A carrier-quoting demo checklist for approved vendors
Key Takeaways
- A quoting demo should run on a real load and your approved carriers, not on a sample rate table where every carrier answers instantly.
- 6 steps belong on the checklist: request, follow-up, comparison, negotiation against target, approval and booking. Each needs a visible result.
- The hard parts are the slow reply, the quote above target and the carrier that declines the tender. Ask to see all three before you score anything.
- Wilson, by Cartage, is an AI logistics agent that requests quotes from approved carriers, negotiates against the company's targets within its approval limits and books the best option.
- Wilson only books carriers the company has approved. When a carrier declines, it moves to the next approved option, and if none accepts, it escalates to the team.
Why do carrier-quoting demos hide the hard parts?
Carrier-quoting demos hide the hard parts because they show rates that already exist, not the work of getting, pushing and approving quotes from your own carriers. Three rates appear in seconds and the cheapest is booked. On a real lane, quotes come in by email over hours, one is above target and one carrier declines.
This matters to manufacturers and distributors that quote spot and short-term freight with their own carrier list, usually by email. A quote is the carrier's offered price for a specific load; a tender is the formal offer of that load to the chosen carrier; a booking is the carrier's acceptance. Each step takes skilled time: the BLS reports a $82,320 median pay for logisticians (May 2025), with about 26,600 openings projected each year.
One load through a real quoting cycle
Here is a full-truckload order at a distributor of packaging materials.
- Tuesday 8:30 a.m. The order lands in the ERP for Thursday pickup. The coordinator emails four approved carriers for quotes.
- 9:15 a.m. Two carriers reply. One quote includes a liftgate charge, the other doesn't mention it.
- 11:45 a.m. A third replies, for example 9% above the lane's target rate.
- 1:30 p.m. The fourth still hasn't answered. The coordinator calls and gets a voicemail.
- 2:10 p.m. The coordinator counters the high quote, waits, then asks the manager to approve the best offer, because it's above the approval limit.
- 3:40 p.m. Approval comes back. The coordinator tenders the load, and the carrier declines because the truck is gone.
Seven hours later, the coordinator is back at step one. None of that showed up in the demo.
What belongs on a carrier-quoting demo checklist?
A carrier-quoting demo checklist has 6 steps, and each one needs a result you can see on the shipment. Score a step as passed only when the vendor shows it on your load.
| # | Step | What to see in the demo | Pass if |
|---|---|---|---|
| 1 | Request | Quote requests sent to your approved carriers for a real load | Only approved carriers are contacted |
| 2 | Follow-up | What happens when a carrier hasn’t replied | A follow-up goes out without a coordinator |
| 3 | Comparison | Quotes side by side on the same services | Accessorials and transit time are compared, not just the base rate |
| 4 | Negotiation against target | A quote above the lane target | A counter goes out within the limits you set |
| 5 | Approval | A booking above the approval limit | It waits for a person; under the limit, it proceeds |
| 6 | Booking | The selected carrier is booked | A rate confirmation is sent and the pickup is confirmed |
Step 3 is where cheap quotes become expensive loads. An accessorial is a charge on top of the base rate, such as liftgate, inside delivery or detention. If one quote includes it and another leaves it out, the lowest number on screen may not be the lowest invoice.
Steps 4 and 5 depend on rules you set before the demo: a target rate per lane and a cost threshold for approval. Without them, the vendor decides what “good” looks like.
Step 6 ends with a rate confirmation, the document that locks the agreed rate and terms with the carrier, and a confirmed pickup window. A booking without both is a tender still waiting on someone.
How do you set up the demo so it reflects your freight?
Bring your own load, carrier list and rules, and make the vendor run all 6 steps on them. A demo on sample data can only show the steps that never go wrong.
Pick a real load on a lane you quote often, with its weight, dimensions, pickup and delivery details.
Share your approved carrier list for that lane, with dispatcher contacts.
Set a target rate and an approval limit, for example a target of $2,100 and approval required above $2,300.
Include one slow carrier to test the follow-up.
Ask what happens if the selected carrier declines the tender.
Ask for the record: every quote, counter and approval on the shipment, with timestamps.
What to ask a vendor to show in a demo
- “Send quote requests on this load to these four carriers, and only these four.”
- “This carrier won’t answer. Show me the follow-up and when it goes out.”
- “This quote leaves out the liftgate. Show me how you compare it with the one that includes it.”
- “This quote is above target. Show me the counter and the limit it respects.”
- “The selected carrier declines. Show me the next step.”

How does Wilson, by Cartage, quote and book with approved carriers?
