Parcel shipping software: how to keep FedEx and UPS contract rates
Key Takeaways
To keep your FedEx and UPS contract rates when you use parcel shipping software, ship on your own carrier accounts, confirm the software applies your negotiated rates rather than its own, and audit parcel invoices against those rates. An AI logistics coordinator should treat your parcel contracts as rules to apply on every shipment, not as a setting to check once.
- A parcel contract rate is the discounted pricing a shipper negotiates with a parcel carrier, usually tied to the shipper's own account number.
- Some parcel software uses the shipper's own accounts; other platforms offer their own rates through their accounts. These are different arrangements.
- Shipping on your own account usually keeps your contract discounts, your volume history, and your direct relationship with the carrier.
- The rates shown at label time should match your contract. Invoices should be checked for surcharges and adjustments.
- Volume history matters at renewal, so shipments should count toward your own account.
- Wilson, by Cartage, is an AI logistics coordinator that supports parcel workflows within the agreed customer scope and works with the customer's own carriers and contracts.
Why can parcel contract rates be lost when you change software?
Parcel contract rates can be lost when shipments move off your own carrier accounts or when the software applies list or platform rates instead of yours. An AI logistics coordinator should confirm which account and which rate each shipment uses before any label is printed.
Large parcel carriers price by account. A shipper that negotiates discounts gets them on its own account number. If a new tool ships those packages on a different account, such as a platform's shared account, the shipper's discounts may not apply. The shipper's volume history with the carrier may also drop, which can weaken its position at the next negotiation.
The table below compares two ways parcel software can handle carrier accounts.
| Question | Shipping on your own account | Shipping on a platform account |
|---|---|---|
| Whose rates apply? | Your negotiated rates | The platform's rates |
| Whose volume counts? | Yours, with the carrier | The platform's |
| Who holds the carrier relationship? | You | Shared with or held by the platform |
| Who receives the carrier invoice? | You | Often the platform, which bills you |
| What happens at contract renewal? | Your history supports your negotiation | Your history with the carrier may be smaller |
Neither model is always wrong. Some shippers without strong contracts may benefit from a platform's rates. The point is to know which model a tool uses, and to keep your own contracts when they are better.
When a platform's rates make sense
A platform's shared rates can make sense for shippers with low parcel volume or no negotiated contract. The platform may have discounts the shipper could not get alone. The trade-off is that the shipper's volume builds the platform's history, not its own. Shippers with strong contracts usually do better on their own accounts. An AI logistics coordinator can compare the two on the shipper's real packages when the shipper wants to decide.
What a parcel contract usually includes
A parcel contract usually sets discounts off the carrier's published rates, by service level, zone, and weight. It may also set discounts on certain surcharges and minimum charges. It may include volume commitments or tiers. Each of these affects the price of every package. Software that applies only a general discount may miss parts of the contract.
Multi-carrier software and contracts
Multi-carrier parcel software lets a shipper compare and use several carriers from one place. That can help a shipper pick the best service for each package. It can also spread volume across carriers, which affects each contract's volume tiers. A shipper with tiered discounts at one carrier should know how much volume it is moving elsewhere. An AI logistics coordinator can track volume by carrier against the contract's tiers and warn the contract owner when a tier is at risk.
Why volume history matters
Carriers look at a shipper's volume and spending when they negotiate. A shipper that moves a large share of packages through a platform's account may have less history in its own name. At renewal, the carrier sees less volume and may offer smaller discounts. Keeping shipments on your own account keeps your history.
Who owns the parcel contract
Someone on the shipper's side should own each parcel contract: usually procurement, finance, or the logistics manager. That person knows the discounts, the renewal date, and the terms. The software should not become the place where contract knowledge lives by accident. An AI logistics coordinator can apply the owner's terms and alert the owner when invoices suggest the terms are not being met.
Why this matters to manufacturers and distributors
Many manufacturers and distributors ship parcels alongside LTL and truckload freight. Parcel may not be their largest spend, but contract discounts on parcel can be significant. A change in software that quietly moves parcel volume off their accounts can raise costs for months before anyone notices. An AI logistics employee that checks the account on every label prevents that drift.
