known, or should have been known, at booking: delivery requirements, accurate weights and dimensions, and facility wait times.
  • The real cost of a load is the rate confirmation plus every invoice line, each one marked planned or unplanned. Tracked by lane and carrier, that gap shows where the budget leaks.
  • Wilson, by Cartage, is an AI logistics agent that audits and reconciles each carrier invoice against what was booked, then pays the carrier from a wallet the company preloads, under approval rules the company sets.
  • Quote comparisons should use expected final cost, not the lowest booked rate, because the cheapest quote can carry the most add-ons.

Why isn't the booked rate the final cost of a load?

The booked rate covers the move the carrier quoted. The final cost adds every charge that appears after booking: services the carrier performed but nobody requested, class changes after inspection, fuel adjustments, time at the dock and failed deliveries. If nobody compares the invoice with the booking line by line, the difference is paid without anyone deciding to pay it.

This matters most to manufacturers and distributors that budget freight per lane and book their own carriers: the budget is built on quotes, the ledger on invoices. Two pressures widen the gap. Time at the dock is expensive: ATRI estimated $3.6 billion in direct costs from truck driver detention in 2023. And LTL class is now more sensitive to density since the NMFC moved to a 13-subprovision density scale for many items on July 19, 2025.

Here is how one LTL load drifts. The figures are hypothetical, for example only.

  • Monday 10:15 a.m. The coordinator sends a quote request (a request for a carrier's price on a specific load before it's booked) to three approved carriers for 4 pallets going to a retail distribution center.
  • Monday 2:30 p.m. She books the lowest quote, for example $520, and the carrier sends the rate confirmation (the document that records the agreed price and terms for the load).
  • Tuesday 3:00 p.m. The driver picks up. The pallets weigh more than the order said, and one is taller than listed.
  • Thursday 9:00 a.m. The consignee has no dock for the trailer height; the driver needs a liftgate. The delivery takes three hours.
  • Three weeks later. The invoice arrives at $690: liftgate, a reclassification after reweigh, a fuel adjustment and detention. Accounts payable matches the carrier name and amount to a vendor and pays.

In this example, $170 on one load looks small; across hundreds of loads a quarter, it's a budget miss nobody can explain.

Which charges change the cost between booking and payment?

Five charges cause most of the gap: accessorials, reclassification, fuel adjustments, detention and redelivery. An accessorial is any charge for a service beyond standard pickup and delivery, such as a liftgate, an appointment or inside delivery. Some of these are preventable at booking; others need a record to dispute.

Charge Usually caused by Preventable at booking? What you need to check it
Accessorials A service needed but not requested Often, if delivery requirements are known Booking, rate confirmation, consignee requirements
Reclassification Weight or dimensions differ from what was declared Often, with accurate SKU data SKU catalog, declared class, carrier’s inspection
Fuel adjustment Fuel terms differ from the quote Sometimes, by confirming fuel terms in the quote Quote terms, carrier’s fuel schedule
Detention Truck held beyond free time at pickup or delivery Partly, by tracking slow facilities Arrival and departure times, carrier’s free time
Redelivery First delivery attempt failed Sometimes, with appointments and consignee contacts Delivery attempt record, appointment details

Conditions matter. A liftgate charge on a delivery to a facility with no dock is legitimate if nobody requested one; the fix is upstream, at order entry. A reclassification is legitimate if the freight really was denser than declared; the fix is the SKU data. A detention charge without timestamps is the one most worth questioning.

How do you rebuild the real cost of a load?

Start with the rate confirmation, add every invoice line with its reason, mark each charge planned or unplanned, and track the difference by lane and carrier. The formula is simple: final cost minus booked rate equals cost variance, and the unplanned share of that variance is what you can manage.

Pull the rate confirmation. It’s the baseline: linehaul, fuel terms and any accessorials requested at booking.

List every invoice line with the carrier’s stated reason.

Mark each line planned or unplanned. Planned means it was on the booking. Everything else is unplanned until someone approves it.

Attach the evidence for unplanned lines: reweigh certificate, timestamps, delivery attempt record.

Track variance by lane, carrier and facility. Patterns tell you whether the fix is order data, a facility or a carrier.

For example, if a lane’s loads average a $40 unplanned variance across 200 loads a quarter, that’s $8,000 to explain before anyone discusses rates. For the document link that makes this possible, see keep the rate confirmation tied to the invoice.

Common mistakes

  • Comparing quotes by booked rate only. The cheapest quote wins, and its add-ons show up three weeks later.
  • Letting accounts payable approve freight invoices without the booking. Unplanned charges get paid because nobody has the information to question them.
  • Ignoring SKU weights and dimensions. Reclassifications repeat on the same items, load after load.
  • Reviewing variance only in total. One facility’s detention or one carrier’s habits stay hidden inside an average.

