What happens to open shipments during a holiday closure?
Key Takeaways
- Open shipments don't pause when the plant does. Trucks are still moving, consignees still receive, and carriers still need answers.
- The riskiest loads are the ones due right before the closure and the inbound deliveries scheduled while the dock is closed.
- PODs and carrier follow-up keep piling up during the closure, and a backlog on the first day back is the usual result.
- Set the rules before the last day: which loads ship, who's on call, what escalates and what waits.
- Wilson, by Cartage, is an AI logistics agent that keeps following up on pickups, deliveries and PODs during a closure and escalates to whoever the company names.
What actually happens to freight when the company closes for a holiday?
During a holiday closure, shipments already in transit keep moving, carriers keep sending updates and exceptions, and deliveries keep arriving at customers, but nobody at the shipper is reading the inbox. Without a plan, missed pickups, delivery changes and missing PODs wait until the team returns, and the first day back turns into a cleanup.
A closure usually means the shipper's office and docks are closed. The rest of the freight network is not. Carriers run their routes, many consignees are open, and some lanes get busier around holidays, not quieter.
So the question isn't whether freight continues. It's who handles the decisions that come up while it does.
Which loads need attention before the closure starts?
Every open shipment falls into one of four groups, and each needs a different decision before the last working day.
| Load status at closure | Risk | Decision to make in advance |
|---|---|---|
| Pickup due before closure | Carrier misses the window and the dock closes with freight on it | Reconfirm the pickup; agree on a cutoff after which the load holds |
| In transit during closure | Delay or exception with nobody reading carrier updates | Name who gets alerts and what they can approve |
| Inbound delivery during closure | Truck arrives at a closed dock | Reschedule with the carrier before the closure, or arrange receiving |
| Delivered just before or during closure | POD not collected, order can’t be closed or invoiced | Keep requesting PODs; set the window for escalation |
Pickups due before the closure
These are the most fragile loads. A pickup that slips by a day can land after the dock closes, and the freight sits until the team is back. General practice is to reconfirm every pre-closure pickup the day before and again on the morning of, and to agree on a cutoff time: if the truck isn’t there by then, the load holds and the customer gets told.
Deliveries during the closure
Outbound deliveries to customers that are open can go ahead as planned. Inbound deliveries to your own closed facility are the problem. Tell carriers before the closure, rescheduling the appointment rather than letting a driver find a locked gate. For the mechanics, see what to do when a delivery appointment changes.
What happens to PODs and carrier follow-up while the team is out?
They keep accumulating. Every delivery during the closure needs a POD (proof of delivery, the signed document that shows the freight arrived), and every in-transit load can produce an ETA change or a delay reason that needs a response.
If nobody requests PODs during the closure, the team returns to a stack of delivered loads with no paperwork. Some carriers are slower to send PODs the longer the delivery is in the past, and invoices or customer disputes that need a POD stall in the meantime. For timing, see when to chase a missing POD.
Carrier follow-up is similar. A carrier emails that a load is running late. If no one answers, the consignee isn’t told, and the delay becomes a customer complaint after the holiday.
Who should be on call, and what can they decide?
Name one on-call person per day of the closure, with a backup, and write down exactly what they’re expected to handle. An on-call role without limits either gets ignored or turns into a full workday.
Rules worth setting before the closure:
Who’s on call each day, with a phone number and a backup.
What escalates to them: a missed pickup on a priority order, a load with no carrier response, or a rebooking above a cost threshold.
What waits: routine status updates, POD filing and anything that can be decided on the first day back.
Which customers get proactive updates if a delivery slips during the closure.
Spending limits: what the on-call person can approve alone and what needs a manager.
The fewer decisions that reach the on-call person, the more realistic the role. That’s the case for having routine follow-up handled by rules, not by a person checking email on a holiday. For more on routing what can’t be resolved, see who escalates unanswered carrier messages.
How does Wilson, by Cartage, keep open shipments moving during a closure?
Wilson, by Cartage, keeps running the follow-up it's set up for: confirming pickups, tracking loads, getting new ETAs and delay reasons, requesting and filing PODs, and escalating to the people the company names when something falls outside the rules. Traditional logistics software gives teams information. Wilson executes the work required to move shipments forward.
For LTL and FTL, Wilson schedules pickups with the carrier, confirms the window and reconfirms it before pickup. It tracks each load using the best source available, and when none exists, it emails or calls the carrier. Teams set check-call frequency in their SOP. When a load runs late, Wilson gets the new ETA and the reason, and tells the team and anyone else configured to be notified.
After delivery, Wilson requests the POD, follows up until it's received and files it. If it's still missing past the set window, Wilson escalates. If a carrier misses a pickup, Wilson contacts the carrier, notifies the team, notifies the customer if configured and initiates rebooking from the approved carrier list, automatically or after approval, depending on the company's rules.
The company decides who gets alerts and which actions need approval. During a closure, that can mean a narrower set of escalations routed to the on-call person in Slack or Microsoft Teams.
A packaging company through a holiday closure
One packaging company has had Wilson run its daily freight operation for 6 months, managing 40+ active shipments at once. Wilson finds carriers, books loads, follows up on pickups and ETAs, collects PODs, and keeps the team's tracking and reports up to date. It follows up on every pickup, delivery and POD, including during holiday closures.
With 40+ loads open at any time, a closure is never a clean break. What changes is that the follow-up keeps going while the office is closed, so the team returns to a record of what happened, not a backlog.
What should be decided before the last working day?
Write a one-page closure plan: open loads by status, the pickup cutoff, rescheduled inbound deliveries, the on-call rota and the escalation rules. Share it with carriers and key customers so everyone knows who to contact.
The test for the plan is whether a missed pickup on day two of the closure has an obvious owner and an obvious next step. If it doesn't, bring your list of loads open over the next holiday and we'll map the closure follow-up with you.
