Parcel shipping software for packaging manufacturers: what to test
Key Takeaways
Packaging manufacturers should test parcel shipping software on the shipments that make packaging different: large but light cartons billed by dimensional weight, sample boxes, orders that split between parcel and LTL, customer-routed freight, and invoice audit. An AI logistics coordinator should handle these cases with your own carriers, contracts, and rules before you commit.
- Packaging products are often bulky and light, which makes dimensional weight a major cost driver.
- Many packaging manufacturers ship samples and prototypes by parcel to buyers and designers.
- Larger orders often move by LTL or truckload, so parcel decisions sit next to freight decisions.
- Some customers arrange their own freight, which changes who books and who pays.
- Parcel invoices need line-level review, because surcharges and adjustments add up across many packages.
- Wilson, by Cartage, is an AI logistics coordinator that supports parcel, LTL, and truckload workflows within the agreed customer scope, using the customer's own carriers and rules.
Why do packaging manufacturers need a specific parcel test?
Packaging manufacturers need a specific test because their freight has a shape most parcel demos do not show: large boxes with little weight, frequent samples, and orders that cross between parcel and freight. An AI logistics coordinator should be tested on those shapes, not on a generic package.
A packaging manufacturer may make corrugated boxes, folding cartons, plastic containers, labels, or flexible packaging. Its products often ship flat or nested, but samples and finished goods can be bulky. A demo built on dense, small boxes will make any parcel tool look good. Your real cartons will not.
The table below lists packaging shipment types and what each tests.
| Shipment type | Why it is hard | What the test should show |
|---|---|---|
| Bulky, light cartons | Dimensional weight raises the bill | Correct billable weight at label time |
| Sample and prototype boxes | Many small, urgent shipments to buyers | Fast labels, tracking, proof of delivery |
| Mixed parcel and LTL orders | Part of the order fits parcel, part needs a pallet | Both options priced, rules applied |
| Customer-routed orders | Customer books its own carrier | Clear handoff and pickup confirmation |
| Multiple plants | Each plant ships on its own account | Right account and rates by plant |
| Recurring customer orders | Same products, same customers each week | Consistent mode choice and cost |
Dimensional weight is a pricing method that bills a package by its size when that billable weight is higher than its actual weight. LTL, or less-than-truckload, freight shares a trailer with other shippers' goods.
Who should run the test
The logistics lead should run the test, with a packer from the shipping floor and someone from finance. The packer knows which cartons are hard to measure and which orders get split. Finance knows which invoices cause disputes. Together they can judge whether the AI logistics coordinator handles real work, not a demo script.
Dimensional weight is the first test
Dimensional weight often matters most for packaging. A 24-by-18-by-18-inch carton of empty containers may weigh 8 pounds but bill much higher. A tool that shows rates based on actual weight will understate cost. Test whether the software calculates billable weight from your real dimensions and your carrier's rules.
The cost of getting packaging parcel wrong
Packaging manufacturers often ship parcels in high volume with thin margins. A few dollars of extra cost per box, from dimensional weight or surcharges, can erase the profit on small orders. A late sample can cost a new customer. A wrong account can weaken the next contract negotiation. An AI logistics coordinator that handles these details on every shipment protects both cost and sales.
Samples are a service, not just a shipment
Samples help win business. A buyer waiting for a prototype carton expects it on time and in good shape. Sample shipments need fast labels, the right service level, and confirmation of delivery. The sales team often wants to know when the sample arrived so it can follow up. An AI logistics employee can tell the salesperson when the sample is delivered.
Seasonal peaks
Packaging demand often peaks before major retail seasons and product launches. Sample volume can rise when sales teams pitch new designs. Parcel volume may double for a few weeks. The test should include a busy-day scenario, with many labels and samples at once. An AI logistics employee should keep labels, tracking, and invoice checks running at peak volume without falling behind.
Orders that change mode
A packaging customer's order may be small one week and large the next. Small orders go parcel. Large orders go LTL or truckload. The software should handle both, so the team does not switch tools depending on order size.
What should you test on dimensional weight and package data?
Test that the software uses accurate dimensions, calculates billable weight the way your carriers do, and flags adjustments on invoices. An AI logistics coordinator should catch dimension errors before they become months of billing adjustments.
Why the carrier's measurement wins
Parcel carriers measure packages in their network. When their measurement differs from yours, they bill on theirs. That makes your data a prediction, and the invoice the result. A test should compare the two on real shipments. An AI logistics coordinator that tracks the gap can tell whether your data is reliable enough to trust at label time.
