The pickup email disagrees with the shipment plan. Which date is correct?
Key Takeaways
When a carrier's pickup email disagrees with the shipment plan, the correct date is the most recent date that both the shipper and the carrier confirmed in writing. If no such date exists, neither is correct yet, and someone must ask the carrier and confirm one. An AI logistics coordinator should spot the conflict, check the records, ask one clear question, and update the plan once the date is agreed.
- A conflict means two sources show different pickup dates for the same load.
- Common sources are the booking confirmation, the rate confirmation, the dock schedule, and a later email.
- The newest message is not always right. It may be a typo, a different load, or a proposal.
- The rule is simple: the latest written agreement wins. Proposals and unconfirmed messages do not.
- Conflicts should be resolved before the earlier of the two dates, so nothing is missed.
- Wilson, by Cartage, is an AI logistics coordinator that reads carrier emails, checks them against the shipment record, and confirms the correct date with the carrier.
Why do pickup emails disagree with the plan?
Pickup emails disagree with the plan because the carrier changed the date, made a mistake, referred to a different load, or never received the latest plan. An AI logistics coordinator should find out which, because each cause needs a different fix.
The shipment plan says pickup is Tuesday at 10 a.m. A carrier email says "See you Wednesday at 10." Maybe the carrier moved the pickup without asking. Maybe the dispatcher typed the wrong day. Maybe the email is about another load at the same plant. Maybe the shipper changed the date and the carrier never got the update. Until someone checks, nobody knows which date is real.
The table below lists common causes and how to recognize them.
| Cause | Signs | Fix |
|---|---|---|
| Carrier changed the date | Email gives a reason or asks for a new date | Treat as a proposal; confirm or counter |
| Typo | Date conflicts with the carrier's own confirmation | Ask the carrier to confirm |
| Wrong load | Email references a different PO or load number | Match to the right load |
| Carrier missed the shipper's change | Shipper changed the date; carrier quotes the old one | Resend the change; get confirmation |
| Dock schedule out of date | Dock shows a different date from both | Update the dock from the confirmed date |
A PO is a purchase order, the document a customer uses to place an order.
Who owns the conflict
The logistics owner for the load should own the conflict until it is resolved. The dock may notice it, or customer service may hear about it, but one person should drive the answer. An AI logistics coordinator can own conflicts for the loads it runs and report each one as resolved or still open.
Newest is not always right
It is tempting to trust the newest message. But a new email can carry an old mistake. If the carrier's acceptance said Tuesday and today's email says Wednesday with no explanation, the email may be a typo. An AI logistics employee should check the email against the written agreement before acting.
Time zones can create false conflicts
A carrier in another time zone may write "10 a.m." meaning its local time. The plan may show 10 a.m. at the facility. These can be an hour or more apart. The record should always show the facility's local time and time zone. An AI logistics coordinator can convert times and flag cases where the conflict is only a time zone difference.
Both sides may have a point
Sometimes the shipper's plan is out of date. The carrier asked for a change two days ago, someone agreed by phone, and the record was never updated. The email reflects the real agreement; the plan does not. That is why the check must look at all records and conversations, not only the plan.
The cost of a wrong-day truck
A truck that arrives on the wrong day costs both sides. If it arrives early, the freight may not be ready, and the carrier may bill a truck-ordered-not-used fee. If it arrives late, the shipper's delivery slips and the customer is unhappy. The dock may have held labor for nothing. Resolving date conflicts a day ahead avoids all of this. An AI logistics coordinator that checks every carrier message against the plan finds conflicts while they are still cheap to fix.
Times can conflict too
Conflicts are not only about dates. The plan may say 8 a.m. and the email 2 p.m. on the same day. Time conflicts cause the same problems on a smaller scale: a waiting truck or a waiting dock. The same rule applies: the latest written agreement wins. An AI logistics employee should check times as carefully as dates.
Conflicts are early warnings
A conflict found a day before pickup is easy to fix. A conflict found when the truck arrives on the wrong day is expensive. Catching conflicts early protects the dock, the carrier, and the customer. An AI logistics coordinator can compare every carrier message with the plan as it arrives.
Which records decide the correct date?
The records that decide the correct date are the written agreements between the shipper and the carrier, in order of time. An AI logistics coordinator should gather them and find the latest one both sides confirmed.