Wilson requests and compares quotes from the company’s approved carriers, negotiates against its targets and books the best option, under the rules and approval limits the company sets. Traditional logistics software gives teams information. Wilson executes the work required to move shipments forward.
| Step | Trigger | What Wilson does | When a person steps in |
|---|---|---|---|
| 1. Request | A shipment is created | Requests quotes from approved carriers | If shipment details are missing |
| 2. Compare | Quotes arrive | Compares them against the company’s rate targets and carrier rules | Not required |
| 3. Negotiate | A quote is above target | Negotiates against the company’s target | If the gap exceeds the approval limit |
| 4. Approve | The booking is ready | Proceeds if it’s under the rules | Above the approval limit |
| 5. Book | The option is approved | Tenders the company’s own carriers first, books, sends the rate confirmation and confirms the pickup | Not required |
| 6. Fall back | The carrier declines | Moves to the next approved option | If no approved carrier accepts |
Controls
Wilson starts with assisted execution. The company decides which actions need approval, for example bookings above a cost threshold or a specific carrier selection, and anything under the rules proceeds. The scope of execution can expand step by step as the company gains confidence in the workflow, so a lane can start with every booking approved and move to approval only above a threshold.
Carrier choice stays with the company. Wilson books only approved carriers. Cartage can introduce carriers from its network, and they’re available to Wilson only after the company approves them. When no approved carrier accepts, Wilson escalates instead of widening the list. For LTL and FTL, Wilson confirms the pickup window and reconfirms it before pickup.
Every quote, counter, approval and confirmation is recorded in a change history. Wilson generates rate confirmations and BOLs (bills of lading, the shipping document the carrier signs at pickup), and it can use the data from the shipments it runs to produce carrier-performance and lane-rate reports on request. See AI carrier quoting that executes the work.
What should make you walk away from a quoting demo?
Walk away when the vendor can’t show the quoting work on your own carriers. A fast rate table proves the screen works, not the process.
- Only sample rates, never a request to your approved carriers.
- No answer for a quote above target other than “the team reviews it.”
- Bookings with carriers you haven’t approved.
- No record of who approved what, and when.
Common mistakes teams make
- Comparing base rates only. Accessorials left out of one quote show up on the invoice, and the “cheapest” carrier costs more. See why the cheapest quote leaves out accessorials.
- Arriving without a target or approval limit. The vendor’s defaults set the bar, and you can’t tell whether negotiation happened.
- Skipping the declined tender. It’s the step that cost the coordinator an afternoon above, and the one most demos never reach.
- Testing on a lane nobody quotes. A one-off lane won’t show how the tool handles your regular carriers.

FAQs
- What should I check in a carrier-quoting demo? Six steps on a real load with your approved carriers: request, follow-up, comparison, negotiation against target, approval and booking. Wilson, by Cartage, quotes, negotiates and books under the company's rules and approval limits.
- Does Wilson negotiate freight rates? Yes. Wilson gets the quotes, negotiates them against the company's targets and books the best option, within the approval limits the company sets.
- Which carriers does Wilson quote and book? The company's approved carriers, and it tenders the company's own carriers first. Cartage can introduce carriers from its network, available to Wilson only after the company approves them.
- What happens when a carrier declines the tender? Wilson moves to the next approved option. If no approved carrier accepts, Wilson escalates to the team.
- Can we require approval before a booking? Yes. The company can set approvals on any action, such as bookings above a cost threshold or carrier selections. Actions under the rules proceed automatically.
- Does Wilson benchmark rates? Not as a standing scorecard or benchmarking workflow by default. Wilson can use the shipment and rate data from the loads it runs to produce carrier-performance and lane-rate reports on request.
- Which documents does Wilson send after booking? Rate confirmations, BOLs, packing slips and pallet labels.
- How is Wilson priced? There's no subscription fee. Pricing is a percentage of the carrier payments that run through Wilson, and that one fee covers create, quote, tender, track, audit and pay. Pricing scales down as volume grows, and Enterprise pricing is custom.
Conclusion
A quoting demo that shows three clean rates proves very little. The real test is your load, your approved carriers and your rules: a slow reply, a quote with a missing accessorial, a rate above target, an approval limit and a carrier that declines. Run the 6-step checklist on every vendor and score only what each one finished on the shipment.
Wilson, by Cartage, requests, negotiates and books with your approved carriers, waits for a person when a decision is above the limit and moves to the next approved option when a carrier says no. Bring one lane you quote every week, with its carrier list and target, and watch Wilson run the quote through booking in a demo at cartage.ai.