Test 1: Real cartons, real dimensions
Use your most common shipping cartons, with real measured dimensions and weights. Rate each one on your accounts. Compare the shown rate with what your recent invoices show for the same carton. A big gap means the tool is not using billable weight correctly.
Nested and flat products
Many packaging products ship flat or nested to save space. Flat cartons are dense; nested cups or containers may leave air in the box. The same order can produce very different billable weights depending on how it is packed. Test packing methods as part of the parcel test. An AI logistics coordinator can compare billable weights for different packing options when the dimensions are known.
Test 2: Standard box sizes
Many packaging plants use a set of standard shipping boxes. Load these sizes into the software so packers choose a size rather than typing dimensions. Then test that a chosen size produces the right billable weight. This reduces typing errors.
Sample tracking for sales
Sales teams want to know when a sample arrives so they can call the buyer at the right time. A delivered message to the salesperson, with the date and time, turns a sample into a timely sales follow-up. An AI logistics coordinator can send that message when the carrier confirms delivery, if the sample's order names the salesperson.
Test 3: Adjustment catch
Load a recent invoice that includes dimensional adjustments. Ask the software to compare billed dimensions with the dimensions entered at label time. An AI logistics employee should flag the packages where the carrier measured larger, so the warehouse can fix its data or its packing.
Heavy cartons and handling fees
Some teams send small pallets of flat cartons by parcel as several heavy boxes. Heavy boxes may trigger additional handling charges. Test whether the software flags heavy packages that will attract those fees, so the team can compare with an LTL pallet. An AI logistics coordinator should show the full parcel cost before the boxes are labeled.
Test 4: Box choice
Sometimes a smaller box would cut cost. Ask whether the software can show the cost difference between two box sizes for the same contents. Packaging manufacturers are well placed to act on this, because they make boxes.
Packing data belongs in the system
Dimensions and weights should come from the packing step, not from memory. Some plants use scales and measuring stations that send data directly to the shipping software. Others enter data by hand. Either way, the data should be checked against invoices. An AI logistics employee can show which products or packers produce the most dimension errors, so training and equipment go where they help most.
Hypothetical example: a carton that cost too much
This example is hypothetical and does not describe a real customer. A folding-carton maker ships sample kits in a large box with lots of empty space. Invoices show dimensional adjustments on most sample shipments. The AI logistics coordinator compares entered and billed dimensions and finds the warehouse enters a smaller size than the box actually used. The team switches to a right-sized box it already makes. Billable weight drops, and adjustments stop.
What should you test on mixed parcel and freight orders?
Test that the software prices parcel and LTL for orders near the crossover, applies your rules, and keeps both shipments under one order. An AI logistics coordinator should choose the mode by total cost and service, not by habit.
Know your crossover
Every packaging manufacturer has a point where LTL becomes cheaper than parcel for its orders. That point depends on carton size, weight, contracts, and destinations. Pricing real orders both ways for a few weeks shows where it sits. An AI logistics employee can track the results and suggest a rule for future orders.
Test 5: Crossover orders
Pick orders that could go either way, such as 8 to 15 cartons. Ask the software to price parcel on your accounts and LTL with your approved carriers. Include every surcharge and accessorial. An accessorial charge is a fee for extra service, such as a liftgate or residential delivery. Compare totals and transit times.
Truckload is part of the same decision
Large packaging orders can fill a truck, especially for bulky products. When an order grows from a few pallets to a full truck, the right mode changes again. The team should see LTL and truckload options for large orders, not only parcel and LTL. An AI logistics employee can request truckload quotes from approved carriers when the order size calls for it.
Test 6: Split orders
Some orders split: a few cartons ship today by parcel, and the rest ship on a pallet tomorrow. Test that both shipments stay linked to the order and that the customer gets one clear update. An AI logistics employee can describe the order, not each carrier's events.
Accessorials for packaging receivers
Packaging customers include food plants, retailers, e-commerce companies, and small businesses. Some have docks; some do not. Some require appointments. Each of these changes the LTL price. The software should know each receiver's needs so LTL quotes include the right accessorials. An AI logistics coordinator can read receiver requirements from the customer's records.
Test 7: Truckload orders
Large orders for big customers may fill a truck. Even if the parcel tool will not handle truckload, the logistics team needs both in one place. Ask how truckload orders are booked and tracked alongside parcel.
Hypothetical example: a mixed order
This example is hypothetical and does not describe a real customer. A rigid plastic container maker receives an order for 14 cartons to a food producer with a dock. Parcel totals about $380 on the maker's contract. LTL on one pallet quotes about $260. The AI logistics coordinator books LTL, records both quotes, and sends the customer one message with the delivery date.