Proposals versus agreements
A proposal says "can we do Wednesday?" An agreement says "confirmed Wednesday" from both sides. Many carrier emails are proposals written like statements, such as "moving you to Wednesday." Treat those as proposals until the shipper confirms. An AI logistics employee should label each message as a proposal or an agreement before deciding.
Gather the records first
Collect every record before deciding. An AI logistics coordinator can pull the tender, confirmations, and thread in seconds.
Records to check
| Record | What it shows | Weight |
|---|---|---|
| Tender and acceptance | Original agreed pickup | Strong at booking |
| Rate confirmation | Agreed price, terms, and often pickup date | Strong |
| Written change confirmations | Later agreed changes | Strongest if latest |
| Carrier proposals | Requested changes | Not binding until confirmed |
| Phone notes | Verbal agreements | Weak unless confirmed in writing |
| Dock schedule | Internal plan | Reflects agreements; not an agreement itself |
A tender is a formal offer of a load to a carrier. A rate confirmation is the document that confirms the agreed price and terms for one load.
Confirmations from portals count too
Some carriers confirm through a portal or an EDI message rather than email. EDI, or electronic data interchange, is an older standard for exchanging business documents. A portal or EDI confirmation is written and counts as an agreement. The check should include these sources, not only email. An AI logistics employee can read confirmations from each channel the carrier uses.
The rule: latest written agreement
The pickup date that counts is the latest one both sides confirmed in writing. A proposal from the carrier does not change it. A phone call does not change it until someone confirms it in writing. This rule gives a clear answer in most cases. An AI logistics employee can apply it by reading the thread and the records in time order.
Read the whole thread
The answer is often in the thread. An email two days ago may show the carrier asked to move to Wednesday and the shipper replied "OK." That reply is a written agreement, even if the record was not updated. Reading the full thread in order often settles the conflict without asking anyone. An AI logistics coordinator can read the thread from the start and find any earlier agreement.
When there is no clear agreement
Sometimes the records do not settle it. The carrier says it emailed a change; the shipper never saw it. Or both sides talked by phone and remember different days. In these cases, neither date is final. The shipper should ask the carrier to confirm one date now, in writing.
Hypothetical example: the plan was wrong
This example is hypothetical and does not describe a real customer. A carrier emails "On for Thursday as discussed." The plan says Wednesday. The AI logistics coordinator reads the thread and finds that on Monday the carrier asked for Thursday and the shipper's coordinator replied "Thursday works." The record was never updated. The coordinator updates the plan to Thursday, tells the dock, and checks that delivery still holds. The carrier's email was right; the plan was wrong.
Hypothetical example: a typo caught
This example is hypothetical and does not describe a real customer. A distributor's plan shows pickup Tuesday. The carrier's acceptance email also says Tuesday. On Monday, the dispatcher writes "Driver confirmed for Wed 10 a.m." The AI logistics coordinator compares the records and replies: "Our booking and your acceptance say Tuesday 10 a.m. Please confirm Tuesday or tell us if the date changed." The dispatcher answers: "Sorry, typo. Tuesday is correct." The plan stays the same, and the reply is saved with the load.
How should the conflict be resolved?
The conflict should be resolved with one specific question to the carrier, a written answer, and an update to every record that is wrong. An AI logistics coordinator should resolve it before the earlier of the two dates.
Check the dock and the customer before asking
Before asking the carrier, know which date the shipper can accept. If the dock cannot do Wednesday, the question should say so. That way, if the carrier says Wednesday is the real date, the shipper can respond at once. An AI logistics coordinator can check the dock and the delivery promise in parallel with asking the carrier.
Ask one clear question
A good question shows both dates and asks the carrier to choose. "Our plan says Tuesday 10 a.m. Your email says Wednesday 10 a.m. Which date is correct for load 4410?" The carrier can answer in one word. Vague questions get vague answers.
Who answers for the carrier
Ask the person who can actually confirm: usually the dispatcher who handles the load. A salesperson or a billing contact may not know. Sending the question to the right contact gets a faster, more reliable answer. An AI logistics employee can store each carrier's dispatch contact and use it for date questions.
Act before the earlier date
If the plan says Tuesday and the email says Wednesday, the conflict must be settled before Tuesday. Otherwise, the dock may stage freight Tuesday for a truck that is not coming, or the truck may come Tuesday to a dock that moved things to Wednesday. An AI logistics employee should treat the earlier date as the deadline.
