Freight pickups

A carrier accepted the load. The pickup appointment is still missing.

Key Takeaways

  • A tender acceptance confirms the carrier will take the load. It often doesn't say when the truck will arrive. The pickup appointment is a separate step.
  • A pickup appointment needs 4 details confirmed in writing: the date, the time window, the location with the dock, and an on-site contact.
  • Whoever books the load should own the appointment, confirming it right after acceptance and reconfirming before the truck is due.
  • "Booked" should mean a confirmed pickup window, not just an acceptance email, or the shipper and carrier each assume the other set the time.
  • Wilson, by Cartage, is an AI logistics agent that schedules the pickup with the carrier, confirms the window and reconfirms it before pickup for LTL and FTL shipments, and escalates when a carrier can't confirm.

Why is the pickup appointment missing after the carrier accepts?

The pickup appointment goes missing because acceptance and scheduling are separate steps, and each side assumes the other handled the second one. The carrier has agreed to move the load; nobody has agreed on when the truck arrives. The fix is to make a confirmed window part of the booking and to reconfirm it before pickup.

This affects every shipper that tenders LTL and FTL freight by email or phone, where a tender (the formal offer of a load to a carrier) gets a one-line "accepted" reply. The warehouse plans its day around a time nobody confirmed, and the carrier plans its driver around a different one. The cost lands at the dock: ATRI found truck drivers were detained at 39.3% of stops in 2023, and unclear appointment times are one common way trucks and freight end up waiting on each other.

Take, for example, a manufacturer shipping 8 pallets FTL:

Monday 11:20 a.m. The carrier dispatcher replies "accepted" to the tender for a Wednesday pickup. The coordinator marks the load booked in the shipping spreadsheet.

Tuesday 3:00 p.m. The warehouse lead sees "Wednesday" on the schedule and stages the pallets for the morning, blocking one dock door.

Wednesday 10:30 a.m. No truck. The warehouse lead calls the coordinator.

10:45 a.m. The coordinator calls the dispatcher and gets voicemail, then sends an email: carrier follow-up, meaning the calls and emails needed to get an answer from the carrier.

11:30 a.m. The dispatcher replies that the driver was always planned for 2:00 to 4:00 p.m., after another delivery.

3:40 p.m. The truck arrives. The shipping office closes at 4:00, loading is rushed, and the blocked door delayed another outbound load all day.

The load was accepted and picked up on the right day. The missing appointment still cost a dock door, an hour of the coordinator's time and the next load's pickup.

What should a pickup appointment confirm?

A pickup appointment should confirm 4 details in writing: date, time window, location with the dock, and an on-site contact. Each one prevents a specific failure at the dock.

  • Date. The calendar date, not “Wednesday.” A load accepted late in the week can drift to the following week without anyone noticing.
  • Time window. A start and end time the warehouse can plan labor and doors around, for example 8:00 to 10:00 a.m. “Morning” or “AM” isn’t a window.
  • Location with dock. The full address plus the building, door or entrance. Plants with several buildings lose trucks to the wrong gate.
  • Contact. A shipping office phone or email the driver can reach on arrival, and the hours it’s staffed.

The confirmation should also carry the reference numbers the dock uses, such as the order or pickup number and the BOL (bill of lading, the document that travels with the freight as the shipping contract and receipt). For the full list, see what a pickup confirmation should include.

These details only help if the warehouse sees them; a window never shared is no window for the people loading the truck.

Who should confirm the pickup appointment, and when?

Whoever books the load should confirm the appointment right after acceptance, share it with the warehouse, and reconfirm before the truck is due. If the carrier can’t confirm, the load should escalate to a person before the pickup day.

At acceptance. Ask the carrier for the window in the same reply chain as the tender, and don’t mark the load booked until it arrives.

Once confirmed. Send the window to the warehouse and to anyone else who plans around it.

Before pickup. Reconfirm with the carrier, for example the afternoon before or early on the pickup day, depending on the lane.

On the day. If the truck hasn’t arrived within the window, start carrier follow-up immediately rather than waiting for the warehouse to call.

If nothing comes back. Escalate, and decide whether to wait, rebook or tell the customer.

A missed pickup, meaning a truck that doesn’t arrive within the confirmed window, is much easier to prove and act on when there was a window in the first place. For why acceptance alone isn’t a booking, see the carrier accepted the tender. Is the load actually booked?