Recurring orders deserve a standing rule
Packaging customers often reorder the same items on a schedule. Once the team knows the best mode for a recurring order, it can set a standing rule. An AI logistics employee can apply the rule each time and recheck it periodically, so the choice stays right when rates change.
Common mistakes with mixed orders
- Pricing only parcel. The team never sees that LTL was cheaper.
- Missing accessorials. A no-dock receiver adds LTL fees.
- Losing the order link. The customer gets updates that do not add up.
- Using estimated weights. Real pallet weight changes the LTL quote.
What should you test on customer-routed orders and multiple plants?
Test that the software handles orders where the customer books its own carrier, and that each plant ships on its own account with the right rates. An AI logistics coordinator should know who owns each step and confirm handoffs.
Who books, who tracks
On a customer-routed order, the customer books and pays the carrier, but the shipper still hands over the freight. Problems at pickup, such as a missed truck or a short count, still land on the shipper's dock. Clear rules for who confirms what avoid finger-pointing. An AI logistics employee can confirm readiness and pickup on the shipper's side while the customer manages its carrier.
Test 8: Customer-routed pickups
Some packaging customers arrange their own freight. The manufacturer prepares the order, and the customer's carrier picks it up. These are often called customer-routed shipments. The manufacturer still wants to know the freight left and to have a signed bill of lading. A bill of lading, or BOL, is the shipping document that lists the freight and serves as a receipt. Test whether the software can track readiness, pickup, and the signed BOL for these orders, even though the manufacturer did not book the carrier.
Ship from the right plant
When more than one plant can supply an order, the shipping cost may differ by plant. A plant closer to the customer may save on freight. This is a planning choice, often made in the ERP, but the logistics team can supply the cost facts. An ERP, or enterprise resource planning system, holds orders and inventory. An AI logistics coordinator can price shipping from each eligible plant when asked.
Test 9: Multiple plants and accounts
Many packaging companies run several plants. Each may have its own parcel accounts and its own carriers. Test that labels from each plant use that plant's account and rates. An AI logistics employee should apply plant-level rules.
Readiness confirmation
For customer-routed orders, the customer needs to know the order is ready before it sends a truck. A readiness message with the order number, pallet count, weight, and dock hours helps the customer's carrier plan. An AI logistics employee can send that message when the plant confirms the order is staged, which prevents trucks from arriving too early.
Test 10: Blind shipments
Some customers want shipments sent "blind," without the manufacturer's name on the paperwork, because the products go to their own customers. Test that labels and documents can follow these instructions where your carriers allow it. This should be confirmed for your setup.
Hypothetical example: a customer-routed pickup
This example is hypothetical and does not describe a real customer. A corrugated box plant prepares a customer-routed order for a beverage company. The customer's carrier is scheduled for 2 p.m. At 4 p.m., the AI logistics coordinator sees no signed BOL and asks the plant's dock. The truck has not arrived. The coordinator emails the customer's logistics contact, who learns the carrier rescheduled to the next morning without telling anyone. The plant moves the pallets to a holding lane, and the customer updates its own plan.
Confirm the count at pickup
Customer-routed pickups should end with a signed count. If the customer's carrier signs for fewer pallets than were staged, the record should show it. An AI logistics coordinator can compare the signed BOL with the order.
Who pays for freight
Order terms decide who pays freight. Prepaid shipments are paid by the shipper. Collect shipments are paid by the receiver. Third-party billing sends the bill to another party. The software should apply the right billing on each label, or the shipper may pay charges it should not. An AI logistics coordinator should read the terms from the order.
How should you test invoice audit and reporting?
Test that the software audits parcel invoices line by line against your contracts and shows cost by customer and order. An AI logistics coordinator should flag mismatches and help you see which customers and products cost the most to ship.
Audit parcel and freight together
Packaging companies often audit LTL and truckload invoices but pay parcel invoices without review. Across thousands of sample and small-order boxes, small errors add up. Auditing both together gives a full view of shipping cost. Wilson audits and reconciles each carrier invoice against what was booked, within the agreed scope.
Demo tests for packaging parcel
| Buyer requirement | Demo test | Evidence to see |
|---|---|---|
| Dimensional weight | Rate your bulky cartons | Billable weight matches carrier rules |
| Adjustment catch | Load an invoice with adjustments | Mismatched dimensions flagged |
| Crossover pricing | Enter a 12-carton order | Parcel and LTL both priced |
| Customer-routed | Mark an order customer-routed | Pickup and BOL tracked |
| Plant accounts | Ship from two plants | Each uses its own account |
| Invoice audit | Load an invoice with a surcharge error | Error held for review |
| Cost by customer | Ask for a cost view | Parcel and freight cost by customer |
Bring your samples team
Include someone from sales or customer service who sends samples. Ask them to request a sample shipment during the demo and say what they need to know afterward. If the AI logistics coordinator tells them when the sample arrives, without being asked, that is a good sign.