How do you confirm the software uses your contract rates?
Confirm the software uses your contract rates by checking the account number on each label, comparing the shown rate with your contract on test shipments, and reviewing the first invoices line by line. An AI logistics coordinator should repeat these checks after any contract change.
Ask the carrier's account manager
The carrier's account manager can confirm whether shipments are flowing through your account. A quick check a few weeks after go-live catches account problems early. Ask for a summary of your recent volume by service. If it looks lower than expected, investigate before the next invoice cycle. An AI logistics employee can prepare the shipper's own volume summary for comparison.
Step 1: Connect your own accounts
Your own carrier account numbers should be the ones the software uses. Ask the vendor how accounts are connected and whether the shipments will appear in your carrier account's history. Confirm in writing.
Test with each account
Some shippers have more than one account with a carrier, such as one per warehouse. Each account may carry different discounts. Test shipments should run on each account, so a setup error on one does not hide behind a correct setup on another. An AI logistics employee can track which account each warehouse uses.
Step 2: Load your contract terms where needed
Some software reads your negotiated rates directly from the carrier when it rates a shipment on your account. Other software needs your discounts loaded as rules. Ask which method applies. If rules are loaded by hand, they must be kept in sync with the contract.
Include your common package types
Pick test packages that match what you actually ship: your most common box sizes, weights, and destinations. A test that uses only light boxes to nearby zones will not reveal problems with heavy or oversized packages. An AI logistics coordinator should run the test with your real mix, so the results reflect your real costs.
Step 3: Test shipments
Ship a set of test packages across services, zones, and weights. Compare the rate the software shows with the rate your contract should produce. Small differences may come from surcharges. Large differences mean a setup problem.
Compare like with like
When comparing rates, use the same package, the same service, and the same date. A rate quoted before a price change is not comparable with one after it. An AI logistics coordinator should record the date and service with each test rate.
Step 4: Check the first invoices
The carrier invoice is the final word on cost. Compare the first invoices after go-live with the rates shown at label time. Look for surcharges, adjustments, and any charge that appears at a higher rate than expected. An AI logistics employee can flag mismatches for review.
Annual rate changes
Parcel carriers usually announce general rate increases each year, and surcharges can change during the year. A contract discount applies to the new published rates, so the shipper's cost changes even when the contract does not. Teams should expect prices to move at those dates and check that the software reflects them. An AI logistics employee can compare invoices before and after the change to confirm discounts still apply as agreed.
Step 5: Recheck after changes
Contracts change. A new contract, a general rate increase, or new surcharges can change prices. After each change, repeat the test shipments and invoice review. An AI logistics coordinator can remind the contract owner when a known change date is near.
Keep a change log
Every change to parcel accounts, discounts, or rules should be logged with the date and the person who made it. When an invoice looks wrong months later, the log shows what changed. An AI logistics employee can keep this log with the shipment records, so the team does not rely on memory.
Hypothetical example: a hidden account switch
This example is hypothetical and does not describe a real customer. A distributor moves to new shipping software. Rates at label time look similar to before. Three months later, the parcel carrier's account manager mentions that the distributor's volume has dropped sharply. The distributor learns that the new software was printing many labels on the vendor's account. The distributor reconnects its own account and asks the AI logistics coordinator to check the account on every label going forward.
Which parcel charges change the real cost?
Surcharges, adjustments, and dimensional weight often change the real cost more than the base rate. An AI logistics coordinator should check these on every invoice, because a good contract discount can be offset by charges that were not expected.
Base rate is only the start
The base rate is the starting point of a parcel price. Discounts reduce it. Surcharges and adjustments add to it. For some shipments, surcharges add more than the discount saves. An AI logistics coordinator should look at the total cost per package, not only the discount on the base rate, when it reviews whether a contract is working.