Hold actions until the date is clear
While the conflict is open, avoid actions that depend on the date, such as releasing dock crews or telling the customer. An AI logistics coordinator can mark the load as "date in question" so teams know to wait for the answer.
If the carrier really changed the date
If the carrier confirms it moved the pickup, treat it as a change request. Check the dock, the freight readiness, and the delivery promise. Accept, counter, or rebook within the rules. When Wilson detects a missed pickup, a cancellation, or a delay, it contacts the carrier, notifies the internal team, notifies the customer where configured, and initiates rebooking from the approved carrier list within the customer's rules or with approval.
Confirm the resolution in writing
Once the date is settled, send the carrier a one-line confirmation: "Confirmed: load 4410 pickup Tuesday 10 a.m." This closes the question and gives both sides the same final record. An AI logistics coordinator can send it as soon as the answer arrives.
Update every wrong record
Once the date is agreed, update every record that shows a different date: the shipment record, the dock schedule, documents, and any customer-facing view. Keep the history. Wilson keeps searchable shipment records with change history.
Note the cause of the conflict
After resolving, record why the conflict happened: typo, missed update, wrong load, or real change. Over time, the causes show where the process breaks. If most conflicts come from missed shipper updates, the team needs a better habit of sending changes to carriers. An AI logistics coordinator can tag each conflict with its cause.
Tell the people who acted on the wrong date
If the dock or the customer already planned around the wrong date, tell them the correct one. An AI logistics coordinator can find who was told what and send corrections.
Keep the carrier's answer
Save the carrier's reply that settled the date. If the same question comes up again, the answer is already on file. An AI logistics employee can store it with the load.
Common resolution mistakes
- Trusting the newest email without checking. A typo becomes the plan.
- Ignoring the conflict until pickup day. The truck or the dock is in the wrong place.
- Fixing one record and not the others. The conflict comes back.
- Resolving by phone with no written answer. The same conflict can happen again.
How can teams prevent pickup date conflicts?
Teams prevent pickup date conflicts by keeping one record as the source of truth, confirming every change in writing, and sending carriers the current plan after each change. An AI logistics coordinator can do all three on every load.
Phone calls need follow-up
Phone calls are fast but leave no trail. After any call that changes or confirms a date, send a short email that states the result. That email becomes the written agreement. An AI logistics employee can send it right after the call and save it with the load.
One source of truth
The shipment record should hold the current agreed pickup date. The dock schedule, documents, and customer views should take their date from it. When people work from their own copies, conflicts grow.
Written confirmation for every change
Every change, whether it starts by phone, email, or a portal, should end with a written confirmation that names the load and the new date. An AI logistics employee can send that confirmation automatically after each agreed change.
Weekly plan check with key carriers
For carriers with many loads, a short weekly list of upcoming pickups, sent by email or shared through a portal, lets the carrier spot differences early. The carrier can reply with corrections before any truck is dispatched. An AI logistics employee can send that list and process the replies.
Send the carrier the current plan
When the shipper changes a date, the carrier needs the new date in writing and should confirm it. A change the carrier never received will cause a conflict later.
Check the documents too
Documents can carry dates as well. A bill of lading printed with Tuesday's date for a Wednesday pickup creates a new conflict at the dock. A bill of lading, or BOL, is the shipping document that lists the freight and serves as a receipt. After any date change, check the documents. An AI logistics coordinator can flag documents that show an old date.
Use references in every message
Every message about a pickup should include the load number and the PO. References prevent wrong-load confusion. An AI logistics coordinator can add them to every message it sends and ask carriers to include them.
Check every carrier message, not only change emails
Conflicts hide in ordinary messages, like "see you Wednesday." An AI logistics coordinator should compare every date in every carrier message with the plan.
Hypothetical example: a missed shipper change
This example is hypothetical and does not describe a real customer. A manufacturer moves a pickup from Thursday to Friday because of a production delay. A coordinator tells the dock but forgets to tell the carrier. On Wednesday, the carrier emails "Confirmed for Thursday." The AI logistics coordinator spots the conflict with the record, sees the change was never sent, and writes to the carrier: "Pickup moved to Friday 9 a.m. due to production. Please confirm." The carrier confirms. A wasted Thursday trip and a possible truck-ordered-not-used fee are avoided. A truck-ordered-not-used, or TONU, fee is a charge some carriers bill when a truck is dispatched and leaves without freight.