How does Wilson, by Cartage, track the real cost of a load?

Wilson records the booked rate, audits each carrier invoice against it, reconciles differences with the carrier, holds what needs approval and pays the carrier from the company’s preloaded wallet. Traditional logistics software gives teams information. Wilson executes the work required to move shipments forward.

Because Wilson runs the load from quote to payment, the booking and the invoice sit on the same shipment record.

Step Trigger What Wilson does When a person steps in
1. Quote Order becomes a shipment Requests quotes from approved carriers and negotiates against the company’s targets Booking above the approval limit
2. Class LTL load is quoted Determines NMFC class and density subclass from the SKU catalog If SKU inputs are missing
3. Book Carrier accepts Records the rate and sends the rate confirmation Not required
4. Audit Invoice arrives Checks every line against what was booked Not required
5. Reconcile Lines don’t match Follows up with the carrier on the difference If the carrier disputes
6. Hold A charge needs approval under the rules Holds it Approving or disputing
7. Pay Invoice is audited and reconciled Pays the carrier from the preloaded wallet Payments above the approval limit

Wilson can also use the data from the shipments it runs to produce carrier-performance and lane-rate reports on request, so a carrier that books low and invoices high shows up in the data. See how AI automates freight invoice audit, reconciliation and carrier payment.

Controls

The company decides what needs a person: bookings above a cost threshold, carrier selections, payments above a limit or any charge that wasn’t on the booking. Wilson starts with assisted execution and expands what runs automatically step by step as trust builds.

Wilson escalates when a decision exceeds the approval rules or a carrier won’t resolve a difference. Every message, confirmation and change on the shipment is recorded in a change history, so finance can see why a charge was paid. On reclassifications, the customer provides the SKU inputs and is responsible for their accuracy; if a carrier reclassifies a shipment, Wilson explains how the class was calculated. Wilson books only approved carriers and does not manage dock scheduling inside a facility, so detention caused by your own dock still needs a fix on your side.

What should you ask a vendor to show in a demo?

Ask the vendor to take one of your invoices that came in above the booked rate and show how it is audited, explained, approved and paid.

  • Show the booked rate and rate confirmation sitting on the same record as the invoice.
  • Run the audit line by line and show which charges match the booking and which don’t.
  • Show a reclassification and the class calculation behind the original booking.
  • Show where an unplanned charge waits and who approves it.
  • Show the payment and the change history behind it.
  • Show variance by lane and carrier from the shipments the system ran.

To measure the change, compare the lanes the new process runs with how they ran before, using the variance formula above. For the wider workflow, see what is freight execution.

FAQs

  • Why is my freight invoice higher than the booked rate? Charges are often added after booking: accessorials, reclassifications, fuel adjustments, detention or redelivery. Compare the invoice with the rate confirmation line by line to see which ones.
  • How do I calculate the real cost of a shipment? Final cost is the rate confirmation plus every invoice line. Subtract the booked rate to get the variance, and mark each line planned or unplanned.
  • Which charges can be prevented at booking? Many accessorials and reclassifications can, by requesting known services with the quote and keeping SKU weights and dimensions accurate. Detention is easier to dispute when arrival and departure times are on record.
  • Does Wilson audit freight invoices? Yes. Wilson audits and reconciles each carrier invoice against what was booked before paying the carrier.
  • Who determines freight class on Wilson's LTL loads? Wilson determines the NMFC class and density subclass from the customer's SKU catalog. The customer provides the inputs and is responsible for their accuracy.
  • Does Wilson pay carriers? Yes. The company preloads a wallet, and once a carrier's invoice is audited and reconciled, Wilson pays the carrier from it.
  • How is Wilson priced? There's no subscription fee. Pricing is a percentage of the carrier payments that run through Wilson, and that one fee covers the full shipment lifecycle: create, quote, tender, track, audit and pay. Pricing scales down as volume grows, and Enterprise pricing is custom.

Conclusion

The rate confirmation tells you what you agreed to; the invoice tells you what you paid. The real cost of a load is the gap between them, and most of it traces back to information that existed at booking: delivery requirements, accurate weights and slow facilities. Teams that mark every charge planned or unplanned, and track variance by lane and carrier, stop paying for add-ons nobody approved.

Wilson, by Cartage, keeps the booking and the invoice on the same record, audits every line, reconciles differences with the carrier and pays from your preloaded wallet only after the invoice checks out.