Common parcel charges to watch
| Charge | What it is | Why it matters |
|---|---|---|
| Fuel surcharge | A percentage that changes with fuel prices | Applies to most packages |
| Residential surcharge | Fee for delivering to homes | Common for some distributors |
| Delivery area surcharge | Fee for certain postal codes | Varies by destination |
| Additional handling | Fee for heavy, long, or unusual packages | Can apply to industrial parts |
| Address correction | Fee when the carrier fixes an address | Avoidable with good data |
| Dimensional weight | Billing by package size, not actual weight | Large, light packages cost more |
Dimensional weight is a pricing method that uses a package's length, width, and height to calculate a billable weight. If the dimensional weight is higher than the actual weight, the carrier bills the higher one.
Service selection affects cost
Choosing the right service level saves money. A package sent by an overnight service when ground would arrive in time costs much more. Rules can choose the lowest-cost service that meets the delivery date. An AI logistics coordinator can apply those rules at label time, within the customer's preferences, and record why each service was chosen.
Package data drives cost
Accurate weights and dimensions prevent surprises. A package entered as 10 by 10 by 10 inches that is actually 14 by 12 by 12 inches will be billed at a higher dimensional weight. The carrier measures packages in its network and adjusts the bill. An AI logistics employee can compare billed dimensions with the entered ones and flag repeated differences, so the warehouse can fix its data.
Address quality prevents fees
Address correction fees are among the easiest to avoid. Many come from missing suite numbers, wrong postal codes, or old customer addresses. Cleaning address data in the ERP or order system pays off on every package. An AI logistics coordinator can flag customers whose shipments often get address corrections, so customer service can update the records.
Contracts may discount surcharges
Some contracts discount certain surcharges. If the software or the invoice applies the full surcharge, the shipper overpays. The audit should check surcharge discounts as well as base discounts.
Packaging choices affect parcel cost
Box size and packaging choices have a direct effect on dimensional weight. A slightly smaller box can lower the billable weight on every shipment. Teams that review their most common package sizes often find savings. An AI logistics coordinator can show which package sizes generate the most dimensional adjustments, giving the warehouse a place to start.
Hypothetical example: dimensional weight
This example is hypothetical and does not describe a real customer. A packaging manufacturer ships sample boxes that are large but light. Invoices show many adjustments for dimensional weight. The AI logistics coordinator compares entered and billed dimensions and finds the warehouse is entering a standard size for every box. The warehouse starts measuring each box. Adjustments drop, and the shipper also finds a smaller box that fits most samples.
How should parcel invoices be audited?
Parcel invoices should be audited against the rates and charges your contract allows, with mismatches held for review before payment. An AI logistics coordinator should check each line, not only the invoice total.
Parcel and freight on the same order
When an order ships partly by parcel and partly by LTL or truckload, both costs belong to the same order. Auditing them separately can hide the total cost of serving that customer. An AI logistics employee can show parcel and freight costs together by order, so finance sees the full picture.
What to check on each package
- Account number. The package shipped on the right account.
- Service level. The billed service matches the service chosen.
- Base rate and discount. The discount matches the contract.
- Surcharges. Each surcharge is valid and discounted if the contract says so.
- Adjustments. Address corrections and dimensional changes are explained.
- Duplicates. The same package is not billed twice.
Hypothetical example: a surcharge discount missed
This example is hypothetical and does not describe a real customer. A distributor's contract includes a discount on residential surcharges. After a software change, invoices show the full residential surcharge on every home delivery. The AI logistics coordinator compares the invoices with the contract terms and flags the mismatch. The contract owner contacts the carrier's account manager, who corrects the account setup and credits past charges within the carrier's dispute window.
Track credits after disputes
A dispute is complete only when the credit appears. Record each dispute and check the next invoices for the credit. An AI logistics coordinator can track open disputes until they close.
Hold and dispute
Charges that do not match should be held and disputed with the carrier under its process. Carriers set time limits for disputes. An AI logistics employee can flag mismatches quickly so the team disputes within those limits.