How should you evaluate software on pickup date conflicts?
Evaluate software by sending it carrier emails that conflict with the plan for different reasons and checking whether it spots each conflict, asks the right question, and updates every record. An AI logistics coordinator should resolve conflicts before the earlier date.
Demo tests for pickup date conflicts
| Buyer requirement | Demo test | Evidence to see |
|---|---|---|
| Spots conflicts | Send an email with a different date | Conflict flagged |
| Checks agreements | Include an earlier written change | Latest agreement found |
| Asks clearly | Continue the test | One question with both dates |
| Handles typos | Carrier confirms the original date | Plan unchanged; reply saved |
| Handles real changes | Carrier confirms a new date | Change checked and confirmed |
| Updates all records | Open records after resolution | All show the same date |
| Meets the deadline | Conflict found the day before | Resolved before the earlier date |
Test a conflict found late
Send a conflicting email on the afternoon before the earlier date. Watch how quickly the AI logistics coordinator asks the carrier and updates the dock. Late conflicts are where speed matters most.
Demo questions about pickup date conflicts
- How does the AI logistics coordinator compare emails with the shipment plan?
- How does it find the latest written agreement?
- What question does it send the carrier?
- How does it handle phone agreements?
- Which records does it update after resolution?
- How does it make sure the carrier has the shipper's changes?
Include a wrong-load email
Send an email that refers to a different load with the same carrier. Watch whether the AI logistics coordinator notices the reference does not match and asks, rather than changing the wrong load.
How to measure date conflict work
Count conflicts found before the earlier date. Count trucks that arrived on the wrong day. Count TONU or detention charges tied to date mix-ups. These measures show whether the AI logistics employee prevents date errors.
Test a conflict caused by your own team
Include a case where your team changed the date and the carrier never received it. Many tools only look for carrier changes. Watch whether the AI logistics coordinator sees that the carrier is working from an old plan and sends the update.
Scoring the date conflict demo
Score each test as pass, partial, or fail. A pass means the conflict was found, resolved in writing, and every record updated in time. A partial means it was resolved but a record kept the wrong date. A fail means the newest email was accepted without checking.
Warning signs in a date conflict demo
- The tool overwrites the plan with any new email date.
- Conflicts are not flagged.
- Only the shipment record is updated.
- Phone agreements are not captured.
Where does Wilson fit when a pickup email disagrees with the plan?
Wilson, by Cartage, is an AI logistics coordinator that reads carrier emails, compares them with the shipment record, and confirms the correct date with the carrier. It works with carriers through email, API, EDI where the carrier supports it, and phone calls where configured.
Wilson replaces the TMS for freight execution and connects to the company's ERP through a method that fits the customer's environment. It sends internal updates through channels such as Slack, Microsoft Teams, or email, and keeps searchable shipment records with change history.
Records that settle conflicts
Wilson keeps the tender, the carrier's acceptance, any change confirmations, and related messages with each load. When a conflict appears, the record shows the latest agreement quickly.
What Cartage asks about date conflicts in discovery
Cartage asks where pickup dates live today, how changes are agreed, how the dock is told, and how often carriers and the plan disagree. These answers shape the checks an AI logistics coordinator runs.
What Wilson does not do for date conflicts
Wilson does not guess the correct date when records conflict; it asks and confirms. It does not run the dock schedule. Specific comparison rules and channels should be confirmed in a demo. Exact ERP connection details depend on the customer's systems.
Reports on conflicts
Over time, conflict records show which carriers and lanes have the most date mix-ups and why. Wilson can use shipment data from the loads it runs to produce carrier-performance reports on request. Teams can use the patterns to fix their own process or talk with carriers.
Where teams start with date conflicts
Most teams start their AI logistics coordinator on a few lanes and expand from there. Timing depends on scope. Cartage helps identify the first workflow during discovery. Teams often start with carriers whose dispatch runs mainly by email.
Teams comparing sources can read what to do when a carrier email and the tracking feed disagree. Teams with unconfirmed carriers can see what happens when the selected carrier has not confirmed pickup. Both topics shape how an AI logistics coordinator settles dates. Teams fixing assigned times can review what to do when an assigned pickup time does not work for the carrier.