Common mistakes

  • Marking the load booked on acceptance. Nobody looks for the missing window until the truck doesn’t show.
  • Confirming a window but not sharing it. The warehouse stages freight for the wrong time and blocks a door.
  • Never reconfirming. Carrier plans change after acceptance, and the first sign is an empty dock.
  • No escalation rule. The coordinator keeps calling the same dispatcher instead of deciding on a rebooking.

How does Wilson, by Cartage, set and confirm the pickup appointment?

For LTL and FTL shipments, Wilson, by Cartage, schedules the pickup with the carrier, confirms the pickup window and reconfirms it before the pickup. Traditional logistics software gives teams information. Wilson executes the work required to move shipments forward.

Step Trigger What Wilson does When a person steps in
1. Schedule The carrier accepts the tender Schedules the pickup with the carrier Not required
2. Confirm The carrier proposes a time Confirms the window and records it on the shipment The window doesn’t work for the company
3. Notify The window is set Tells the team and the others the company chose Not required
4. Reconfirm The pickup is approaching Reconfirms with the carrier by email or phone The carrier changes the time
5. Check calls The truck isn’t confirmed or picked up Calls and emails at the frequency set in the company’s SOP Not required
6. Missed pickup The window passes without pickup Contacts the carrier, notifies the team, notifies the customer if configured, initiates rebooking from approved carriers Rebookings the rules route for approval
7. Escalate The carrier can’t confirm Escalates to the team Deciding next steps

Wilson reaches carriers by email, phone or API, plus EDI where the carrier supports it. Check calls follow the company’s SOP, for example calling every hour until the load is picked up, and call transcripts are saved on the order. Each company chooses who is notified and how: the team in Slack or Microsoft Teams, shippers by email, consignees by email or SMS.

Control stays with the company. Wilson starts with assisted execution, and the company decides which actions need approval, for example rebookings above a cost threshold. Rebooking after a missed pickup runs automatically or waits for approval, depending on those rules, and it uses only approved carriers. Every message, confirmation and change is recorded in the change history, so anyone can see when the window was confirmed and who confirmed it.

Wilson coordinates pickup and delivery times with carriers. It doesn’t manage dock slots inside a warehouse or plant; that is on the roadmap. How do teams know every load has a confirmed appointment?

Teams know every load has an appointment when "booked" requires a confirmed window, every window is reconfirmed before pickup, and every change is recorded on the shipment.

Make the rule visible. A daily view of loads picking up in the next two days, split into "window confirmed" and "window missing," shows the gap before it reaches the dock. Then measure it: missed pickups, time to book and manual touches per load, compared with how the same lanes ran before.

What to ask a vendor to show in a demo

An acceptance with no time. Send a one-line "accepted" reply and show what happens next, and how long until the window is requested.

A carrier that changes the window. Show the reconfirmation catching it and who is told.

Check calls by SOP. Show where the frequency is set and the saved transcript of one call.

A missed pickup. Show the order of actions and where rebooking waits for approval.

FAQs

  • Does tender acceptance include the pickup appointment? Often not. Acceptance confirms the carrier will take the load; the pickup window still needs to be confirmed in writing.
  • Who should confirm the pickup appointment? Whoever books the load, right after acceptance. They should also share the window with the warehouse and reconfirm before pickup.
  • Does Wilson schedule pickups? Yes. For LTL and FTL shipments, Wilson schedules the pickup with the carrier, confirms the pickup window and reconfirms it before the pickup.
  • What if the carrier can't confirm a time? Wilson escalates to the team, which decides whether to wait, rebook or tell the customer.
  • Does Wilson call carriers? Yes. Wilson calls carriers and drivers for check calls, pickup and delivery appointments and ETA follow-ups, at the frequency the company sets. Call transcripts are saved on the order.
  • What happens if the truck misses the pickup? Wilson contacts the carrier, notifies the team, notifies the customer if configured and initiates rebooking from approved carriers, automatically or with approval.
  • Does Wilson manage dock schedules? Not today. Wilson coordinates pickup and delivery times with carriers; managing dock slots inside a facility is on the roadmap.
  • How is Wilson priced? There's no subscription fee. Pricing is a percentage of the carrier payments that run through Wilson. Pricing scales down as volume grows, and Enterprise pricing is custom.

Conclusion

An accepted load without a pickup appointment is a load waiting to be missed. Confirming the date, window, dock and contact right after acceptance, sharing them with the warehouse and reconfirming before the truck is due closes the gap that "accepted" leaves open.

Wilson, by Cartage, does that for LTL and FTL loads, runs check calls on the company's schedule and escalates when a carrier can't confirm, with every step in the change history.