Match parcel invoices to orders
Each parcel charge should link to the order it served. This lets finance see parcel cost per order and per customer. Some customers may be more expensive to serve because of residential deliveries or remote zones. An AI logistics employee can attach each package's cost to its order, which helps pricing and customer reviews.
Freight and parcel audits together
Many teams audit truckload and LTL invoices but pay parcel invoices without review because each package is small. Across thousands of packages, small errors add up. Auditing parcel and freight together gives a full view of transportation cost. Wilson audits and reconciles each carrier invoice against what was booked before payment, within the agreed scope.
Parcel audit at scale
Parcel invoices can have thousands of lines a week. Checking each by hand is not practical. That is why many teams skip it. An AI logistics employee can check every line against the rules and send people only the mismatches. The team then reviews a short list instead of a long invoice.
Common audit mistakes
- Auditing totals only. Errors hide in individual lines.
- Ignoring surcharges. Surcharges often carry most of the error.
- Missing dispute deadlines. Valid disputes expire.
- Not fixing root causes. Bad package data keeps creating adjustments.
How should you evaluate parcel shipping software on contract rates?
Evaluate parcel shipping software by asking whose accounts it uses, how it applies your contract, and how it audits invoices, then testing with your own shipments. An AI logistics coordinator should prove it applies your rates on every label and catches invoice mismatches.
Demo tests for parcel contract rates
| Buyer requirement | Demo test | Evidence to see |
|---|---|---|
| Uses your accounts | Print test labels | Your account number on each label |
| Applies your contract | Rate packages across zones and weights | Rates match your contract |
| Handles surcharges | Ship to a residential address | Surcharge shown at contract rate |
| Flags dimensional issues | Enter wrong dimensions | Adjustment caught on the invoice |
| Audits invoices | Load an invoice with an error | Mismatch held for review |
| Keeps your volume | Ask about carrier reporting | Volume appears in your account history |
Include residential and remote deliveries
Include a few residential and remote deliveries in the test. These attract surcharges that often differ from expectations. Watch whether the AI logistics coordinator shows the surcharge at label time and checks it on the invoice.
Demo questions about parcel contract rates
- Do you ship on our FedEx and UPS accounts or on yours?
- How are our negotiated discounts applied?
- How are surcharges and adjustments checked?
- How do you handle a new contract or a general rate increase?
- Can we see parcel and freight costs together?
- Can we export parcel invoice audits?
Ask about renewal support
Ask whether the vendor can provide your shipment data for your next carrier negotiation: volume by service, zone, and weight, and the surcharges you paid. That data strengthens your position at renewal. Wilson can use shipment data from the loads it runs to produce carrier-performance and lane-rate reports on request.
How to measure parcel contract work
Track the share of labels printed on your own accounts. Compare rated cost with invoiced cost each month. Count adjustments and surcharge errors caught. These measures show whether the AI logistics employee protects your contract value.
Use your own invoices
Give the vendor a recent parcel invoice and your contract terms. Ask the AI logistics coordinator to audit it during the demo. Your own invoice shows whether the tool catches the errors you actually have. A sample invoice from the vendor shows only what the vendor chose to include.
Scoring the parcel contract demo
Score each test as pass, partial, or fail. A pass means your account and rates were used and errors were caught. A partial means rates were right but invoices were not audited. A fail means shipments moved to another account or rates did not match your contract.
Warning signs in a parcel contract demo
- The vendor cannot say whose account a label uses.
- Rates match a generic discount, not your contract.
- Invoices are paid without line-level review.
- Surcharges are not visible at label time.