Demo questions about packaging parcel
- How does the AI logistics coordinator get carton dimensions and weights?
- How is billable weight calculated for each carrier?
- How are parcel and LTL compared for the same order?
- How are customer-routed and blind shipments handled?
- Can each plant use its own accounts and rules?
- How are parcel invoices audited, and how are disputes tracked?
Ask for a cost-to-serve view
Packaging customers vary a lot in what they cost to ship. One may order small amounts often, by parcel, to residential addresses. Another may order full pallets to a dock. A cost-to-serve view by customer helps sales and pricing. Wilson can use shipment data from the loads it runs to produce carrier-performance and lane-rate reports on request, which can support this view.
How to measure packaging parcel work
Track dimensional adjustments per month. Compare rated cost with invoiced cost. Count crossover orders priced both ways. These measures show whether the AI logistics employee lowers parcel cost for packaging freight.
Run a full day of real orders
The strongest test is a full day of your real orders, run through the software alongside your current process. Compare the modes chosen, the rates, and the effort. A full day shows how the AI logistics coordinator handles volume, exceptions, and the mix of parcel, LTL, and customer-routed orders.
Scoring the packaging parcel demo
Score each test as pass, partial, or fail. A pass means the software handled your real cartons and orders correctly. A partial means it handled them with manual steps. A fail means rates were wrong or a shipment type was not supported.
Warning signs in a packaging parcel demo
- The demo uses small, dense boxes only.
- Dimensional weight is not shown at label time.
- LTL is outside the tool.
- Customer-routed orders cannot be tracked.
- Invoices are not audited line by line.
Where does Wilson fit for packaging manufacturers?
Wilson, by Cartage, is an AI logistics coordinator that supports parcel, LTL, and truckload workflows within the agreed customer scope. It works with the customer's own carriers, contracts, and rules, and it replaces the TMS for freight execution while connecting to the company's ERP through a method that fits the customer's environment.
Wilson requests quotes from approved carriers, negotiates against the customer's rate targets within configured rules and approval limits, and tracks each load using the best source available. It audits and reconciles each carrier invoice against what was booked before payment.
Communication with plants and sales
Wilson sends internal updates through channels such as Slack, Microsoft Teams, or email. Plant shipping teams can hear about pickups and issues, and sales teams can hear when samples deliver, depending on the setup. Wilson keeps searchable shipment records with change history.
What Cartage asks packaging manufacturers in discovery
Cartage asks which products ship by parcel, LTL, and truckload, how cartons are measured, which plants ship on which accounts, and which customers route their own freight. These answers shape the first rules an AI logistics coordinator applies.
What Wilson does not do for packaging parcel
Wilson does not negotiate your parcel contracts. The parcel carriers, label workflows, and rate sources in scope should be confirmed in a demo. Blind shipment handling depends on carrier rules and setup. Exact ERP connection details depend on the customer's systems.
Rules that grow with the business
As the business adds plants, customers, and carriers, the rules grow too. A new plant needs its accounts. A new key customer may need its own mode rule. The software should make these additions simple. An AI logistics coordinator applies each new rule from the moment it is set and keeps the history of changes.
Where teams start with packaging parcel
Most teams start their AI logistics coordinator on a few lanes and expand from there. Timing depends on scope. Cartage helps identify the first workflow during discovery. Packaging manufacturers often start with the crossover orders between parcel and LTL.
Packaging teams comparing quotes can read how to compare carrier quote volume without email. Teams with customer-routed freight can see how blind and customer-routed shipments split responsibility. Both topics shape what an AI logistics coordinator should handle. Manufacturers comparing parcel tools can review parcel shipping software for manufacturers.
FAQs
What should packaging manufacturers test in parcel shipping software?
Dimensional weight on real cartons, sample shipments, mixed parcel and LTL orders, customer-routed pickups, plant accounts, and invoice audit. An AI logistics coordinator should handle each with your own carriers and rules.
Why does dimensional weight matter so much for packaging?
Packaging products are often bulky and light, so carriers bill by size. An AI logistics employee should calculate billable weight at label time and flag adjustments on invoices.
Should packaging manufacturers compare parcel and LTL on every order?
Only on orders near the crossover. An AI logistics coordinator can price both for those orders and skip the obvious cases.
How should customer-routed orders be handled?
Track readiness, pickup, and the signed BOL even when the customer books the carrier. An AI logistics employee can confirm the handoff and record it.