What software should show when you evaluate FedEx, UPS, and LTL together
Software for a shipper that uses FedEx, UPS, and LTL carriers should show six things on your own orders. An AI logistics coordinator demo should cover all six, not only the parcel rates.
| What to check | What the software should show | Why it matters |
|---|---|---|
| Your own accounts | FedEx and UPS shipments rated and picked up on your accounts, at your contract rates | Shipping on a platform account can lose contract discounts and volume history |
| Both modes on one order | A parcel price and an LTL price for the same order, with the same delivery requirements | The cheaper mode changes with weight, box count, and delivery type |
| Pickups | FedEx and UPS pickups scheduled, and LTL pickups confirmed with a window | A booked shipment that nobody picks up is still late |
| One record | Parcel and LTL shipments for the order in the same record, with tracking for each | Customer service can answer about the whole order |
| Invoice audit | Parcel adjustments and LTL accessorials checked before payment | Each mode has its own billing errors |
| Exceptions | A late parcel or missed LTL pickup handled the same way: carrier asked, team told, customer told when configured | Different routines per mode get skipped on busy days |
Wilson, by Cartage, handles both in one workflow. It schedules FedEx and UPS pickups through the customer’s own carrier accounts via API or email, and runs LTL with the company’s approved carriers: quotes, negotiation against rate targets within approval limits, booking, and pickup confirmation. Before paying, it audits each invoice against the POD and the rate confirmation.
Contract rates are one part of the decision. For how to choose between parcel and LTL on the same order, see how to compare parcel and LTL quotes from the same order.
Where does Wilson fit in keeping parcel contract rates?
Wilson, by Cartage, is an AI logistics coordinator that supports parcel workflows within the agreed customer scope. It works with the customer's own carriers, contracts, and rules, so the customer's carrier relationships stay with the customer.
Wilson replaces the TMS for freight execution and connects to the company's ERP through a method that fits the customer's environment. It supports LTL, full truckload, parcel, ocean, drayage, and cross-border workflows, subject to scope. Wilson is software, not a freight broker.
Audit and payment
Wilson audits and reconciles each carrier invoice against what was booked. Customers use the Wilson Wallet to pay their carriers, and payments above approval limits or outside the rules wait for a person. Cartage charges a percentage on Wallet-coordinated freight payments, with no subscription or platform fee. Pricing scales down as volume grows, and Enterprise pricing is custom.
What Cartage asks about parcel in discovery
Cartage asks which parcel carriers the team uses, how accounts and contracts are set up, how labels are printed today, and how parcel invoices are reviewed. These answers decide the parcel scope and how an AI logistics coordinator applies the customer's rates.
What Wilson does not do for parcel contracts
Wilson does not negotiate your parcel contracts with FedEx or UPS; the contracts stay between you and each carrier. Wilson schedules FedEx and UPS pickups through your own carrier accounts via API or email, so your contract rates and volume history stay with your accounts. Label workflows and any other parcel carriers in scope should be confirmed in a demo. Exact ERP connection details depend on the customer's systems.
Parcel within the full freight picture
Parcel is one part of a shipper's freight. Keeping parcel contracts healthy matters, but so does choosing when to ship by parcel versus LTL. A heavy multi-box shipment may cost less by LTL. An AI logistics coordinator that sees all modes can suggest the lower-cost option within the shipper's rules.
Where teams start with parcel
Most teams start their AI logistics coordinator on a few lanes and expand from there. Timing depends on scope. Cartage helps identify the first workflow during discovery. Teams often start parcel work with invoice review, where errors are easiest to find.
Manufacturers comparing tools can read about parcel shipping software for manufacturers. Teams handing off between parcel carriers can see how a parcel handoff with FedEx and UPS works. Both topics shape how an AI logistics coordinator handles parcel. Teams protecting all their contracts can review how freight procurement software can preserve direct carrier contracts.
FAQs
How do you keep FedEx and UPS contract rates with parcel shipping software?
Ship on your own carrier accounts, confirm the software applies your negotiated rates, and audit invoices against your contract. An AI logistics coordinator should check the account on every label.
Why does the carrier account matter?
Your discounts and volume history are tied to your account. An AI logistics employee should make sure shipments count toward your account, not a platform's.
Which parcel charges cause the most surprises?
Surcharges, address corrections, and dimensional weight adjustments. An AI logistics coordinator should check each on every invoice.
Should parcel invoices be audited like freight invoices?
Yes. Small errors across many packages add up. An AI logistics employee can audit parcel lines and hold mismatches for review.
